Best Accounting Software for CPA Firms in 2026

TL;DR

Short answer: QuickBooks Online is the client file a US CPA firm should price first in 2026. Simple Start is $38/mo, Plus is $140/mo when that client needs classes, inventory, or project profit, and the firm hub has no monthly fee. Choose Xero when you want no per-user fee: Early is $25/mo and the partner practice file is free. TaxDome is the tax-season workspace at $800 per seat per year, and it is not the ledger. Karbon Team is $59/user/mo on a yearly bill when the gap is email and workflow.

Price the client file you will actually sign, then the seat that runs tax season, because a portal does not close the books.

265 Accounting tools tracked

Most US CPA firms should stop hunting for a new general ledger and price the QuickBooks file the client already has. The client subscription is the bill that moves, and the firm hub that opens those files has no monthly fee. A practice tool can run tax season beside that file, and it still leaves the close on the ledger.

Toolradar data: 71% of the 265 accounting tools we track are paid-only, while 26% still publish a free or freemium plan (9 free, 60 freemium).

That free share is why a no-fee invoicing app keeps winning this search, even though it cannot tag a class or hand a multi-entity close to a reviewer. This ranking is for a licensed CPA firm with staff, many client files, and its own books.

A solo bookkeeper choosing one ledger should use the accounting software for accountants guide, because that buyer is not staffing a tax season. QuickBooks Online is the default client file when the client's books are already there. Xero is the default when the firm wants one organization fee and a free file for its own books.

Every other ledger in the category is listed in the accounting catalog. How we ranked: these 10 products were set beside the full accounting catalog of 265 tools, each price taken from the vendor site in September 2026, with no rank paid for.

QuickBooks Online logo

QuickBooks Online

Top Pick
  • 4.4 on G2 (405 reviews)

CPA firms whose small-business clients already live in QuickBooks.

+Intuit Accountant Suite Core has no monthly fee, so the firm hub is not a line on the software budget. It replaces QuickBooks Online Accountant when that product ends on December 31, 2026.
+Simple Start includes 1 billable user and access for 2 accounting firms, and Essentials raises that to 3. Plus, at $140/mo, adds inventory, project profit, and classes capped at 40, so a department tag changes the plan.
+Advanced, at $340/mo, allows 25 billable users and 3 accounting firms, and it includes Bill Pay Elite. The same add-on is $45/mo on Simple Start, Essentials, and Plus, so a smaller client still pays that fee to match Advanced.
−The 50% introductory discount lasts 3 months, then the renewal is the list rate, so a client who priced the demo is looking at a different number six months later.
−Accelerate and Books Close stay in a free beta through January 19, 2027. Intuit starts charging on the next bill from January 20, 2027 and publishes no later price, so do not promise a permanent waiver.

Watch out

50% introductory discount expires after 3 months, doubling your bill overnight

2
Xero logo

Xero

  • 4.4 on Capterra (3,325 reviews)
  • 4.4 on G2 (1,833 reviews)

Firms that want a flat client fee and a free file for the practice.

+The partner program has no ongoing fee and includes a subscription for the practice, so the firm's own books are not a second organization charge. One paid client has to be attached within 60 days, or the partner terms are not met.
+Established, at $90/mo, holds multiple currencies, project time, and expense claims, which is the file a foreign-currency client actually needs. Xero sells no per-user license, and the first 90 days include a product specialist at no extra charge.
+Every US plan includes W-9 and 1099 tools, and payroll through Gusto is optional at $36/mo plus $6 per person. Skip that add-on while a client only pays contractors.
−Growing, at $55/mo, leaves out project tracking and foreign currencies, so a client with either need is on a higher plan. Early caps the file at 20 invoices and 5 bills, and app-created invoices count, so a connected bill-pay tool can exhaust the plan.
−On October 1, 2026, Established moves to $97/mo, Growing rises by $4/mo, and Early moves to $27/mo, so a proposal from the month before is already stale. Below Silver, Practice Management is $149/mo for up to 10 users after a 14-day trial.

Watch out

Potential add-on costs for specific integrations

3
Sage Intacct logo

Sage Intacct

  • 4.3 on G2 (4,086 reviews)

Firms and clients that need multi-entity accounting past QuickBooks.

