Step 1

Identify outliers

Categories costing more than $2k/mo in the breakdown deserve a vendor review. Most B2B SaaS contracts have 20-40% negotiation room at renewal.

Step 2

Audit duplicates

Most mid-market companies pay for 2-3 overlapping tools in the same category. Browse the Toolradar best lists to see what your team could consolidate.

Step 3

Switch the top 3

Use the per-tool cost calculators to compare alternatives at your exact team size. Many vendors are 30-50% cheaper than the category median.

How your stack compares by company size

The $9,643 global median hides a 4x spread by stage. Use the row closest to your headcount as your real benchmark.

Methodology

We compute the estimate department by department. For each department:

  1. Apply a headcount share (from BLS 2024 occupational data, e.g. engineering = 32% of total) to your company size.
  2. For each tool category in that department, multiply seats by an adoption rate (how often teams actually use a tool in that category) and a seat ratio (what share of the department needs one).
  3. Multiply the resulting seat count by the median per-seat monthly price from the Toolradar dataset for that category.

The $9,643 per employee benchmark comes from the Vendr SaaS Trends 2025 report, with cross-checks against Gartner B2B Buying Survey 2025 and BetterCloud State of SaaSOps.

All figures are estimates. Real spend depends on vendor discounts, custom contracts, and tool choices. Toolradar does not warrant accuracy.
