What a real estate vendor bill has to carry

Accounts payable software for real estate records a vendor bill against a property, pays the vendor without spending the owner's reserve, and produces the 1099 from those payments. A shared inbox of PDFs can send the ACH and still leave the owner statement wrong.

The property on the bill is the first test. DoorLoop Pro can put a property, and an optional unit, on a vendor bill, and Rent Manager tracks which properties that bill hits. A bill posted to one company expense account cannot tell an owner which building ate the roof repair.

Trust cash is not operating cash. Yardi Breeze maintains escrow and trust accounts and pays vendors and owners by check or EFT, and Buildium points reconciliation at trust accounting rules. Paying from the management company's only bank account mixes client funds with the firm's own money.

The 1099 is the year-end version of the same bill. Breeze prepares and e-files 1099s from payments already in the property books. Rent Manager treats electronic filing as required past the IRS threshold, and DoorLoop Starter cannot e-file because it cannot create the vendor bill.

A payment fee sits beside the subscription. Buildium charges for every outgoing vendor transfer, BILL charges for ACH and a mailed check, and Melio includes a handful of free ACH payments, then a per-payment charge. A cheap seat plus that meter is still a monthly total once the vendors are paid.

A property system is not an approval overlay. Yardi Voyager PayScan imports the invoice into Voyager, AvidXchange pays suppliers from inside AppFolio or Rent Manager, and Sage Intacct can tag a bill with a location without replacing the leasing desk. Treat the overlay as the property system and the owner statement stays in a second product.

Why the property on the bill decides the product

The demo usually shows a clean approval. Real estate payables fail when the payment cannot be tied to a property, a unit, and an owner, which many general bill-pay plans never mention. Pay the vendor from the wrong bank account and the owner statement is already wrong.

Start with the property ledger, not the payment network. Breeze, AppFolio, Buildium, Rent Manager, and DoorLoop Pro can hold the vendor bill inside the property books. Voyager PayScan, AvidXchange, BILL, and Melio move the invoice or the payment, then the close still happens in one of those ledgers or in QuickBooks. Treat the payment tool as the property system and you own two products at month-end.

A published per-unit rate is not the whole Yardi bill. Approval workflows, approval limits, and full-service scanning are Premier features, and the October 29, 2025 release includes Smart AP with Premier at no additional cost. Ask for Premier by name, or the residential rate will not match the demo.

AppFolio Core states a unit minimum, so a smaller portfolio cannot buy that accounting. AvidXchange waives supplier transaction fees on Plus or Max. Buildium meters every outgoing vendor transfer. DoorLoop Starter caps the portfolio, and as of August 3, 2026 it can record an expense and still cannot create a vendor bill.

Voyager is the step up when PayScan has to import into the enterprise ledger, and that order has no list price.   3. Separate the subscription from the payment. Buildium's outgoing EFT, BILL's ACH and check, and Melio's ACH after the free allotment are monthly totals the seat price hides. AvidXchange waives AppFolio supplier fees only on Plus or Max, and an existing Avid contract has to opt in.