+Sage prices US modules for the organization that needs them, which suits a client who has outgrown a class cap of 40 and should wait on a written quote.
+User subscriptions are named and time-based, so a seat can be reassigned when someone leaves and cannot be shared. That matches how a CPA firm already controls who is allowed to post.
+The US terms renew for another year unless either side gives notice at least 30 days before the end. A fee change also needs 30 days' notice and waits for the next renewal, so the signed term keeps its price.
−Sage publishes no US list price, so a pound figure from the UK is the wrong number to put in front of a client.
−Adding users or modules mid-term is prorated onto the current subscription, and implementation is contracted separately from the license. The quote a partner sees is not the whole first-year cost, so the engagement budget needs both.
4
FreshBooks logo

FreshBooks

  • 4.5 on Capterra (4,526 reviews)
  • 4.5 on G2 (981 reviews)

Clients that bill time and will not move into QuickBooks.

+Plus, at $43/mo, is the first plan with double-entry reports, bank reconciliation, and accountant access, and it allows 50 billable clients. A service client can hand you that file without buying QuickBooks.
+Premium, at $70/mo, adds project profitability and accounts payable, with no client cap, so a project shop can see margin. A 30-day trial does not require a card, and a purchase can be refunded inside 30 days.
+Card payments are 2.9% plus $0.30, and a US ACH transfer is 1%, which is what the client pays to collect inside FreshBooks. Select is the quoted plan with 2 team member accounts and Advanced Payments, which lower plans charge at $20/mo.
−Each added person is $11/mo, so price that seat before you compare Plus with an organization fee that does not charge per login.
−Lite, at $23/mo, stops at 5 billable clients and leaves out accountant access, so you cannot work inside that file. Active and archived clients both consume the cap, and only deleting the client frees a slot.
Good value

FreshBooks' pricing is fair for small businesses, though it can become expensive as client numbers grow.

Watch out

Potential for add-on service costs

5
Zoho Books logo

Zoho Books

  • 4.4 on Capterra (680 reviews)
  • 4.4 on G2 (329 reviews)

Small clients that need projects at a lower organization price.

+Standard is $15/mo billed annually or $20/mo month to month, with 3 users and up to 5,000 invoices a year, which suits a client who does not need projects. Professional is $40/mo billed annually or $50/mo month to month, with 5 users, and it adds projects, inventory, and purchases.
+While revenue for the financial year stays under $50,000, the free plan stays available, with 1 user, 1 accountant, and a ceiling of 1,000 invoices. That covers a micro client, so a busier file has to move to a paid organization.
+A 14-day trial comes before any paid plan, and an extra user is $2.50/mo billed annually or $3/mo month to month. A sixth login on Professional is a known line, not a surprise invoice.
−Standard and Professional include 200 receipt scans a month, and the free plan includes 50, so a receipt-heavy client hits a second meter. Past that cap, scans are an add-on, which means the organization fee was not the whole bill.
−The accountant seat on the free plan is one person, so several staff inside a larger file need a paid organization. Projects are not what Standard is sold for, which is why a job-costing client should start on Professional.
Great value

Zoho Books is the best value in cloud accounting.

Watch out

Additional users cost $2.50/user/month on top of plan price

6
Wave logo

Wave

  • 4.4 on Capterra (1,730 reviews)
  • 4.3 on G2 (328 reviews)
  • 3.2 on SourceForge (1 reviews)

Micro clients that need invoices and a profit and loss before a paid ledger.

+Starter includes unlimited invoices, bills, estimates, and bookkeeping records with no subscription fee, so a micro client can bill before anyone pays for software. It stops being enough once the bank has to import.
+Pro is $19/mo, or $190 billed annually, and it adds automatic bank import, unlimited receipt capture, and admin, editor, and viewer roles. A payroll manager or a Block Advisors tax pro can be invited on the free side, so viewing the file does not require Pro.
+A card payment on Starter is 2.9% plus $0.60, and American Express is 3.4% plus the same fixed fee. Pro drops that fixed portion on the first 10 card charges each month, and new subscribers see $9.50/mo for the first 3 months.
−Pro is charged per business, so ten micro clients on Pro are ten subscriptions. Wave Advisors starts at the advisor rate in the comparison table and does not replace that per-business math.
−Published plans cover invoices, bills, receipts, and a profit and loss, and they do not list class tracking or project profitability. A client who needs those tags belongs on QuickBooks Plus or Xero Established, which is a different subscription from this file.
Great value

Wave's Starter tier is incredibly generous, offering unlimited invoicing and bookkeeping for free, which is rare in the market.

