Best Invoicing Software for Manufacturers in 2026
Short answer: MRPeasy Starter is the best invoicing software for manufacturers in 2026, at $49/user/mo. Choose it when the customer bill has to come out of the same system as the production order. Katana Core, from $299/mo, fits a shop whose legal invoice already lives in QuickBooks or Xero. inFlow Manufacturing Start Up is $179/mo billed annually when the invoice should be native and the fee should stay flat. Odoo Standard is $24.90/user/mo in the first year when one company can run every app.
Pick the system that can bill the customer for what the plant actually shipped.
MRPeasy is the invoicing pick when a US plant wants the customer bill created in the same subscription as the production order. The work order and the PDF then share one contract, so nobody retypes the shipment to get paid. A shop that already closes in QuickBooks or Xero should price Katana before it adds a second ledger. Katana sends the sales order out as that invoice, which means the accountant's file stays the legal bill.
A two-person assembly bench that wants the PDF in its own product should price inFlow before a per-user ERP. The fee stays flat while that crew stays small, which a seat price will not.
Toolradar data: among 224 invoicing tools in the catalog, 5 are free and 67 are freemium, so 32% can be opened without a paid plan, while 147 (66%) are paid only.
A free invoice screen still fails a manufacturer when it cannot see a bill of materials, a shipment, or a deposit. This list is for the customer bill that follows a make, an assembly, or a shipment. The general ledger close is a different purchase, covered in accounting software for manufacturing.
Companies that bill other businesses without making the goods belong in invoicing software for B2B companies. How we chose: these 10 were ordered by whether the customer invoice is created from the manufacturing order, drawn from the 224 tools in the invoicing catalog. Small plants that need the bill and the production order in one file.
- Pro: Invoicing, quoting, and partial shipments are on Starter through Unlimited, so the first paid seat can already bill a shipment.
- Pro: A prepayment invoice covers the deposit on a customer order, and a later invoice covers the goods, which is the make-to-order sequence.
- Pro: Professional is $69/user/mo in US dollars for the B2B portal, and an annual payment covers 11 months rather than 12.
- Con: Unlimited is $149/user/mo with a minimum of 2 users, and MRPeasy bills that pair at $298, so a solo Unlimited login is not sold.
- Con: The B2B portal, serial numbers, and tiered pricing start on Professional, and RMA starts on Enterprise, so Starter is not the full commercial file.
MRPeasy's pricing is fair, especially for small manufacturers needing comprehensive MRP.
Shops that already send the legal invoice from QuickBooks or Xero.
- Pro: Core includes unlimited users, unlimited SKUs, and 1 inventory location, so a second login is not another seat.
- Pro: The free plan includes manufacturing features and every add-on, capped at 30 SKUs, with a 15-day grace if the catalog is larger.
- Pro: A sales order can go to QuickBooks in full, in part, or in a batch, and the payment status can sync back to the shop.
- Con: The legal invoice is created in QuickBooks or Xero, so the books are a second contract on top of Core.
- Con: Xero Growing is $55/mo after the intro and rises to $59/mo on October 1, 2026, and optional onboarding is $2,000. Delivered sales orders and locations past the first are usage priced, so the published start is the floor.
Katana's pricing is quite expensive, especially for smaller businesses.
Small makers who want a native invoice without a per-user manufacturing seat.
- Pro: Manufacturing Start Up is $179/mo billed annually and includes sales orders, invoices, bills of materials, and labor and material costs.
- Pro: Customers in the US and Canada can pay an invoice in the browser, and sales can still push to QuickBooks Online or Xero.
- Pro: Growth is $449/mo billed annually for 5 users, 12,000 sales orders a year, and unlimited locations, the step past a two-login bench.
- Con: Start Up includes 2 team members and 1,200 sales orders a year, and each extra order is $0.20, so a busy bench leaves the floor.
- Con: Growth's onboarding package is required at $499, and training is $199 per hour, so the subscription is not the whole first invoice.
inFlow's pricing is on the higher side, especially for smaller businesses.
Watch out
Add-ons like serial numbers are extra
Product businesses that invoice from stock and assemble on a paid module.
- Pro: Sales order management on the US price card includes invoicing, credit notes, and partial refunds, so a return can be credited on the same plan.
- Pro: Core is $399/mo with 3 users and 100 sales orders a month. Pro is $729/mo with 5 users, and production is included there.
- Pro: Order packs above that monthly cap are printed at $70/mo up to 500, $200/mo up to 1,500, and $490/mo when orders are unlimited.
