Best Accounts Payable Software for Property Management in 2026

TL;DR

Short answer: Yardi Voyager is the system to quote when a vendor bill has to post to a property and a GL inside the property ledger. Yardi publishes no Voyager price, verified September 2026, so the order is the only number you can compare.

Yardi Breeze is $1 per unit per month for residential, with a $100 monthly minimum, when that ledger should have a list price.

Buildium Essential is $62 a month when bill approvals have to sit on a published plan.

DoorLoop Pro is $149 a month, billed yearly, when Starter cannot create a vendor bill.

The right system posts the vendor bill to a property and keeps owner cash in its own account. A cheaper inbox that cannot do either pays the wrong bank.

Pay the vendor from the property ledger, or accept that owner cash and operating cash will get mixed. A shared inbox of PDFs can approve a repair and still post it to the wrong property, and the owner statement will not match the bank.

Yardi Voyager is the default when the bill, the property, and the GL have to live in one institutional ledger. The order form is the price, so name PayScan or Procure to Pay before you compare that quote with a plan that prints a dollar.

If the portfolio is still small enough for a published per-unit rate, start with Yardi Breeze. A residential manager who wants bill approvals on a monthly plan should price Buildium before taking an enterprise quote. A file that looks like accounting and cannot create a vendor bill is the wrong DoorLoop plan.

The operating-system ranking, including leasing and maintenance, is the property management software guide. Books that are not a property system belong in the real estate accounting guide. A one-owner shop with a handful of contractors belongs in the accounts payable guide for small business.

Toolradar data: of the 289 accounting tools in our directory, 26% have a free or freemium plan, and 205 are paid-only (71%).

How we chose: these 10 payables tools were scored against the 289 products in accounting. Every price was checked on the vendor site in September 2026. Work that never pays a vendor bill stays with property management.

4.0 (231 reviews)

Best for: Institutional portfolios whose vendor bills must post inside the property ledger.

  • Pro: Smart AP reads the PDF into PayScan and fills vendor, property, GL code, amount, and date, up to 200 invoices at a time, and it flags duplicates and unusual lines.
  • Pro: Smart Approval sits on the PayScan workflow. Two agents can be required to agree at 85% confidence, or you can lower the bar to 70%. Rules are rebuilt monthly from the last 12 months of invoices.
  • Pro: Approvers see live budget data because PayScan is native to Voyager, with no sync into a second ledger.
  • Con: Yardi publishes no Voyager subscription dollar. A quote that omits PayScan or Procure to Pay cannot be ranked against Breeze's residential rate.
  • Con: PayScan is the invoice path into Voyager, not a second ledger. Vendor records and payment controls stay in Voyager after approval.

Best for: Smaller residential managers who want trust accounting without a Voyager quote.

  • Pro: Residential Breeze starts at the published unit rate with a $100 monthly minimum, on an annual agreement, and Yardi does not charge per user. You can attach invoices, create recurring payables, and pay vendors or owners by check or EFT.
  • Pro: The accounting list includes payables, receivables, the general ledger, escrow and trust accounts, and 1099 e-file. Owner payments can hold back a stipulated reserve.
  • Pro: Premier adds approval workflows, approver limits, batch processing, a corporate ledger, and full-service invoice scanning. Yardi includes implementation and training.
  • Con: Approvals are not on base Breeze. Premier moves to a higher per-unit rate with a $400 monthly minimum, unless the screening and insurance bundle keeps the lower unit rate at that same minimum.
  • Con: Commercial Breeze is $2 per unit with a $200 monthly minimum, and Premier commercial has no public rate. Yardi's pricing article says rent ACH is free under a designated amount it does not print.
Good value

Yardi Breeze's pricing is generally fair, especially for residential properties at $1 per unit per month.

Best for: Residential managers who want one platform and will price it with sales.