7
Botkeeper logo

Botkeeper

  • 4.4 on Capterra (71 reviews)
  • 4.4 on G2 (36 reviews)

Firms automating client bookkeeping inside QuickBooks Online or Xero.

+An Infinite license is $69 per entity and includes GL Auto, auto bank recs, and the transaction tools, and it requires QuickBooks Online or Xero. The ledger you already close stays the system of record.
+Dedicated bookkeeping help is a flat monthly rate on top, and it turns on only after the firm holds 10 active Infinite licenses. Ten licenses alone are $690/mo before any person is assigned, so the staffing promise is a volume commitment.
+Lite keeps tasks, documents, and a password manager for clients that are not on those two cloud ledgers. It omits the automation, and the price sits in the agreement, so a desktop client does not get the Infinite workflow.
−Botkeeper is not the general ledger, so the client still needs a QuickBooks or Xero subscription underneath it. A desktop file does not receive the Infinite automation, which means those clients stay on Lite.
−License counts and the billing cadence sit in the contract, so the per-entity rate still needs the agreement behind it. There is no public month-to-month versus annual grid the way QuickBooks publishes one.
8
TaxDome logo

TaxDome

  • 4.7 on G2 (729 reviews)

Tax-heavy CPA firms that need a portal, workflow, and billing in one seat.

+Essentials is $800 per seat per year on a 1-year term, Pro is $1,000, and Business is $1,200, all in US dollars. A 3-year Pro seat drops to $900 per year, and the full term is billed upfront.
+Pro can add a monthly seat at $100 for short-term staff, and Business can add a seasonal seat at $500 for 4 months, which covers busy season without another full-year seat.
+One person is one seat, and the firm owner has to hold a full-term seat, so the owner cannot sit on a monthly add-on. Firms whose invoice exceeds $9,000 can use an installment plan, and a 10-seat Business order will cross that line.
−Essentials is the single-user plan, so a two-preparer firm is on Pro at $1,000 per seat per year. There is no free tier under Essentials, which means the first login is already a paid annual seat.
−TaxDome stores the portal, the organizers, and the billing, and the client's general ledger stays in a separate file. That subscription is not included in the seat, so dropping the ledger to pay for this seat leaves the month unclosed.
Good value

TaxDome's pricing is generally fair, offering a good range of features across its tiers.

Watch out

Monthly Pro seats are 20% more expensive.

9
Karbon logo

Karbon

  • 4.8 on G2 (930 reviews)
  • 4.1 on Trustpilot (79 reviews)

Firms that live in email and already close in QuickBooks or Xero.

Karbon screenshot
+Monthly Team is $79/user/mo, and that option exists only for teams of 4 or more, so a two-person firm stays on the yearly bill for even a short test.
+Business, at $89/user/mo yearly or $99/user/mo monthly, adds the automatic client reminders and task automation that Team withholds. Team stops at 40 work templates and 10 automators, while Business raises those caps to 75 templates and 25 automators.
+Card payments collected through Karbon are 2.6% plus $0.30, and ACH is 1% plus $0.30 with a $5 cap. E-sign credits start at $100 for a bundle of 100, so a heavy engagement-letter month is another line on the bill.
−Karbon is practice management, so it does not replace the client ledger, and Enterprise, the tier with unlimited automators, is a custom quote.
−Every person who needs access is a paid user, so a seasonal preparer who only needs March still consumes a seat unless you remove them. The monthly option is unavailable below 4 users, which locks a smaller firm into the annual bill.
Fair value

Karbon's pricing is on the higher side for accounting practice management software, especially the Business tier at $89/month (annual) or $99/month (monthly).