- Con: The production module is $69/mo on Core and is not on Lite, so a $99/mo file can invoice and still cannot assemble.
- Con: Additional users cost $89/mo on Pro, and full onboarding is a $5,549 one-off that dwarfs a month of the subscription.
Unleashed's pricing, starting at $399/month for the Core plan, is on the higher side compared to some entry-level inventory management solutions, but it offers robust features from the start.
Watch out
Potential for API call overage fees
One-company plants that want every app on a published per-user rate.
- Pro: The US configurator prices Standard at $24.90 per user per month in the first year, $298.80 billed annually, for all apps.
- Pro: One App Free is $0 for one app and unlimited users, and required dependencies of that app stay free.
- Pro: Portal users, including a customer opening an invoice, are not paying users, so the seat count is the back office.
- Con: The discount is $6.20 off a $31.10 list and lasts 12 months for the initial users, so year two is the list rate.
- Con: Custom, which adds a second company, Studio, and the external API, lists $61/user/mo before its first-year discount, and Odoo.sh hosting is extra.
Odoo offers exceptional value for ERP.
Wholesale manufacturers that invoice in Cin7 and sync the books.
- Pro: Standard is $349/mo in USD for 5 users, 2 integrations, and 6,000 sale orders a year, with unlimited inventory locations.
- Pro: A sale invoice is created on the invoice tab, dated from the payment terms, and emailed as a PDF, so the bill is native.
- Pro: Standard assembly, including bills of materials and auto-assembly, is in the base subscription rather than a higher tier.
- Con: Pro is $599/mo for 10 users and 24,000 sale orders a year, and Advanced is $1,199/mo for 15 users and 120,000.
- Con: Production orders that schedule limited resources need the Advanced Manufacturing add-on, which has a 30-day trial and no printed monthly price.
Cin7's pricing, starting at $349/month for the Standard plan, is on the higher end compared to many inventory management solutions, especially for smaller businesses.
Watch out
Potential overage fees for exceeding order limits.
Manufacturers whose accountant will only accept a QuickBooks invoice.
- Pro: Advanced Manufacturing is $675/mo in USD and includes bills of materials, MRP, work orders, and made-to-order builds.
- Pro: Fishbowl runs the sales order through pick, pack, and ship, then tells QuickBooks Online to create the customer invoice.
- Pro: That QuickBooks connection maps accounts receivable, cost of goods sold, and inventory, so the shipment posts without a second typing job.
- Con: QuickBooks Online support is Plus and Advanced only, so the manufacturing fee still needs a second subscription that can record the invoice.
- Con: An implementation package is required, with data migration and a 6 to 8 week training certification, and Fishbowl does not print that package's dollar.
This pricing model seems best suited for small businesses with complex inventory needs already deeply invested in QuickBooks or Xero.
Plants that want Microsoft's ledger and production on one license.
- Pro: Business Central Premium is $110 per user per month, USD, billed annually, and it adds manufacturing and service management.
- Pro: Essentials is $80 per user per month and already includes sales, fulfillment, inventory, and finance, which is why a quote must name the tier.
- Pro: Both seats include a sales process, so the invoice does not require a second invoicing product once Premium is the manufacturing license.
- Con: A shop-floor login on Premium is a full seat, and Copilot credits for the Sales Order Agent are sold separately from that license.
- Con: The first Premium or Essentials subscription includes 80 GB of database capacity for the tenant, and more capacity is a separate purchase.
Microsoft Dynamics 365 offers a competitive pricing structure, particularly for its Enterprise CRM and ERP solutions.
Watch out
Potential for data storage overage fees
Mid-market plants that can buy an annual license without a sticker price.
- Pro: Order management, including the customer invoice path, comes with the platform license rather than as a small extra module.
- Pro: Advanced Manufacturing and Work Orders and Assemblies are separate modules, so a configured product can carry its own bill of materials.
- Pro: The license grows by adding modules and users on the annual contract, which suits a plant that will outgrow a small-business file.
- Con: NetSuite publishes no USD list price, because the annual fee bundles the core platform, optional modules, and users with a one-time implementation fee.
- Con: SuiteBilling, for usage and subscription invoices, is another module, so a progress or contract bill is not assumed in the base platform.
It's best suited for growing businesses that require a comprehensive, integrated ERP system and can absorb the higher initial costs.
Plants where a per-user seat would cost more than the transaction license.
