Best Accounting Software for Franchises in 2026

TL;DR

Short answer: QuickBooks Online Plus at $140 a month is the default franchisee file when the brand already closes in QuickBooks, because location tracking starts on that plan. Sage Intacct is the franchisor ledger when entities need one login and you will take a quote.

Xero Early is $25 a month per organization until October 1, 2026, for a brand that does not mandate QuickBooks. Restaurant365 Essential is $469 per location per month when the units are restaurants.

The franchisee file and the franchisor ledger are different purchases. Price the ledger your brand's accountant will actually close.

275 Accounting tools tracked

Buy the ledger your franchisor will actually read at royalty time. A franchisee whose brand already closes in QuickBooks should start on Plus, because that is the first plan with location tracking, and a second legal entity is a second subscription. A franchisor consolidating companies it owns is shopping a different product.

That second subscription is the bill people miss, because class tags inside one company are cheaper than a new file, and they stop being enough the moment a unit has its own tax return.

Toolradar data: of the 275 accounting tools we track, 192 are paid-only (70%), while 27% offer a free or freemium plan (9 free and 66 freemium).

A general small-business shortlist will not tell you which plan can tag a store. Use the small-business accounting guide for a single company with no unit rollup, and the restaurant accounting guide when the only question is food cost. This page is the franchise cut: who owns the entity, and how the software meters a second one.

How we chose: these 10 were set against the 275 tools in accounting. Every price below was checked on the vendor's own site in September 2026.

QuickBooks Online

Top Pick
  • 4.4 on G2 (405 reviews)

Franchisees whose brand already closes in QuickBooks.

  • Pro: Location tracking is only on Plus and Advanced. Plus caps classes and locations at 40 combined, so a 41st store inside one company is already an Advanced purchase.
  • Pro: Plus includes 5 billable users, 2 accountant-firm users, and a chart capped at 250, which fits a short brand template. Advanced raises that to 25 billable users, 3 accountant firms, and 12 custom fields per transaction when managers need logins.
  • Pro: Each added company needs its own paid subscription, even on a shared login, so a second EIN is a second invoice. Copying a company to seed the next file is an Advanced step, so Plus cannot clone the chart into that new entity.
  • Con: Essentials has no location tracking, so several stores on that plan share one P&L and the unit split falls back to a spreadsheet. Simple Start is 1 billable user, which leaves no login for a manager beside the owner.
  • Con: Half off for 3 months is a new-customer offer. The renewal is the full monthly rate per company, and a second EIN does not share the first file's subscription or its discount.

Watch out

50% introductory discount expires after 3 months, doubling your bill overnight

2
Sage Intacct logo

Sage Intacct

  • 4.3 on G2 (4,086 reviews)

Franchisors that need one login across legal entities.

  • Pro: One login covers consolidations from 2 entities to hundreds, with entity-level reporting and inter-entity transactions, which is a franchisor close rather than a stack of franchisee files.
  • Pro: That setup is aimed at entities, stores, regions, properties, and brands. A single-unit operator who only needs a store tag should not start here.
  • Pro: The plan is built from the modules you include and the size of the accounting team, so unused modules are a negotiation, not a bundle you should assume is included.
  • Con: Sage publishes no list price, so a comparison with a franchisee subscription is incomplete until the quote names users, modules, and entities.
  • Con: Independent franchisees usually keep their own books, and Intacct pays off when those entities will live in this database, not when you only collect a royalty report.
3
Xero logo

Xero

  • 4.4 on Capterra (3,325 reviews)
  • 4.4 on G2 (1,833 reviews)

Brands that do not mandate QuickBooks and can pay per file.

  • Pro: There is no per-user fee, so the owner and the bookkeeper share one organization price. Early is the entry file, Growing adds auto-reconcile and budgets, and Established adds multiple currencies, projects, and expense claims.
  • Pro: An organisation is capped at 2 active tracking categories and 4 total, with a soft limit of 100 options. That is the store tag inside one file, and a brand that needs both region and store will run out.
  • Pro: New US customers can get 90% off for 6 months on the first organization only, through September 30, 2026. The second unit never inherits that discount, so budget it at the full rate.
  • Con: Early stops at 20 invoices and 5 bills, so a unit that records a normal month of vendor bills has already outgrown the cheapest organization.
  • Con: On October 1, 2026 the US rates rise by $2, $4, and $7 a month, and the multi-organization discount begins to phase out. The size of that discount is unpublished, so do not subtract a group rate you cannot see.