10
Canopy logo

Canopy

  • 4.6 on G2 (834 reviews)

Tax practices that want resolution tools and a portal beside the ledger.

+Standard is $74/user/mo billed annually and includes the CRM, documents, e-sign, the portal, workflows, invoicing, and payments. Plus is $109/user/mo yearly and adds user roles, capacity planning, and custom reporting for a reviewer split, and annual billing saves 20%.
+Close automation is $10 per connected client each month after the first 5 connections, so every client after that is a new monthly line. Tax resolution is $50/user/mo on annual billing, the tax-workflow credit starts at $34 per client, and knowledge-based authentication is $1.25 per credit.
+Premium is $149/user/mo billed annually, a different budget from the Standard seat most firms demo first. Enterprise is the quote Canopy points at firms around 200 people.
−Canopy does not close the client's books, so QuickBooks, Xero, or another ledger is still required beside the seat. Standard also leaves out the user roles a reviewer-and-preparer split usually needs, which pushes that firm to Plus.
−Card payments are 3.30% plus $0.20, and ACH is 1% with a $10 cap, so collecting through Canopy is its own fee. A firm that already takes cards in FreshBooks or Wave should not assume this seat is the cheaper way to get paid.
Good value

Canopy's pricing structure is somewhat complex, mixing per-user modules with platform-based pricing.

What accounting software for a CPA firm actually is

Accounting software for a CPA firm is the ledger that holds each client's books, plus the firm hub that opens those files from one login. A portal, a workflow board, or an e-sign tool can sit beside that ledger, and none of them becomes the general ledger a reviewer signs.

The ten products below are three different purchases, and mixing them up is how a firm pays twice. QuickBooks Online, Xero, Sage Intacct, FreshBooks, Zoho Books, and Wave are the ledgers, the file where the month closes.

Botkeeper automates bookkeeping on top of QuickBooks or Xero, so the client still needs a ledger underneath. TaxDome, Karbon, and Canopy run the practice, from the portal to tasks and billing, and Canopy also covers tax-resolution work. Buy that third group only after the ledger has a name.

A client that has outgrown a single-company file and still needs an ERP is a different quote. NetSuite publishes no public USD license price, so budget a quote for an annual core platform, optional modules, and users, plus a one-time implementation fee.

That path is covered in the enterprise accounting software guide, and a firm still choosing the weekly close should use the bookkeeping software guide.

Why the firm hub and the client plan are different bills

The expensive mistake is treating the free firm login as the client's subscription. QuickBooks Online Accountant retires on December 31, 2026, and Intuit Accountant Suite Core replaces it with no monthly fee for the firm. The client still buys Simple Start, Essentials, Plus, or Advanced, so a demo of the free hub is not a priced engagement.

Plus is the first Online plan with inventory, project profitability, and class and location tracking capped at 40. A client who needs a department tag on Simple Start has to change subscriptions. Advanced removes the class cap and allows 25 billable users. Essentials stops at 3 billable users, so a four-person client office is already off that seat.

Xero splits the same problem by organization, not by seat, so several staff can share a client without a login fee. Early allows 20 invoices and 5 bills and does not auto-reconcile, so a normal bookkeeping client still reconciles by hand. Growing adds auto-reconcile but leaves out multiple currencies and project time, so those clients belong on Established.

The firm can run its own books on a free partner subscription and still pay for every client organization. Compare the two ledgers on QuickBooks vs Xero before a partner meeting locks either file.

Five Karbon Team seats come to $3,540 a year at the yearly rate, and five Canopy Standard seats come to $4,440 a year. Five TaxDome Pro seats come to $5,000 a year, billed upfront, and none of those totals includes the client ledger. A firm that expected the portal to replace QuickBooks still owes both.

Key Features to Look For

  • A firm hub that is not the client subscription (Essential)

Intuit Accountant Suite Core has no monthly fee, and QuickBooks Online Accountant ends on December 31, 2026, so move the firm login before year-end. Xero's partner program is free and includes the firm's own books if one paid client is attached within 60 days, while the client plan stays a separate charge.

  • Class, inventory, and project profit on a named plan (Essential)

QuickBooks puts inventory, project profit, and classes on Plus, capped at 40, so a department tag means a new plan. Xero holds multiple currencies and project time on Established only, and FreshBooks hides margin until Premium.

