The best AI for accounting is the product that does the job your name is still on. For most US files, that job is still a QuickBooks close. The model you will actually use is the one already inside that file. A cleaner ledger your reviewer will not open is a second subscription you keep paying.

QuickBooks Online is the model you will open when the reviewer, payroll, and the rest of the stack already expect that login. Xero fits a firm that wants chat inside the fee and can live with Early's invoice cap. Digits fits a US firm that will actually move the client. Tax research, document intake, and a formal close are separate purchases, which is why a ledger ranking leaves them out and this page does not.

AI for accounting is software that codes, closes, captures, or researches work an accountant still has to stand behind. A chat window with no access to the books will not carry a close you have to sign.

The AI inside the file you already sign is the practical start. QuickBooks suggests bank matches and categories on every Online plan, and you still choose what posts, which suits a reviewer who will not leave that file. Xero includes JAX for subscribers at no extra charge, and JAX does nothing until someone opens it. That suits someone who wants an explanation in a trusted file, not a team that wants the feed cleared overnight.

A replacement ledger suits a firm that will migrate. Digits books from connected banks, cards, and payroll on every business plan, then leaves a review. Puzzle does that job for a startup and meters the agent with credits, so the cheap plan can run out of AI work. Neither product files a return.

A close layer sits on an ERP the company will not leave. FloQast sells packages for the checklist, the reconciliation, compliance, reporting, and agents a team builds itself, and it does not charge per user. You cannot rank a package against a ledger until a quote arrives. Numeric sells close, cash, and billing as modules on NetSuite, QuickBooks, Xero, or Sage Intacct. The full replacement is a separate suite, so a checklist-only team should not buy the whole swap.

The work beside the ledger is where a lot of the hours go. Blue J answers US federal and SALT questions with citations and does not post a journal entry, so skip it when the pain is month-end. Dext captures documents and sells custom AI guidance per client. Booke AI works inside QuickBooks on the bank feed you already have, so there is no second bank login. Botkeeper sells the automation to firms, one license per client, which is the wrong unit if you are the company.

Why the demo's AI is often a higher tier

The subscription you saw in the demo is often a cap, a second package, or a quote. Signing the entry row and expecting that demo is how accounting teams buy the wrong month.

QuickBooks puts bank suggestions on every Online plan, then meters the chat. Intuit's Accountant Suite page puts the client-file allowance at 25 prompts a month on Simple Start, 50 on Essentials, 100 on Plus, and 200 on Advanced. A busy week on the entry plan burns that allowance. A monthly add-on buys another block of queries and still does not make the chat unlimited. Written report summaries are called out for Advanced and Intuit Enterprise Suite, so a Simple Start company does not get that narrative.

Xero's cheap plan is a different miss. Early reconciles, and auto-reconcile starts on Growing, so the entry plan still leaves the matching on your desk. JAX is included, and it will not clear the bank feed in the background. A firm that sends more than 20 invoices, or enters more than 5 bills, has already left Early.

Digits puts 24/7 bookkeeping and Ask Digits on every published plan, then holds budget versus actuals for Pro, which the comparison table marks as coming soon. Dimensional accounting and automated schedules start on Core. If the demo showed a department view, Essentials is the wrong card. If it showed a budget view, the plan that includes it is not on sale yet.

Puzzle meters the same split with a credit wallet. Starter and Core come with 25 AI credits that last as long as the plan does, and the wallet does not refill. Complete is where the accuracy review, reconciliations, and 100 credits a month begin. The faster-close guarantee also asks you to use that accuracy review, so the entry price is not the close the guarantee describes.

FloQast and Numeric publish no dollar at all. FloQast splits SOX 404(a) and SOX 404(b) across Connected Compliance and Compliance Pro, so a close package is not an audit package. Numeric's ERP replacement includes the full suite, and the other products can be bought on their own. A slide that says "agent" can still be the package you did not quote.     QuickBooks, Xero, Booke, and Dext leave the system of record where it is, so that subscription stays on the bill. Digits and Puzzle are the books, which means a migration before anyone trusts the output. FloQast and Numeric sit on the ERP you already run. If the partner will not switch files, price the in-file tool first.

  • The tier that includes the AI (Essential)

    Puzzle's accuracy review starts on Complete, not on Starter, so the cheap plan is not the close you saw. Digits holds budget versus actuals for Pro, and QuickBooks holds written report summaries for Advanced. FloQast puts custom agents in Transform, a separate package, so sign the tier the demo used.

  • A cap you can hit (Essential)

    QuickBooks meters chat by plan, then sells a monthly add-on for more prompts, so a heavy chat habit has a second line. Puzzle's cheap plans stop at a lifetime credit wallet, which rules out a weekly agent. Xero's entry plan caps invoices and bills, so a normal client month can outgrow it. Dext's launch offer is uncapped only through October 31, 2026.

    Digits serves US-based entities only, and each business needs its own subscription, so a foreign company or a second entity changes the short list first. Blue J's published plan is US federal and SALT, priced per user. Booke's published business rate is the US QuickBooks price.

  • Firm math versus company math (Important)

    Botkeeper and Dext price a practice by client, and Dext requires 10 clients before the builder will quote a practice plan. Booke's firm price is a request, not the published business card, so a company that buys the firm card has the wrong unit. Digits lists firm-only columns for custom dashboards on the lower plans. A single company should ignore those columns and price the business plan.

  • Documents versus the entry (Important)

    Dext AI Assist currently works in Costs and Sales, and the Bank space is planned, so a feed-coding problem is the wrong job for it. Booke uses the QuickBooks bank feed you already connected and does not ask for a second bank login. A receipt tool that never becomes a journal entry is a folder, and it will not close the month.

  • A quote with no seat price (Nice to have)

    FloQast states that it does not charge per user and still will not print a dollar, so a per-seat comparison against QuickBooks will not survive the first call. Numeric builds the quote from transactions and seats, and it scopes onboarding apart from that quote.

What to decide before you add another login

  1. If the accountant will only work in QuickBooks, start there. A second ledger they will not sign is a subscription you still pay, and the file comparison is QuickBooks vs Xero.

  2. If the pain is a tax question with a citation, price Blue J before you price another general ledger. The published Individual plan does not keep the books, so it will not replace the file.

  3. If the pain is the month-end checklist on an ERP you will keep, quote FloQast or Numeric. Neither publishes a list price, and a close package is not the compliance package.

  4. If you are outside the United States, drop Digits. Service is limited to US-based entities, so the trial is one you cannot finish.

  5. Skip Puzzle Starter and Core if an agent will touch the books every week. Those plans include a credit wallet that lasts for the life of the account, and it does not come back.

Prices in this table were read on vendor sites on September 23, 2026. On October 1, 2026, Xero's published US rates move to $27, $59, and $97 a month, before tax and before add-ons. New US customers get that 90% offer through a published code, and the offer ends September 30, 2026. From that October date, Xero starts phasing out the multi-organization discount. Payroll on Xero, which Gusto powers, costs $36 a month plus $6 per person.

QuickBooks Bill Pay Elite is included in Advanced and is $45 a month as an add-on on Simple Start, Essentials, and Plus. The inventory add-on is $40 a month on Simple Start and Essentials. Intuit's price-change notice does not replace the list rates above. It says Essentials, Plus, and Advanced change on renewals from August 1, 2026.

Mistakes to Avoid

    Buying a replacement ledger because the demo looked faster, then discovering the reviewer will only sign QuickBooks. The model you can use is the one in the file they open, and the other subscription is money you still spend.