Watch out

Potential add-on costs for specific integrations

4
NetSuite logo

NetSuite

  • 4.1 on G2 (4,927 reviews)
  • 4.2 on Capterra (2,068 reviews)

Owned subsidiaries, company stores, and a global close.

  • Pro: OneWorld posts each transaction at the local subsidiary and at headquarters, so a company store closes once and still rolls into the parent. Support runs to 27 languages and 190 currencies, which matters when those stores sit in more than one country.
  • Pro: Financial consolidation, including intercompany elimination, ships with OneWorld and Multi-Book, in one software instance. A quote that names neither module is not this close.
  • Pro: Subsidiaries can keep a local chart of accounts while transactions map to the parent account in the parent currency, so a country can keep its statutory chart without a second ledger.
  • Con: NetSuite publishes no list price, and consolidation is a module. A financials quote that omits OneWorld does not include the close this ranking is about.
  • Con: A subsidiary is a legal entity the parent controls, and branch offices sit outside that definition. An independent franchisee fails the test, so you cannot eliminate their books inside your consolidation.
Fair value

It's best suited for growing businesses that require a comprehensive, integrated ERP system and can absorb the higher initial costs.

5
Zoho Books logo

Zoho Books

  • 4.4 on Capterra (680 reviews)
  • 4.4 on G2 (329 reviews)

Operators who want several stores inside one organization.

  • Pro: Premium, Elite, and Ultimate include up to 3 branches. Further locations are $12 per location per month, or $10 billed annually, which is how the next store stays in the same organization.
  • Pro: Standard includes 3 users, Professional 5, Premium and Elite 10, and Ultimate 15. Extra users are $3 per month, or $2.50 billed annually, so a manager login is not a reason to open another organization.
  • Pro: You can hold several businesses as separate organizations, each on its own subscription. Use that when a unit has its own tax return, and use a branch when it does not.
  • Con: Standard and Professional do not include branches, so a second store on those plans is another organization at that plan's rate, and the cheap tier does not keep multiple units in one file.
  • Con: The free plan stays free only while financial-year revenue is at or under $50,000, so a unit that clears that line has to move to a paid organization.
Great value

Zoho Books is the best value in cloud accounting.

Watch out

Additional users cost $2.50/user/month on top of plan price

6
Restaurant365 logo

Restaurant365

  • 4.6 on G2 (318 reviews)

Restaurant franchisees who need accounting and inventory together.

Restaurant365 screenshot
  • Pro: Essential covers accounting, inventory, and core reporting, billed per location, and users are unlimited, so a manager login does not add a seat.
  • Pro: Daily P&Ls by location and entity, intercompany transactions, and direct connections to POS systems, vendors, and banks are why a restaurant group pays per location instead of bolting inventory onto a general ledger.
  • Pro: Sonny's BBQ lists a mandated operations package at $220 per store per month. Accounting is a separate add-on with no dollar on that line, so a brand mandate can sit below the public range and still leave the books out.
  • Con: Essential is published as a range up to $499, not one sticker, so a quote at the low end is not the only figure to budget.
  • Con: Professional adds business analytics, AP automation, fixed assets, and custom reports at $689 to $749 per location, and an Essential quote leaves that automation out.
7
Dynamics 365 Business Central logo

Dynamics 365 Business Central

  • 4.4 on Capterra (5,852 reviews)
  • 3.8 on G2 (1,623 reviews)

Multi-company groups already standardized on Microsoft.

  • Pro: Essentials and Premium both include multiple companies, finance, purchasing, inventory, and projects, priced per user and billed annually. Stock can stay on the Essentials seat if you do not need manufacturing.
  • Pro: The operational limit is 300 companies in one environment, which is the check before a large owned fleet assumes one environment is enough.
  • Pro: The subscription includes 1 production environment and 3 sandbox environments, so you can test a franchisor chart before it touches live companies, and extra database capacity is sold per full user.
  • Con: Manufacturing and service management are Premium, not Essentials, so a franchise that produces or dispatches from the same ledger has to price the higher seat.
  • Con: The sales-order agent and the payables agent require Copilot credits, sold separately, so those automations are not in the seat price. Name any lighter store-manager license on the quote before you compare it with Essentials or Premium.
Good value

Microsoft Dynamics 365 offers a competitive pricing structure, particularly for its Enterprise CRM and ERP solutions.