  • Pro: Core includes property accounting and reports, work orders, and purchase orders with inventory tracking. The pricing page covers residential portfolios across multifamily, single-family, and affordable housing.
  • Pro: Plus adds advanced budgeting and accounting, maintenance scheduling, and automated billing, plus affordable and student housing. Max adds a read/write API and dedicated customer success.
  • Pro: AppFolio says you pay for the services you select, not a fixed bundle.
  • Con: AppFolio publishes no dollar, so Core cannot be set next to Buildium's Essential plan until the per-unit quote arrives.
  • Con: The pricing page does not list a vendor-bill screen, a trust account, or a 1099 on Core. Ask which of those sit in property accounting and which require Plus before you sign.

Best for: Residential managers who want a published price and bill approvals included.

  • Pro: Essential is the entry monthly plan and includes basic accounting. Bill-approval automation, EFT approvals, bank reconciliation, maintenance billing, and the owner portal are marked included on Essential, Growth, and Premium.
  • Pro: Outgoing EFT is $0.99 on every plan. Incoming EFT is $2.35 on Essential, $1.35 on Growth, and free for the first 12 months on Premium, then $0.60. Cards are 2.99%.
  • Pro: AI Bill Scan is included on Premium, which starts at $400 a month, and is an add-on on Essential and Growth. The 14-day trial uses sample data and does not require a card.
  • Con: Growth, at $192 a month, and Premium both require Buildium's onboarding. The pricing page does not print that onboarding fee, and portfolios over 5,000 units, or associations, are told to call.
  • Con: Online payments are an add-on even though the EFT prices are published. A new business bank account is $99 on Essential. Growth includes 10 and Premium includes 100, then that same setup fee.
Fair value

Buildium's pricing is on the higher side compared to some market alternatives, especially for smaller portfolios.

Best for: Single-family managers who can price a unit minimum and a setup fee.

  • Pro: Basic is $1.00 per unit per month with a $250 monthly minimum. Plus is $1.50 with a $350 minimum. Premium is $2.00 with a $450 minimum. The page header states the start as one dollar per unit.
  • Pro: Each package's includes list names accounting, payments, and vendor portals, plus owner and tenant portals. Enterprise or API access adds a dollar per unit on any package.
  • Pro: Implementation is twice the monthly subscription. At the Basic minimum that setup line is $500, due beside the software rather than instead of it.
  • Con: Billable units are adjusted in 50-unit increments, so the count on the invoice can jump before the door count does. A quote that uses your exact unit count is pricing a different rule.
  • Con: Screening and payments have transaction fees, and the pricing page does not print those rates. The three packages show the same feature names, so a higher tier is not automatically a better payables module.
Weak value

This pricing model is best suited for large-scale property management companies with high-value properties that can absorb the per-unit cost.

  • Pro: The help center, updated August 3, 2026, puts 1099-NEC and 1099-MISC e-file on the upgrade, through Track1099, and puts outgoing payments through Checkbook.io. Starter cannot do either.
  • Pro: Outgoing EFT is $0.99 on Pro and Premium, and a mailed check is $1.79. Premium is $209 a month billed yearly, or $239 month to month, and incoming ACH is free on that plan.
  • Con: Starter is $69 a month billed yearly, or $99 month to month, for a maximum of 10 units. It can record an expense. It cannot create or pay a vendor bill, assign an owner, or run an accounts payable report.
  • Con: Each plan card shows a $3 per unit note, and a pricing FAQ prices 20 added units at a $20 monthly difference. Do not sign until those two descriptions are one number on the order.

Best for: Teams on Yardi or another property ledger who need invoice capture and approvals.

  • Pro: AvidXchange's Yardi page says a standard implementation can go live in as little as 45 days, with two-way and three-way purchase-order matching and approvals assigned by property or unit.
  • Pro: As of 2026 it cites about 400 mutual customers with Yardi, and it says it has served real estate for more than 20 years.
  • Pro: Its real-estate page lists Yardi, MRI Software, RealPage, Rent Manager, ResMan, AppFolio, and Entrata. The property system stays the system of record.
  • Con: AvidXchange publishes no subscription price. Invoice volume, the property system, and implementation are the quote, and a 45-day line is the standard timeline, not a promise for every portfolio.
  • Con: It does not replace Voyager or Breeze. You pay for the ledger and for this inbox. Rent Manager's description of AvidPay as no-cost is a payment method inside Rent Manager, not this subscription.