- Pro: Pricing follows the applications you turn on, the transaction volume, and the deployment, and the price card does not charge a seat.
- Pro: The manufacturing quote-to-cash guide says customer invoices can be generated from shipments, and project work can be invoiced from the project.
- Pro: Order management covers quotes, fulfillment, and shipments in the same edition as production, so the bill is not a separate product.
- Con: Acumatica publishes no USD list price, so two plants with the same headcount can still receive two different quotes.
- Con: Estimating is called out as an optional module on the manufacturing datasheet, so a quoted job is not automatically in the first license.
What manufacturer invoicing software is
Manufacturer invoicing software turns a sales order or a shipment into the bill the customer pays. That bill stays tied to the goods that were made, which a generic invoice file will not check.
The ten products split on where that bill is born. MRPeasy, inFlow, Unleashed, Cin7, and Odoo can issue the customer invoice inside the product. A plant that wants one login for the build and the bill should start in that group.
Katana and Fishbowl keep production in their own file and hand the invoice to QuickBooks or Xero. The accountant's subscription is then a second bill, and a quote that skips the books understates what you will pay.
Dynamics 365, NetSuite, and Acumatica are the step when the invoice, the work order, and the ledger have to be one license. That full system sits closer to the ERP software guide than to a standalone invoice tool. Stock that is bought and resold, with no production step, is the inventory management software question instead.
Why the cheap plan often cannot bill a finished good
The expensive miss is buying the entry tier and finding manufacturing on the next card. Fishbowl's inventory plans exclude bills of materials, work orders, and MRP, so a maker on that cheaper cloud file still cannot invoice a build. Business Central Essentials covers sales invoicing, and Premium is the plan that adds manufacturing. An Essentials quote can send bills and still have no work order. Cin7 includes simple assembly on the base subscription, while production orders that need resource capacity are a separate Advanced Manufacturing add-on.
The second miss is treating the manufacturing subscription as the whole cost of getting paid. Katana creates the QuickBooks or Xero invoice from the sales order, so the ledger stays on its own contract. Xero's US Growing plan is $55/mo after the intro, and that rate becomes $59/mo on October 1, 2026. Early allows 20 invoices, which a weekly shipping schedule will exhaust before the month is over. Fishbowl's QuickBooks Online connection is limited to Plus and Advanced, so a lower plan cannot take the invoice Fishbowl exports.
Headcount changes which quote wins, even when the demos look alike. MRPeasy bills every user, then switches extra people past the first 10 into a $79 bundle of 10. That next block is a set of logins, not a charge for one more person. Katana Core does not bill a license per person, so a second planner adds no seat line. inFlow Start Up includes 2 logins and charges for more, which suits a bench better than an office. Odoo bills backend users and does not bill customers who only open their invoice on the portal. A five-person bench and a five-person office are not the same quote.
Key Features to Look For
An invoice tied to the shipment (Essential)
MRPeasy can create the invoice from a shipment, so the bill matches what left the dock. Cin7 invoices the sale only after that order is authorized, which keeps an unapproved job off the bill. Acumatica's manufacturing quote-to-cash guide generates invoices from customer shipments, so a bill with no shipment link is a retype.
A deposit before the build starts (Essential)
MRPeasy has a prepayment invoice for a customer order, then a commercial invoice when the goods go out. That prepayment type drops once one invoice covers more than one customer order, so a monthly combined bill cannot also be the deposit.
Partial billing without a second full invoice (Essential)
Katana can invoice packed and delivered lines into QuickBooks, and once an order is partial it cannot be billed again as one full invoice. Shipping fees land on the first partial QuickBooks invoice only, so a later shipment goes out without that freight.
The order cap on the cheap plan (Essential)
Unleashed includes 100 sales orders a month, Cin7 Standard includes 6,000 sale orders a year, and inFlow Start Up includes 1,200 a year. Past inFlow's cap, each extra order is $0.20, which stacks up on a high-volume bench.
Who is allowed to open the file (Important)
Katana Core has unlimited users, so a new planner does not add a seat. Unleashed Core includes 3, Pro includes 5, and Cin7 Standard includes 5, which fits a small office rather than a shift. Business Central bills a full user for sales and manufacturing, while an Odoo portal customer is not a paying user.
A named path into the books (Important)
Cin7 Core lists Xero and QuickBooks Online on the plan, and MRPeasy lists both plus its own accounting module. Fishbowl exports the invoice into QuickBooks and maps accounts receivable, so the accountant does not rekey the shipment.