  • A user cap you can count before you onboard the client (Essential)

QuickBooks allows 1 billable user on Simple Start, 3 on Essentials, 5 on Plus, and 25 on Advanced, with firms connecting through the accountant hub. Zoho Standard includes 3 users and Professional includes 5. FreshBooks charges for each added person, and Xero does not, which is why the organization fee replaces seats.

  • A practice seat that stays off the general ledger (Essential)

TaxDome, Karbon, and Canopy bill per person for the portal, tasks, and engagement letter, and none of them is the client's chart of accounts. Botkeeper automates categorization inside QuickBooks Online or Xero at one license per entity, and a desktop file does not get that automation.

  • Tax-season capacity you can add without a new annual seat (Important)

TaxDome can add a monthly seat on Pro and a 4-month seasonal seat on Business, so March does not require another annual license. Karbon's month-to-month rate exists only for teams of 4 or more, and Canopy bills tax resolution per user on top of the seat.

  • A receipt and close limit that shows up in February (Important)

Canopy includes close automation for the first 5 connected clients, then charges for each one after that. Zoho includes 200 receipt scans a month on Standard and Professional, and the free plan stops at 50. Wave Starter does not import the bank, and Pro, charged per business, does.

  • A list price dated after the promo (Nice to have)

New QuickBooks clients get an introductory discount for 3 months, then the list rate, so quote the renewal. New US Xero clients can take an intro offer through September 30, 2026, the US list rises on October 1, 2026, and FreshBooks is advertising a first-year intro on Lite.

What to decide before the partner meeting

  1. If the preparer will only sign QuickBooks, match the plan before you quote: Simple Start for one user, Essentials when 3 people post, and Plus for classes, inventory, or project profit. The free hub does not change that client plan, so a proposal that names only the hub is underpriced.

  2. If you want no per-user fee and a free practice file, price Xero and keep a bookkeeping client off Early. Use Growing or Established for a normal month, and add Practice Management until the firm reaches Silver, because below that it is a separate subscription after the trial.

  3. If the client has multiple entities or a dimensional close that makes QuickBooks Advanced feel small, ask Sage Intacct for a written US quote. A UK pound figure is not a dollar price, so the partner packet needs the quote in dollars.

  4. If the work is tax season rather than the close, price TaxDome, Karbon, or Canopy as the practice seat and keep the ledger. TaxDome Essentials is one user, Karbon Team omits automatic reminders, and Canopy Standard omits the roles that arrive on Plus.

  5. If the client will not learn QuickBooks, price FreshBooks Plus for accountant access, or Zoho Books when the organization fee should stay lower. Wave Starter fits a micro client that only needs invoices and a profit and loss, until the firm needs the bank imported.

Evaluation Checklist

  • On QuickBooks, write the client's plan on the engagement letter, and confirm classes, inventory, or project profit, because those start on Plus.

  • On the firm side, confirm the login is Intuit Accountant Suite Core, and calendar December 31, 2026 as the QuickBooks Online Accountant retirement.

  • On Xero, keep a bookkeeping client off Early past 20 invoices or 5 bills, because that plan will not auto-reconcile. Put October 1, 2026 in the renewal budget so the quote matches the list they will pay.

  • On the Xero partner account, attach one paid client within 60 days, or the free practice file misses the partner terms. Decide whether Practice Management is included from Silver or billed as the Bronze subscription.

  • On FreshBooks, count active and archived clients against the cap before you promise Plus will last the year, because an archived name still occupies a slot.

  • On Zoho Books, buy Professional when the client needs projects, and price every user past the 5 included on that plan.

  • On Wave, choose Starter or Pro per business, because bank import and an editor login for the firm are Pro and the fee repeats per company.

  • On TaxDome, Karbon, or Canopy, name the ledger in the same order, because a practice seat without a file still leaves the close undone.

  • On Botkeeper, confirm each client is on QuickBooks Online or Xero before you count Infinite licenses, and skip dedicated staff until you hold 10 of them.