  • Pro: Smart Bills reads PDF and image invoices into draft transactions, and vendors can email a dedicated inbox. Rent Manager says that capture is a licensed feature you buy from sales.
  • Pro: AvidPay is described as a no-cost payment method inside the invoice. Rent Manager cites an AvidPay network of 600,000+ suppliers, with 44% already accepting e-payments.
  • Con: No bundle has a public price, and the page does not show which bundle includes the AI-powered AR/AP suite. A demo of Smart Bills is not the bundle you were quoted.
  • Con: No-cost AvidPay is not a price for invoice capture. If AvidInvoice is scanning the bills, that scope belongs on the order next to the Rent Manager bundle.

Best for: Property companies on QuickBooks or Xero that need approval before the bill syncs.

  • Pro: Team is $65 per user per month and adds automatic two-way sync with QuickBooks Online, QuickBooks Pro, QuickBooks Premier, and Xero, plus approval workflows and the Invoice Coding Agent.
  • Pro: ACH from a bank account, BILL Balance, or BILL Cash Account is $0.59. A check BILL mails is $1.99. A virtual card disbursement is free. Corporate, at $89 per user per month, adds custom approval policies and discounts for approver-only users.
  • Pro: IRS 1099 e-file is $2.99 per form. Essentials and Team bill every user as a full seat. Corporate and Enterprise can price an approver-only user lower, and BILL does not print that lower rate.
  • Con: Essentials is $49 per user per month and syncs by CSV. Same-day ACH is $11.99, and paying by card is 2.9%. Enterprise, the tier that syncs NetSuite and Sage Intacct, is custom pricing.
  • Con: Nothing on the payables price list is a property trust account or an owner statement. A class or location in QuickBooks is not the owner ledger Breeze keeps. Spend and Expense has no per-user software fee and is the card product.

  • Pro: Smart is $20 a month on an annual plan and adds automatic tagging to properties and to 120+ categories, plus role-based shared access. The pricing page includes a 30-day Smart trial.
  • Pro: You can send ACH, a wire, or a mailed check from a Baselane checking account and tag the property. A mailed check is $2. An outbound wire is $15, waived at a $50,000 combined balance. Banking is through Thread Bank.
  • Con: This is owner banking and bookkeeping, not a management-company ledger. There is no published owner-statement packet, trust-account module, or vendor 1099 e-file on the pricing page.

What a vendor bill has to do inside a property ledger

Accounts payable software for property management records a vendor bill against a property, pays it from the right bank account, and keeps owner cash out of the operating account. If it cannot do those three things, it is an inbox, and the owner statement is wrong even when the vendor got paid.

The property code comes first: Yardi's Smart AP reads a PDF and creates the invoice in PayScan with the vendor, the property, the GL code, the amount, and the date. A bill posted to one company expense cannot tell an owner which building ate the roof repair.

Trust cash is not yours to spend: Breeze maintains escrow and trust accounts for properties, and it can pay vendors and owners by check or EFT. A tool with one bank feed and no owner ledger will commingle funds the moment two owners share a vendor.

Someone has to be blocked from releasing cash: Breeze Premier adds approval workflows, named approvers, and approval limits. Buildium marks bill-approval automation as included on Essential, Growth, and Premium. A clerk who can pay any amount is not an approval policy.

The payment fee sits beside the subscription: Buildium charges an outgoing transfer on every plan. BILL charges for ACH and for a mailed check. A cheap seat with a fee on every payment still produces a real monthly total once the vendors are paid.

A portal is not the ledger: AvidXchange captures invoices and routes approvals, then the close still happens in Yardi or another property system. Baselane can pay a vendor from a property bank account, and it does not produce an owner statement.

Why the property ledger decides the product, not the demo

The demo usually shows a clean approval. Property payables fail when the bill cannot be split across properties and owners, which a general payables inbox never mentions. Pay from the wrong account and the owner statement is wrong even if the vendor got the money.