Watch out

Potential for data storage overage fees

8
Odoo logo

Odoo

  • 4.2 on Capterra (1,331 reviews)
  • 4.2 on G2 (355 reviews)

Groups that will pay per user for several companies in one database.

  • Pro: Multi-company sits on Custom, next to Studio and the external API. A group that needs two companies is not buying Standard, the all-apps plan that omits that line.
  • Pro: Standard is US$31.10 and US$38.90 per user per month, and Custom is US$61 and US$76.20. The discount lasts 12 months for the initial users, so a renewal will not match year one.
  • Pro: Portal customers are not paying users, but an accountant in the backend is, so you pay for people who post entries. One App Free covers unlimited users on one app until you add companies or another app.
  • Con: Adding companies switches the database to Custom, so do not budget the free plan for a second entity even where that plan allows multiple companies.
  • Con: One Custom user shows a first-year total of US$49 per month, US$588 for the year, below the list rate. Odoo.sh hosting is extra, and implementation is a separate project.
Great value

Odoo offers exceptional value for ERP.

9
Acumatica logo

Acumatica

  • 4.4 on G2 (1,998 reviews)

Retail or distribution groups that refuse a per-user license.

Acumatica screenshot
  • Pro: You can add users without extra user licenses. Cost follows the applications you turn on and the resource level for transaction volume, so a manager login is not a new seat, and the bill still moves when volume moves.
  • Pro: The April 2026 licensing guide caps named users at 10 on Essentials, 30 on Select, and 100 on Prime. Enterprise is unlimited, and Essentials includes 5, so a small deployment can still hit a ceiling.
  • Pro: Monthly commercial volume is the highest of 8 transaction types, and tier S1 stops at 1,000. A month of 800 AR invoices still counts as S1, so the next band is what a busier invoice month buys.
  • Con: Acumatica publishes no dollar, so you cannot rank the unlimited-user line against a per-user tool until a partner writes the applications and the tier.
  • Con: Essentials is measured on named users and the transaction tier, and exceeding the tier can force a mid-contract increase. A busy month can move you up without a new company or user.
10
Wave logo

Wave

A first unit with no mandated ledger and manual bank entry.

  • Pro: Starter includes unlimited invoices, bills, and bookkeeping records with no subscription fee, plus manual bank-statement upload and the mobile app, which fits one new unit the brand has not pointed at another ledger.
  • Pro: Pro adds automatic bank import, receipt capture, and admin, editor, or viewer access, billed per business, so a second business pays that fee again.
  • Pro: The Pro fee is per business, not per owner, and a payroll manager or a Block Advisors tax pro can be invited on Starter, so an outside closer can work in the file without Pro if they can live without the bank feed.
  • Con: Starter cannot auto-import the bank, and import depends on Plaid, which will not cover every institution, so a starter close means typing the statement or moving to Pro.
  • Con: Published pricing lists no classes or locations, so a brand template that expects store tags should not assume they are included.
Great value

Wave's Starter tier is incredibly generous, offering unlimited invoicing and bookkeeping for free, which is rare in the market.

What franchise accounting software is

Franchise accounting software is a ledger that can separate each unit's sales, royalties, and costs, then roll those units up for the owner or the franchisor.

Two buyers get lumped into one search, and they should not share a shortlist. The franchisee needs a file the brand's accountant already knows, usually with a location tag per store. The franchisor, or a multi-unit owner of several legal entities, needs consolidations, intercompany entries, and a chart that survives more than one company.

Those are not the same product: NetSuite describes a subsidiary as a legal entity the parent controls, generally more than 50% of the voting stock, and it sets branch offices outside that definition. An independent franchisee is not a subsidiary you consolidate, so you receive a royalty report from a file you do not own.

Keep company-owned stores in the franchisor ledger, and leave franchisee-owned stores in the franchisee's file. Agree the chart of accounts in the franchise agreement before anyone buys software.

Why the second unit changes the bill

The entry price on a franchise ledger is rarely the invoice, because the meter is the company, the organization, or the location. A tool that looks cheap for one shop becomes the expensive one at unit four.

