What accounting software for an LLC actually is

LLC accounting software is a ledger that keeps member money in equity accounts and produces a profit and loss a preparer can sign. An invoicing app that cannot hold a draw is not that ledger. If the only job is emailing a bill, use the invoicing software guide.

Intuit's own chart setup is the clearest test of a file that is ready for members. A sole owner creates one equity account, with the detail type Owner's Equity. More than one owner means a parent equity account plus a subaccount per person, using Partner's Equity. Contributions and draws hit the balance sheet, so they do not belong on the profit and loss. A tool that only lists income and expenses will misstate the year the preparer has to sign.

Why the cheap plan fails the second member

The expensive mistake is a plan that looks finished until a second person needs a tag. Class tracking splits a line of business or a location inside one LLC, and it is absent from Simple Start and Essentials. It starts on Plus, which shares one combined ceiling of 40 classes and locations, so a two-member firm with two service lines can spend it. Advanced removes that ceiling, and that step is the bill people skip on the first demo.

Xero does not charge a license per person, which is the point of Growing for a small multi-member company. Projects, foreign currencies, and employee mileage stay on Established, so the cheaper organization still leaves that work in a spreadsheet. A second legal entity is a second subscription on several of these products. Wave charges Pro per business, so a holding LLC and an operating LLC are two bills under one login. Zoho Books treats each company as its own organization, which keeps the two charts from mixing. Xero's multi-organization discount starts phasing out on October 1, 2026. Price both files in the same sitting, before that break shrinks.

    QuickBooks asks for the business entity when the company is created, then builds default accounts from that choice. A sole owner uses one Owner's Equity account, and each added owner gets a Partner's Equity subaccount, so a draw does not land as an expense and shrink profit.

  • A class or tag before the member list grows (Essential)

    Plus is the first QuickBooks Online plan with classes, and only Plus and Advanced can create them. Classes and locations share one ceiling, with up to five nested levels, and Simple Start and Essentials push a multi-line LLC into a spreadsheet the preparer does not sign.

  • Contractor forms on the plan you already pay (Essential)

    Every US Xero plan includes W-9 and 1099 tools, including Early, so contractor paperwork is not a reason to upgrade. Patriot Accounting can create and print 1099s and 1096s in the books. Pilot e-files Form 1099-NEC only with Pilot Tax, so bookkeeping alone does not finish that year.

What to decide before the demo

  1. If a US preparer will only sign QuickBooks, price Simple Start for one owner and Plus when you need classes, inventory, or project profit. Move to Advanced when the class list or the 5-user cap runs out, because that change is a new plan.

  2. If more than one person posts and you do not want a fee per login, price Xero Growing first. Buy Established only when the LLC needs projects, more than one currency, or mileage claims, or that work stays in a spreadsheet.

  3. If yearly revenue is still under Zoho's free threshold, start there with the included accountant seat. Step to Standard when you only need the books organized, and to Professional when the organization needs the higher user count.

  4. If the LLC pays W-2 wages, put Patriot Full Service Payroll or Xero's payroll add-on on the same quote as the ledger. Accounting Basic does not file payroll taxes, so the wage run is a second bill.

  5. If nobody on the ownership will reconcile the bank, price Bench Light when revenue fits that band, or Pilot Essentials when a cash-basis close is enough. Pilot already closes in QuickBooks. Ask Bench which file the lender will receive.

Evaluation Checklist

  • On QuickBooks, confirm the order says Simple Start, Essentials, Plus, or Advanced, and write the list rate into the budget after the three-month discount. Count classes and locations together against the Plus ceiling before you promise a tag per member.

  • On Xero, confirm Growing versus Established, and put the October 1, 2026 list price in the budget. Skip Early if a normal month will approve more than 20 invoices or enter more than 5 bills, because that month will not fit.