Start with the ledger, not the inbox: Voyager, Breeze, AppFolio, Buildium, Propertyware, DoorLoop, and Rent Manager can be the books. AvidXchange and BILL sit in front of those books. Call the inbox your accounting system and you own two products at month-end.

Voyager is the quote when invoice volume is the job. It suits an institutional portfolio and rules out anyone who needs a price before the sales call. Smart AP handles up to 200 invoices at a time, and Smart Approval can require two agents to agree at 85% confidence or let more through at 70%. Approvers see live budget data because PayScan is native to Voyager, and none of that capture has a public dollar.

Breeze is that accounting family without a Voyager implementation. Yardi does not charge per user, so adding staff does not raise the bill. Base Breeze pays vendors by check or EFT, while named approvers and outsourced scanning sit on Premier, which raises the unit rate and the monthly floor unless a screening and insurance bundle keeps the lower unit rate. Commercial property is a separate rate card.

AppFolio is the residential quote for multifamily, single-family, and affordable, with no list price. A Core order that never names payables is a leasing system with a report pack.

Buildium is the published monthly alternative when you want bill approvals without an enterprise quote. Growth and the top plan both require onboarding, and bill scan is an add-on until that top plan. Above 5,000 units, or for an association, Buildium tells you to call.

Propertyware is the single-family rate card when you can accept a monthly floor and a setup bill. Units are invoiced in steps of 50, so the rent roll is not the invoice, and implementation is twice the monthly subscription.

DoorLoop splits a chart of accounts from payables. Starter records an expense and cannot create a vendor bill, assign an owner, or e-file a 1099, so a 10-unit file cannot pay a contractor. Pro is the first plan that can, including multiple portfolios or LLCs. The plan card and the pricing FAQ do not describe the same unit meter.

AvidXchange is the inbox when the ledger already exists, so you are buying a second product on purpose. Purchase-order matching and approvals by property or unit post back to Yardi, which stays the system of record, and there is still no subscription dollar. Skip it when you wanted capture inside the ledger you already pay for.

Rent Manager is the quote when the ledger and the payment rail should be on the same call. Bundles name an AI-powered AR/AP suite and do not show which bundle includes it, and Smart Bills is a separate license. A no-cost AvidPay line is the payment method, not an AvidXchange subscription.

BILL is the approval layer when the company already closes in QuickBooks Online or Xero. Team syncs those files both ways and is not a trust account, so a fee manager still needs a property ledger. The ledger comparison is QuickBooks vs Xero.

Baselane is the owner-operator pick: Core has no monthly subscription for property-tagged payments, and Smart is the annual paid plan. A management company that owes owners a statement still needs a property ledger.

Key Features to Look For

  • A property and a GL on the vendor bill (Essential)

Smart AP fills vendor, property, GL code, amount, and date on the PayScan invoice, up to 200 invoices at a time. Breeze applies expenses to payables, including recurring ones. A bill with no property cannot appear on the owner statement.

  • Trust cash that is not operating cash (Essential)

Breeze maintains escrow and trust accounts and can pay owners while holding a stipulated reserve. DoorLoop Starter cannot assign an owner to a property, so there is no owner report. One operating account for every owner is a commingling problem, not a shortcut.

  • An approval limit before cash moves (Essential)

Breeze Premier lets you name approvers and set approval limits. Buildium includes bill-approval automation on Essential, Growth, and Premium. Voyager's Smart Approval can hold an invoice until two agents agree, and a shared login is not that control.

  • The ledger you will actually close (Essential)

Voyager, Breeze, AppFolio, Buildium, Propertyware, DoorLoop, and Rent Manager can be the books. AvidXchange posts back to Yardi and is not a second general ledger. BILL Team writes the bill to QuickBooks or Xero. Baselane tags a bank payment to a property.

  • A payment fee next to the quote (Important)

Buildium charges an outgoing EFT fee on every plan, and 2.99% on cards. DoorLoop charges that same outgoing fee on Pro and Premium, and $1.79 to mail a check. BILL charges for ACH and for a mailed check. A subscription that ignores those meters is not the monthly total.