QuickBooks Online bills a subscription per company file, and each company you add needs its own paid subscription even when the companies share one login. Location tracking, limited to Plus and Advanced, splits stores inside one legal entity instead of buying that second file. Plus caps classes and locations at 40 combined and the chart of accounts at 250, so one more store tag, or a long franchisor chart, is an Advanced upgrade. Advanced lifts both caps and allows 25 billable users, which is the plan when store managers need logins of their own.

Xero has no per-user fee and bills per organization, so another user does not raise the bill and a second company does. Early allows 20 invoices and 5 bills, so a unit with a normal vendor list leaves that plan immediately. From October 1, 2026, the US price update adds $2 a month on Early, $4 on Growing, and $7 on Established, and the multi-organization discount starts to phase out. Xero does not publish the size of that discount, so budget the new rate on every file.

Zoho Books prices per organization, and branches start on Premium, Elite, and Ultimate, with 3 included, while further locations are a paid add-on rather than a new file. Wave bills Pro per business, so three businesses on Pro are three fees, and Starter leaves the bank import manual. Restaurant365 bills per location and includes unlimited users, which favors a group that would otherwise buy a seat per manager.

Quote-only suites sit beside those meters, not above them. Sage Intacct, NetSuite, and Acumatica publish no dollar, so rank them only after the quote names users, entities, and modules.

Key Features to Look For

  • A store tag on the plan you will buy (Essential)

QuickBooks location tracking starts on Plus, so a lower plan cannot split stores. Xero runs out of tracking categories once you tag both a region and a unit, and Zoho Books includes branches only from Premium up.

  • A known price for the second legal entity (Essential)

QuickBooks charges another subscription per company, and Xero and Zoho Books charge another organization, so a second EIN is a second bill. Odoo moves a database to Custom when you add companies, and the Standard rate does not survive that step.

  • Consolidation only of entities you own (Essential)

Sage Intacct describes one login across entities, and NetSuite OneWorld posts to the subsidiary and to headquarters. Neither replaces the franchisee's own file when you do not own that franchisee.

  • A chart and user cap that fits the brand template (Important)

QuickBooks Plus stops at a fixed account count and a small billable-user list. Advanced adds more users and more custom fields, so a franchisor chart past the Plus cap is an upgrade, not a settings tweak.

  • Bank or POS data on that same tier (Important)

Wave Starter is manual statement upload, and automatic bank import is Pro only if Plaid supports the bank. Restaurant365 lists direct POS connections, which is why a restaurant group may accept a per-location price.

  • A meter you can multiply by unit count (Important)

Business Central Essentials is per user and includes multiple companies up to a documented ceiling, so you multiply people. Restaurant365 is per location with unlimited users, so you multiply stores. The wrong meter makes the spreadsheet pick the expensive tool.

  • Royalty and ad-fund accounts you can actually tag (Important)

Map royalty expense and the ad fund to a location, a class, or an entity during the trial. If the tag exists only on a higher tier, the entry plan buries both in a generic expense account.

  • A quote that names entities before you compare it (Nice to have)

Sage Intacct prices from team size and modules, and Acumatica prices from applications and transaction volume. A demo that will not write those units down is not comparable to a published seat.

What to decide before the demo

  1. Read the franchise agreement first. If it names QuickBooks, the rest of this list is a second system, not a replacement, until the franchisor agrees in writing.

  2. Count legal entities separately from store tags, because tags split a P&L inside one company while a second EIN is a second subscription on QuickBooks, Xero, and Zoho Books.

  3. Ask whether you own the unit before you pick a ledger. Owned companies belong in Sage Intacct, NetSuite OneWorld, Business Central, or Odoo Custom, and franchisee-owned units stay in the franchisee's file.

  4. For restaurants, price Restaurant365 per location against a general ledger plus a separate inventory tool. Unlimited users change the math once managers need logins.

  5. Leave Sage Intacct, NetSuite, and Acumatica out of any seat ranking until the quote lists users, entities, and the modules that do consolidation.

Evaluation Checklist

  • On QuickBooks, turn on location tracking in a Plus trial and add one class per store. If that list would pass the Plus cap, price Advanced before you import the franchisor chart.

  • On Xero, create a second organization and confirm it is a full subscription. The introductory offer applies to the first US organization only, through September 30, 2026.