A renewal date, not the intro (Nice to have)
Odoo's first-year discount lasts 12 months for the initial users, so the renewal is a different budget. Xero's 90% US offer for a first organization runs through September 30, 2026, and the list moves on October 1, 2026.
What to decide before the trial
If the customer invoice must be created inside the manufacturing system, price MRPeasy Starter before a tool that only pushes a sales order into QuickBooks. That push leaves the legal invoice in QuickBooks, outside the plant system.
If logins should not be seats and the catalog is still small, price Katana's free plan at 30 SKUs before Core. Leave that plan when the SKU list or a second location shows up, because both move the bill.
If the plant is one company and can live on Odoo Online, price Standard before Custom. A second company or Studio moves the database to Custom, which is a different per-user rate.
If several warehouses and a yearly order count are the constraint, price Cin7 Standard against Pro before you ask for Advanced Manufacturing. That module is an add-on, and the order cap will bind first on a busy line.
Evaluation Checklist
On MRPeasy, create a prepayment invoice and a shipment invoice on Starter, then combine two orders and confirm the prepayment type disappears.
On Katana, send one partial sales order to QuickBooks and check that shipping sits on the first invoice only. Then confirm Xero invoices are tax exclusive, and that shipping fees are not supported on that path yet.
On inFlow Manufacturing, count sales orders against the Start Up yearly cap, and confirm online payments are limited to the US and Canada, so a buyer elsewhere cannot pay in the browser.
On Unleashed, add the production module price to Core unless you are buying Pro, or the file will invoice without assemblies.
On Odoo, install Manufacturing and Invoicing together and see whether the database stayed on One App Free or moved to Standard.
On Cin7, authorize a sale invoice on Standard and confirm simple assembly is included. Then check that production orders which need resource capacity ask for the Advanced Manufacturing add-on.
On Fishbowl, reject the inventory cloud plans if you build products, then confirm the QuickBooks Online file is Plus or Advanced before you connect.
On Business Central, reject a quote that names only Essentials if the plant makes the goods, because Premium is the manufacturing seat.
On NetSuite, ask for the platform, the manufacturing module, the user count, and the implementation fee as four lines, because the public site has no single dollar.
On Acumatica, ask which applications are in the license and whether shipment invoicing is included, since the price is usage and apps rather than a seat.

Prices checked on vendor sites on September 24, 2026, and MRPeasy prices are USD for US customers. Past the first 10 users, MRPeasy adds $79 per 10-user bundle, which is the step after the opening block of seats. Odoo Custom lists $61/user/mo before the first-year discount, the rate a second company lands on. Xero Growing is $55/mo after the intro and $59/mo from October 1, 2026, the books fee under a Katana or Fishbowl invoice.
Mistakes to Avoid
- ×
Buying Fishbowl's inventory cloud plan because the monthly figure is lower, then finding that bills of materials and work orders sit on Advanced Manufacturing.
- ×
Counting Katana Core as the whole cost of the invoice, while QuickBooks or Xero is still due and Early's 20-invoice cap will not survive a production week.
- ×
Putting a deposit and a month of shipments on one MRPeasy invoice, which drops the prepayment type once the bill covers more than one customer order.
- ×
Signing Business Central Essentials for a plant that makes the goods, because sales invoicing is on that seat and manufacturing is on Premium.
- ×
Treating Odoo One App Free as Manufacturing plus Invoicing, even though a second app moves the database onto Standard.
- ×
Expert Tips
- →
Write one real shipment invoice, on the terms you offer, inside the plan you would buy, because an inventory-tier trial never shows that bill.
- →
If the accountant already lives in QuickBooks or Xero, compare those files on QuickBooks vs Xero before Katana or Fishbowl adds another product on top of the books.
- →
On MRPeasy, give seats to people who actually open the system. Past the first 10 users the next block is a 10-user bundle, which costs less than ten full seats and is still not free.
- →
On Odoo, count backend users only, because a customer who pays from the portal is not a seat and a second company is the Custom plan.
- →
Put October 1, 2026 on any Xero subscription that will receive Katana invoices. That is the day the US list changes, and the 90% new-organization offer ends the day before.
- →
If the open question is the ledger rather than the customer bill, leave this page for accounting software for manufacturing. The quote-only pair to read next is NetSuite vs Sage Intacct.
Red Flags to Watch For
-
Fishbowl Inventory from $229/mo billed annually is the wrong order for a maker, because those plans exclude bills of materials, work orders, and MRP.