  • Vendor 1099s from the same payments (Important)

Breeze prepares and e-files 1099s. DoorLoop's 1099-NEC and 1099-MISC e-file, through Track1099, starts on Pro. BILL charges $2.99 per 1099 e-filed to the IRS. A spreadsheet of vendor payments after the fact is how a 1099 gets missed.

  • Recurring bills and work-order ties (Important)

Breeze creates recurring payables. Buildium includes maintenance billing on every plan. AppFolio Plus adds maintenance scheduling and automated billing on top of Core's purchase orders. A utility bill retyped every month is the workload you thought you bought software to drop.

  • More than one entity (Nice to have)

DoorLoop Pro runs payables for multiple portfolios, LLCs, or business entities. Breeze Premier tracks a property ledger and a corporate ledger. BILL's multi-entity accounting is on Enterprise, which is custom pricing.

What to decide before the demo

  1. Name the ledger before the inbox. Voyager, Breeze, AppFolio, Buildium, Propertyware, DoorLoop, and Rent Manager are the books. AvidXchange and BILL sit in front of one.

  2. Decide which plan actually creates a vendor bill. DoorLoop Starter records expenses and cannot pay a vendor bill. Buildium's bill-approval automation is on Essential, while AI Bill Scan is included on Premium and sold as an add-on below that.

  3. Put the payment fee on the same page as the subscription. Outgoing EFT, mailed checks, incoming rent ACH, and card percentages are separate meters. A per-unit price with a silent ACH fee can cost more than the software.

  4. Ask how units are counted. Breeze bills per unit against a monthly minimum and does not charge per user. Propertyware bills in 50-unit steps and charges implementation at twice the monthly subscription. DoorLoop's card price and its unit note do not describe the same meter.

  5. Hold quote-only suites out of any seat ranking until the order names modules. Voyager, AppFolio, AvidXchange, Rent Manager, and Breeze Premier commercial do not publish a list price.

Evaluation Checklist

  • On Voyager, email one invoice into Smart AP and confirm the PayScan record has the property and the GL before anyone approves it. Ask whether Procure to Pay is on the order.

  • On Breeze, enter one recurring payable, pay it by EFT from a trust account, and produce the 1099. If you need an approval limit, the quote has to say Premier, not base Breeze.

  • On AppFolio, ask whether vendor bills and owner draws are in Core's property accounting or only in Plus advanced budgeting. Get that answer on the same page as the per-unit quote.

  • On Buildium, approve one bill on Essential, then price AI Bill Scan as an add-on. On Premium, confirm the scan is included and that onboarding is mandatory.

  • On Propertyware, take your real unit count, round it to the next 50-unit step, and add an implementation fee of twice the resulting monthly subscription.

  • On DoorLoop, attempt a vendor bill while you are still on Starter. When the product refuses, price Pro, including outgoing EFT and a mailed check, and get the unit price in writing.

  • On AvidXchange, name the property system it will post to, the property-level approval rule, and whether the 45-day Yardi timeline is the one in your statement of work.

  • On Rent Manager, separate the bundle price, the Smart Bills license, and AvidPay. Treat no-cost as the payment method, then ask what invoice capture costs.

  • On BILL, code one bill on Team against QuickBooks Online or Xero. If the ledger is NetSuite or Sage Intacct, the sync tier is Enterprise.

  • On Baselane, pay one vendor by ACH from a property checking account and tag the property. If you need an owner statement for a client, this is the wrong product.

The Premier residential bundle with screening and renters insurance keeps the residential unit rate and uses the Premier minimum, on a 12-month contract. Yardi's pricing article says rent ACH is $0 under a designated amount, and it does not print that amount.

Propertyware implementation is twice the monthly subscription, which is $500 at the Basic minimum, and billable units move in steps of 50. DoorLoop outgoing EFT uses the same per-payment fee as Buildium, a mailed check is $1.79, and Premium incoming ACH is free. Buildium's trial is 14 days and uses sample data.

Enterprise syncs NetSuite, Sage Intacct, and Microsoft Dynamics and does not publish a seat price. When the leak is staff cards rather than vendor bills, the comparison to use is expense management.