Mistakes to Avoid

  • ×

Quoting the free hub as the client's QuickBooks plan underprices the engagement, because Core has no monthly fee and the client still pays Simple Start, Essentials, Plus, or Advanced.

  • ×

Leaving a bookkeeping client on Xero Early because the sticker looks lower. The plan allows 20 invoices and 5 bills with auto-reconcile off, so the month is still reconciled by hand.

  • ×

Buying TaxDome Essentials for a team leaves the second preparer without a seat, because that plan is a single user and the next person needs Pro.

  • ×

Expecting Karbon Team to nag clients misses the boundary, because automatic reminders and task automation start on Business. A firm under 4 people cannot choose the monthly price, so the trial is an annual commitment.

  • ×

Counting a Wave business once underprices the stack, because Pro is per business and editor access for the firm is not on Starter.

  • ×

Signing Botkeeper for a desktop client and expecting GL Auto will fail, because Infinite automation is for QuickBooks Online and Xero and dedicated staff wait until the firm holds 10 Infinite licenses.

Expert Tips

  • →

Write the client's QuickBooks plan into the proposal, not the firm hub. If the open question is leaving Intuit, start from QuickBooks alternatives and read QuickBooks vs Xero before the partner vote.

  • →

Put October 1, 2026 on every Xero order, because the US list changes that day, the 90% new-customer offer runs through September 30, 2026, and the multi-organization discount starts phasing out.

  • →

Price five seats before you demo a portal, because Karbon Team, Canopy Standard, and TaxDome Pro are different yearly bills and none includes the ledger. The wider file list is the accounting software guide.

  • →

Use FreshBooks Plus, not Lite, when you need to open the client's file, because accountant access starts on Plus and archived names still count toward the 50-client cap.

  • →

Keep Sage Intacct on a US quote, and if the client is past a single company and the quote comes back thin, the next ERP conversation is NetSuite in the enterprise accounting guide.

  • →

Separate the close from the portal before you add another login. A firm that still needs the monthly procedure should read the bookkeeping software guide before it adds another subscription.

Red Flags to Watch For

  • !

A proposal that quotes the free firm hub and never names the client's QuickBooks plan, so the engagement skips the subscription the client will pay.

  • !

Early as the Xero plan for a monthly bookkeeping client: the ceiling is 20 invoices and 5 bills, and auto-reconcile stays off.

  • !

TaxDome Essentials for a two-person firm, because that plan is a single user and the second preparer needs Pro.

  • !

Karbon Team when the firm expected automatic reminders and task automation, because those start on Business and a team under 4 people cannot test them monthly.

  • !

Canopy Standard when staff need roles, because those start on Plus and the cheaper seat is wrong when preparer and reviewer are different people.

  • !

Botkeeper Infinite on a QuickBooks Desktop client, because non-cloud ledgers fall to Lite and lose the automation. Lite's price is in the contract, so the Infinite rate is the wrong number for that client.

  • !

A Sage Intacct conversation that ends on a UK pound figure, because the US price is a custom quote and that pound amount will not be the invoice.

The Bottom Line

QuickBooks Online is the pick when the client is already in that file. Keep the firm on Intuit Accountant Suite Core, which has no monthly fee, and buy Plus when the engagement needs classes, inventory, or project profit, because a department tag is a plan change.

Xero is the pick when several people share a client file and nobody should pay per login. Put foreign currency and project time on Established, budget the October 1, 2026 list, and keep the practice books free through the partner program once a paid client is attached.

Sage Intacct is the pick when the client has outgrown a single-company file and you can wait for a US quote. FreshBooks Plus is the pick for a service client who will not move.

Zoho Books Professional is the pick when projects should live at a lower organization price. Wave Starter is the pick for invoices and a profit and loss, and Pro is the pick when the firm needs the bank import.

Botkeeper is the pick for automation on QuickBooks Online or Xero, at one Infinite license per entity. TaxDome, Karbon, and Canopy are the portal and workflow picks when the firm is tax-heavy, email-heavy, or resolution-heavy. Buy them beside the ledger, because the portal does not close the month.

Frequently Asked Questions

What is the best accounting software for CPA firms in 2026?