-
Xero Early is $25/mo after the intro and stops at 20 invoices, so a Katana shop that ships every week leaves that plan in the first month.
-
Cin7 Standard is $349/mo and stops at 6,000 sale orders a year, so a high-volume assembly line has already outgrown the sticker.
-
Odoo One App Free is one app, so installing another moves the file to Standard, and a second company moves it to Custom.
-
Unleashed Lite can send invoices, and the production module is optional on Core rather than included, so a $99/mo file is not yet a manufacturing invoice.
The Bottom Line
MRPeasy Starter is the manufacturer invoice when the bill is created from the customer order inside the plant system. Katana Core is the buy when that legal invoice must land in QuickBooks or Xero and extra logins should not be seats. inFlow Manufacturing is the flat fee when a small bench wants a native invoice and a US card payment.
Unleashed and Cin7 fit product companies that already think in sales orders, with a hard cap on how many orders the cheaper plan includes. Odoo Standard is the per-user suite when one company can run manufacturing and invoicing together. Fishbowl Advanced Manufacturing is the QuickBooks export, and Business Central Premium is the Microsoft seat that includes manufacturing.
NetSuite and Acumatica are the written quotes once a sticker price is no longer how you compare, and neither number is on the website.

Frequently Asked Questions
What is the best invoicing software for manufacturers in 2026?
MRPeasy Starter is the best fit for most small US manufacturers in 2026 when the customer invoice has to be created in the same system as the production order. Katana Core fits a shop that must keep the legal invoice in QuickBooks or Xero. inFlow Manufacturing Start Up fits a small bench that wants a native invoice on a flat annual fee. Odoo Standard fits one company that wants every app in the first year.
How much does MRPeasy cost to invoice a manufacturer's customers?
Starter is $49 per user per month and already includes invoicing, quoting, and shipment invoices, so the entry seat can bill a shipment. Professional is $69 per user per month and adds the B2B portal, while Enterprise is $99 per user per month. Unlimited is $149 per user per month with a 2-user minimum, which MRPeasy bills at $298. Users past the first 10 are $79 per 10-user bundle. An annual payment covers 11 months rather than 12, and prices for US customers are in US dollars.
Is there a free invoicing option for a manufacturer?
Katana's free plan includes the manufacturing features and every add-on, with unlimited users, and it stops at 30 SKUs. Odoo One App Free is $0 for one app and unlimited users, and installing a second app moves the database to Standard. MRPeasy offers a free trial of the full feature set and does not publish a free ongoing plan, while inFlow offers a 14-day trial. A free SKU cap or a single app is what starting at nothing gives the plant.
Katana or MRPeasy when the customer has to be billed?
Pick MRPeasy when the invoice, including a prepayment invoice and a shipment invoice, should be created inside the manufacturing system on the Starter seat. Pick Katana when QuickBooks or Xero must remain the legal invoice and you do not want a fee per person, because Core is a monthly platform fee with unlimited users. Katana's Xero invoices are tax exclusive, and shipping fees are not supported on that path yet. Partial QuickBooks invoices cannot be replaced later by one invoice for the whole order.
Does Fishbowl send the manufacturer invoice, or does QuickBooks?
QuickBooks creates the customer invoice after Fishbowl Advanced Manufacturing, at $675/mo, runs the order through picking, packing, and shipping. The export lands in QuickBooks Online Plus or Advanced, and the cheaper Inventory plans, from $229/mo billed annually, do not include manufacturing. An implementation package is required, and Fishbowl does not print its price. The ledger under that export is the choice on QuickBooks vs Xero.
How much is Business Central if we manufacture and invoice?
Premium is $110 per user per month, billed yearly in USD, and it is the seat that adds manufacturing and service management. Essentials is $80 per user per month and includes sales, fulfillment, inventory, and finance, so a plant can invoice on Essentials and still have no manufacturing. Copilot credits for the sales agent are a separate purchase on top of either seat. The wider comparison, when the quote has no sticker, is NetSuite vs Sage Intacct.
What if NetSuite and Acumatica will not print a price?
Treat both as quotes rather than as zero, because neither site prints a dollar you can rank. NetSuite's annual license is the core platform, the modules, and the users, plus a one-time implementation fee, and Advanced Manufacturing is one of those modules. Acumatica prices applications, usage, and deployment, and it does not price a seat. Its manufacturing quote-to-cash guide says invoices can be generated from shipments. Ask for those lines in writing before you compare either quote with a published per-user seat, or start from NetSuite alternatives.