Mistakes to Avoid

  • ×

Buying DoorLoop Starter because the card says accounting skips vendor bills, accounts payable reports, owner assignment, and 1099 e-file, which all start on Pro.

  • ×

Comparing a Voyager quote with Breeze's residential rate before the order names PayScan or Procure to Pay treats two different products as one price.

  • ×

Treating Breeze Premier's approval limits as part of the base residential plan means the approval workflow you wanted is still an upgrade.

  • ×

Ignoring Propertyware's 50-unit billing steps and the implementation multiple means the door count is not the invoice you will pay.

  • ×

Hearing Rent Manager call AvidPay no-cost and assuming invoice capture is included misses that Smart Bills is a separate license.

  • ×

Putting a property manager on BILL Essentials so the seat looks cheaper leaves sync as CSV, and every Essentials or Team user is still a full seat.

  • ×

Using Baselane as the system that pays owners of a managed portfolio tags the owner's own payments and does not close a management company's books.

Expert Tips

  • →

On Voyager, set the Smart Approval threshold before go-live: an 85% dual-agent rule holds more invoices for people, and a 70% rule lets more bills through.

  • →

If you want Yardi and a list price, price residential Breeze at the unit rate and the monthly floor, then price Premier only if you need approver limits.

  • →

On Buildium, decide whether you will buy AI Bill Scan. It is an add-on on Essential and Growth and included on Premium, while bill approvals are already on the cheaper plan.

  • →

On DoorLoop, get the unit price in the order, because the plan card shows one per-unit note and the FAQ shows another monthly difference for added units. Pay Pro, not Starter, if the work is a vendor bill.

  • →

On BILL, count approvers before you pick a tier. Essentials and Team charge a full seat for each of them, and Corporate is the first published plan that discounts approver-only users.

  • →

For a single-family portfolio on Propertyware, compute one month of software after the 50-unit step, then double it for implementation, and ask for payment fees, which are not on the rate card.

Red Flags to Watch For

  • A Voyager quote that will not say whether PayScan, Smart AP, or Procure to Pay is included. Accounting in the brochure is not the invoice-capture module.

  • A Breeze order sold as approvals. Approval workflows, approver limits, and full-service invoice processing are Premier. Base residential Breeze still has that monthly floor.

  • A DoorLoop Starter subscription sold as accounts payable. The help center, updated August 3, 2026, says Starter cannot create or pay a vendor bill and has no accounts payable reports.

  • A Propertyware quote that uses your door count instead of 50-unit billing steps, or that skips the implementation fee of twice the monthly subscription.

  • An AvidXchange or Rent Manager conversation that calls AvidPay free and never prices invoice capture. Rent Manager's no-cost line is the payment method inside that product.

  • Choosing BILL Essentials because the books are already QuickBooks or Xero. Sync on that plan is CSV, so the property coding is typed again, and Team is the plan that writes the bill both ways.

  • A Baselane account treated as the management company's ledger. Core can tag a payment to a property. It does not replace owner statements, trust accounting, or a 1099 file inside a property system.

The Bottom Line

Yardi Voyager is the default when the vendor bill has to hit a property and a GL inside the ledger. Get PayScan or Procure to Pay named on the quote before you compare that paper with a per-unit price.

Yardi Breeze is the list-price Yardi ledger for a smaller residential portfolio, including trust accounts and 1099 e-file. Move to Premier when you need approval limits. AppFolio is the residential quote for property accounting and purchase orders, still without a public dollar.

Buildium includes bill approvals from Essential up, so you do not buy a higher tier only for an approval.

Propertyware is the single-family per-unit card, with a monthly minimum and setup at twice the subscription.

DoorLoop Pro is the first DoorLoop plan that can pay a vendor bill and e-file a 1099.

AvidXchange belongs when the ledger is already Yardi and the pain is invoice capture. Rent Manager belongs when you want that payment rail quoted beside the property books, with Smart Bills as its own license.

BILL Team is the approval and ACH layer on QuickBooks or Xero, not a trust ledger. Baselane is the owner-operator account that can pay a vendor and tag the property.