QuickBooks Online is the default client ledger for a US CPA firm in 2026. Simple Start is $38/mo, and Plus is $140/mo when the client needs classes, inventory, or project profit. Intuit Accountant Suite Core has no monthly fee for the firm, QuickBooks Online Accountant ends on December 31, 2026, and these prices were checked on Intuit's pages in September 2026.

Xero is the better start when the firm wants no per-user fee and a free file for its own books. A solo practitioner who is not staffing a firm should use the accounting software for accountants guide instead of this list.

How much does accounting software for a CPA firm cost in 2026?

The firm hub is often free, and the client file is the bill you actually send, with QuickBooks Essentials at $85/mo and Simple Start below that list rate. Xero clients start at $25/mo on Early, and Established is $90/mo until October 1, 2026, when that plan becomes $97/mo. FreshBooks Plus is $43/mo, Zoho Books Standard is $15/mo billed annually, and Wave Pro is $19/mo.

The practice seat is a second bill: Karbon Team is $59/user/mo on a yearly bill, and Canopy Standard is $74/user/mo billed annually. TaxDome Essentials is the one-user yearly seat, billed upfront, Sage publishes no US list price, and these figures were read on vendor sites in September 2026.

Is there a free accounting tool for a CPA firm in 2026?

The firm login can be free: Intuit Accountant Suite Core has no monthly fee, and a Xero partner can run the practice's own books at no subscription charge. The client's file is a paid plan unless a micro client stays on Wave Starter, which has unlimited invoices and bills and no subscription fee. Zoho Books stays free while that client's revenue for the financial year remains under $50,000, which covers a micro file and not a full roster.

TaxDome, Karbon, Canopy, FreshBooks, and Sage Intacct do not offer a free firm ledger, so a practice seat is a paid line from the first user. Wave's Pro plan, charged per business, is what you add when the firm needs the bank imported. Botkeeper's Infinite license is $69 per entity and sits on top of a paid QuickBooks or Xero file.

QuickBooks or Xero for a CPA firm?

Choose QuickBooks when the client's books, the bank rules, and the prior-year file are already there. Plus is the plan with project profitability and a class and location cap of 40, and the firm connects through the accountant hub. Choose Xero when you refuse a per-user fee and the client invoices in more than one currency, with the practice's own books on the free partner subscription.

Established is the Xero plan for projects and multiple currencies, before the October 1, 2026 list change. The side-by-side lives on QuickBooks vs Xero, and a firm leaving QuickBooks entirely can start from QuickBooks alternatives.

Do TaxDome, Karbon, or Canopy replace accounting software?

No. TaxDome, Karbon, and Canopy run the practice, meaning the portal, the tasks, the engagement, and the firm's billing. TaxDome Essentials is limited to one user, so a two-preparer firm is already on the next plan. Karbon Team leaves out automatic client reminders, which start on Business, and Canopy Standard leaves out user roles, which start on Plus.

The general ledger stays on QuickBooks, Xero, FreshBooks, Zoho Books, Wave, or a quoted system such as Sage Intacct. Buying the practice seat and cancelling the ledger leaves the month with nowhere to close.

When should a CPA firm move a client to Sage Intacct?

Move the conversation to Sage Intacct when the client needs a dimensional, multi-entity close that QuickBooks Advanced, at $340/mo with 25 billable users, can no longer hold. Sage publishes no US list price, subscriptions are named-user, and the term renews annually unless you give 30 days' notice.

Do not paste a UK pound price into a US proposal. If that quote is still the wrong shape, NetSuite is the other ERP with no public USD license fee, priced as an annual core platform, modules, and users, plus implementation, and the longer version is the enterprise accounting guide.

What is changing for QuickBooks accountant access in 2026?

QuickBooks Online Accountant is discontinued on December 31, 2026, and Intuit Accountant Suite Core replaces it with no monthly recurring fee for the firm. Client plans do not become free in that move: Simple Start keeps its current list price, and Essentials, Plus, and Advanced stay the higher subscriptions.

A free beta for Accelerate and Books Close runs through January 19, 2027, and Intuit starts billing on the firm's next invoice on or after January 20, 2027. Intuit does not publish the post-beta price, so do not promise clients a permanent zero on those two modules.