  • On Zoho Books, open branches on Premium and count past the included set. The next location is a paid add-on, and a lower plan will not show branches at all.

  • On Odoo, add a second company in a test database. That step switches the database to Custom, so do not leave the demo on Standard.

  • On Business Central, count companies against the 300-per-environment limit and users against the Essentials seat, because manufacturing is Premium rather than Essentials.

  • On Restaurant365, ask which end of the Essential range the quote uses, and whether AP automation is inside it or only on Professional.

  • On Wave, connect the actual bank on Starter, and if the import fails, Pro is the product, charged per business.

Mistakes to Avoid

  • ×

Buying Essentials for several stores leaves you without location tracking, so you close one blended P&L and rebuild the unit split in a spreadsheet.

  • ×

Treating the Xero introductory offer as a group rate fails because it applies to the first US organization only, through September 30, 2026, while every later file is full price and the October 1 increase still arrives.

  • ×

Counting Zoho branches on Standard fails because branches start on Premium, and stores added on a lower plan become extra organizations, each with its own subscription.

  • ×

Consolidating franchisees you do not own fails because NetSuite requires control of the subsidiary, and a royalty report from an independent owner is not an intercompany elimination.

  • ×

Signing Odoo Standard for a second company fails because adding companies switches the database to Custom, so the Standard user rate will not be the invoice.

  • ×

Comparing Acumatica's unlimited users with a seat price is premature, because Essentials named users stop at 10 and there is still no public dollar until the partner names the transaction tier.

Expert Tips

  • →

Price the second entity before the demo ends, because on QuickBooks that is another subscription and on Xero it is another organization. See QuickBooks vs Xero when the brand has not mandated a file.

  • →

Put the franchisor chart into the trial, because Plus dies when the account list hits its cap, and a longer brand template means Advanced is the file.

  • →

Ask Restaurant365 which end of the Essential range is on the quote, and whether AP automation requires Professional, because Essential is not a single sticker.

  • →

For owned stores on Microsoft, multiply Essentials by named users, then check the company count against 300 per environment, and read the wider set in the ERP software guide.

  • →

Keep franchisee files where the accountant already works, because a franchisor ledger does not help a bookkeeper who only knows one product. Use the bookkeeping software guide when you will not close the file yourself.

  • →

On Wave, multiply Pro by the number of businesses, because three Pro businesses are three subscriptions, and bank import is not on Starter, so the free plan stays a manual close.

Red Flags to Watch For

  • A QuickBooks proposal that puts several stores on Essentials. Location tracking is not on that plan, so the stores share one P&L and the unit split returns to a spreadsheet.

  • A Xero quote that spreads the first-organization discount across every unit, or that ignores the October 1, 2026 increase. The offer is the first file only, and the multi-organization discount is being removed.

  • A Zoho Books order on Standard for a multi-unit operator. Branches are absent there, so each extra store becomes another organization.

  • A NetSuite or Sage Intacct demo that will not say whether OneWorld, or the multi-entity module, is on the order. Consolidation missing from the paper is a different product.

  • An Odoo Standard order for two companies, because adding companies switches the database to Custom and the Standard user rate will not be the invoice.

  • A Restaurant365 quote that cites only the low end of Essential and then adds AP automation. That automation sits on Professional, a higher per-location tier.

  • An Acumatica pitch that promises unlimited users on Essentials. Named users there cap at 10, and the edition is also measured on the transaction tier.

The Bottom Line

Choose QuickBooks Online Plus when the brand already closes in QuickBooks and the stores share one legal entity. Move to Advanced when the class list, the chart, or the user count breaks the Plus caps, and buy a second subscription when a unit is its own company.

Choose Sage Intacct when you will keep multiple entities in one login and you can wait for a quote. Choose Xero when QuickBooks is not required and you will pay per organization, with the October 1, 2026 rates in the budget. Choose Zoho Books Premium when you want a handful of branches inside one organization.

Choose Restaurant365 for restaurant units priced per location, and choose Business Central or Odoo Custom when several companies you own should sit in one database at a published user rate. Choose NetSuite when those companies are real subsidiaries and the close is global, choose Acumatica when the objection is the user seat and the tier is written down, and choose Wave only for a first unit that can live with a manual bank import.

