Accounting software for a photographer is the ledger that records session deposits, print and album sales, lab bills, mileage, and second-shooter payments. It is also what shows whether that job made money after the lab bill.

Three records have to share one file: a deposit schedule with a client name, a tag that splits session fees from product sales, and contractor payments inside the same close. Leave any one of those in a spreadsheet and the studio's year-end profit is only a guess.

A preparer signs the ledger, not the gallery app. Choose QuickBooks Online when the accountant already works in that file. Choose Xero when the whole office should share a single fee, and when 1099 tools should not wait for a higher tier. FreshBooks and Wave fit a smaller book. The booking itself lives in a studio system. HoneyBook, Studio Ninja, Sprout Studio, Pixieset, Dubsado, and ShootProof send the contract and the invoice, then pass the paid result to a ledger that still has to be signed.

Why the entry plan hides the session margin

The entry Intuit plan looks finished because an invoice form is already on the screen. Simple Start is $38/mo for 1 billable user and 2 accounting firms, and it still has no recurring transactions, classes, or inventory. A studio that bills a retainer at signing and the balance after the gallery types both invoices by hand. Wedding income stays in the same pile as the album, so the session margin is a guess until you move up.

Classes and locations begin on Plus, under one combined cap of 40, and inventory lets albums and prints sit on the same file as the job. Essentials, at $85/mo for 3 billable users, can repeat a transaction and still cannot tag the line of work. Advanced, at $340/mo, removes that class cap and allows 25 billable users. The chart of accounts stops at 250 on Plus. Reports-only users and time-only users do not take a billable seat, so an editor can see the week without a paid login.

Solopreneur is a separate one-person product at $20/mo. Intuit says upgrades are not available to or from it yet, so a later need for classes or inventory means a new subscription. Compare the two small-studio files on QuickBooks versus Xero before the accountant login exists.

Card fees are the other quiet bill. HoneyBook's card rate starts at 2.7% plus 10 cents, and a bank transfer is 1.5%.   • A processing fee you can put on the deposit (Nice to have)

    HoneyBook publishes a card rate and a lower bank-transfer rate, plus a fee to access funds faster, pending eligibility. FreshBooks and Wave publish card rates you can price into the retainer. ShootProof says it never takes a commission, and the client still pays through a processor you connect.

What to decide before a photography software demo

  1. If your US accountant is the one who will sign, open the quote on QuickBooks Plus so wedding fees, sessions, and print sales can be classes. Step up to Advanced once that combined list is full, or once the 5-user cap is what blocks the office.

  2. If the contract, the questionnaire, and the deposit schedule have to exist before the ledger, price HoneyBook Essentials or Studio Ninja Pro and keep QuickBooks or Xero as the close. Starter on either app can still leave the sync or the job cap off the plan you bought.

  3. Price Xero Established first when a bookkeeper shares the file and mileage should be claimed, and when extra people should not add a per-person fee. Choose that plan before you add a studio app on top.

  4. If the studio already lives in a gallery, buy Pixieset, Sprout Studio, or ShootProof for delivery and keep a ledger for the close. Keep that ledger even after the gallery app can email a bill.