Frequently Asked Questions

What is the best accounts payable software for property management in 2026?

Yardi Voyager is the best fit when the vendor bill must post to a property and a GL inside the property ledger, and you should expect a quote rather than a public price. Yardi Breeze fits a smaller residential manager who wants trust accounts, 1099 e-file, and a published per-unit rate. Buildium fits a residential manager who wants bill approvals on a plan that prints a monthly price. DoorLoop Pro fits a team that has outgrown a 10-unit Starter file and needs to create and pay vendor bills. AvidXchange fits a company that already runs Yardi and wants a separate invoice desk. Prices and product pages were checked in September 2026.

How much should a property manager expect to pay for accounts payable software?

Published prices in September 2026 put residential Yardi Breeze at $1 per unit per month with a $100 monthly minimum, Buildium Essential at $62 a month, and DoorLoop Pro at $149 a month billed yearly. Propertyware Basic is $1.00 per unit per month with a $250 monthly minimum, and implementation is twice the monthly subscription. BILL Team runs $65 per user each month, and its ACH fee is $0.59. Baselane Core has no monthly subscription, and Smart is the annual plan. Yardi Voyager, AppFolio, AvidXchange, and Rent Manager are custom quotes. Outgoing transfers on Buildium and on DoorLoop Pro add a per-payment fee on top of the plan.

Is there a free accounts payable option a property manager can actually use?

Baselane Core is $0 a month and can pay a vendor from a property checking account, which fits an owner, not a fee-management company. BILL Spend and Expense has no per-user software fee and is the card product. BILL's accounts payable plans are paid, with a free trial in most cases, and Essentials starts at $49 per user per month. Buildium offers a 14-day trial with sample data, not a free ledger. DoorLoop has no free plan, and Starter cannot pay a vendor bill. Yardi Breeze has a monthly minimum and no free tier. None of the property ledgers on this list is a free accounts payable system for a management company.

Yardi Voyager or Yardi Breeze for vendor bills?

Choose Voyager when Smart AP should create the PayScan invoice, with property and GL, at portfolio volume, including a dual-agent approval you can set at 85% or 70% confidence. You will take a quote, and the order has to name Procure to Pay. Choose residential Breeze when a published unit rate, trust accounts, recurring payables, and 1099 e-file are enough. Choose Premier, not base Breeze, when you need named approvers and approval limits. Commercial Premier does not have a public rate.

Does the cheapest Buildium or DoorLoop plan pay vendor bills?

Buildium Essential includes bill-approval automation, EFT approvals, and maintenance billing. AI Bill Scan is an add-on until Premium. Outgoing EFT is $0.99 on every Buildium plan, and online payments themselves are marked as an add-on. DoorLoop Starter does not pay vendor bills. The help center says you can record an expense, and you cannot create a bill, run an accounts payable report, or assign an owner. Those tasks start on Pro, which is also where 1099 e-file and outgoing payments through Checkbook.io begin.

Can BILL replace a property management ledger?

No. BILL Team approves bills and syncs them both ways to QuickBooks Online or Xero, which suits a company whose close already happens in those books. Essentials syncs by CSV, so the property coding gets typed again. Enterprise is the custom tier for NetSuite and Sage Intacct. None of those plans is a trust account or an owner statement. Keep the property ledger in Voyager, Breeze, AppFolio, Buildium, Propertyware, DoorLoop, or Rent Manager, and use BILL only when the close already happens in QuickBooks or Xero.

AvidXchange or Yardi PayScan when the books are already in Yardi?

PayScan is Yardi's own invoice path. Smart AP fills the property and the GL and can process up to 200 invoices at a time, and Smart Approval can require two agents to agree before a bill moves. AvidXchange is the external desk that posts back to Yardi, with approvals by property or unit, two-way and three-way purchase-order matching, and a standard implementation AvidXchange puts at as little as 45 days. AvidXchange says the companies have about 400 mutual customers and that Yardi stays the system of record. Neither vendor publishes a list price for that stack, so the order has to show both numbers.