Frequently Asked Questions

What is the best accounting software for franchises in 2026?

QuickBooks Online Plus, for a franchisee whose brand already uses QuickBooks. Location tracking starts on that plan, classes and locations share one combined cap, and the chart of accounts stops at 250, so a long brand template means Advanced. A second legal entity is a second subscription, not a setting.

Choose Sage Intacct if you are the franchisor and the entities will live in one database. Choose Xero if the brand does not mandate QuickBooks and you will pay per organization. Choose Restaurant365 if the units are restaurants and you want accounting and inventory on one per-location bill.

How much does accounting software for a franchise cost in 2026?

September 2026 list prices, per company unless noted. QuickBooks Online is $38, $85, $140, or $340 a month for Simple Start, Essentials, Plus, and Advanced, and a second company pays that rate again. Xero is $25, $55, or $90 a month until October 1, 2026, then $27, $59, or $97. Zoho Books Premium is $70 a month, or $60 billed annually, which is the first plan that can tag branches.

Business Central Essentials is $80 per user per month and Premium is $110, both billed annually, so the bill follows headcount. Odoo Custom is US$61 and US$76.20 per user per month, which is the plan that allows multiple companies. Restaurant365 Essential runs $469 to $499 per location, and Professional is $689 to $749. Wave Pro is $19 per business per month. Sage Intacct, NetSuite, and Acumatica publish no dollar.

Is there a free accounting tool for a franchise?

Wave Starter has no subscription fee and includes unlimited invoices, bills, and bookkeeping records. Bank import is manual, and there is no location list on the pricing page, so it fits one new unit the brand has not pointed at another ledger. Pro, at $19 per business per month or $190 per year, adds the bank feed, and a second business pays that fee again.

Zoho Books has a free organization while financial-year revenue stays at or under $50,000, capped at 1,000 invoices a year, and it does not include branches. Odoo One App Free covers unlimited users on one app, and adding companies switches the database to Custom. None of the three is a multi-entity franchisor close.

How does QuickBooks compare with Xero for a franchisee?

QuickBooks Plus is the file to buy when the brand, the POS, or the accountant already works in QuickBooks. You get location tracking, a shared cap on classes and locations, and 5 billable users, and each extra company is another subscription. New customers often see half off for 3 months, then the full rate.

Xero charges per organization with no per-user fee, limits you to 2 active tracking categories, and caps Early at 20 invoices and 5 bills, so a busy unit leaves the entry organization immediately. The 90% offer covers the first US organization only, through September 30, 2026. The side-by-side is QuickBooks vs Xero.

Sage Intacct or NetSuite for a franchisor?

Sage Intacct, when the job is multi-entity accounting and you want one login across the entities you operate. Sage describes consolidations from 2 entities to hundreds and prices from team size and modules, with no public dollar.

NetSuite OneWorld, when those entities are subsidiaries you control and you also need inventory, orders, or several countries in the same system. The product page cites 27 languages and 190 currencies. Consolidation is a module, and NetSuite publishes no list price. An independent franchisee is not a subsidiary under that definition, which looks for control, generally over 50% of voting stock.

What accounting software fits a restaurant franchise?

Restaurant365, when you want accounting, inventory, and store-level P&Ls in one system. Essential includes accounting, inventory, and core reporting, billed per location, with unlimited users, and the rate is a range rather than one sticker. Professional is the higher tier, and that is where AP automation, fixed assets, and custom reports sit.

A general ledger still works if the franchisor mandates QuickBooks and inventory stays in another tool. That split is covered in the restaurant accounting guide. Sonny's BBQ publishes an operations package at $220 per store per month on Restaurant365's site, with accounting priced separately, so a brand mandate can sit below the public Essential range and still leave the books out.

Can one subscription cover every franchise location?

Sometimes, and only inside one legal entity. QuickBooks Plus and Advanced can tag locations in a single company, up to 40 combined classes and locations on Plus, and Advanced drops that cap. Xero can tag with 2 active tracking categories, soft-capped around 100 options. Zoho Books Premium includes 3 branches, then $12 per extra location per month.

A separate legal entity breaks that pattern on QuickBooks, Xero, and Zoho Books, because each company or organization is its own subscription. Business Central and Odoo Custom keep several companies in one environment at a published user rate. Business Central's documented ceiling is 300 companies per environment.
