Best Help Desk for SaaS in 2026

TL;DR

Short answer: Intercom is the best help desk for SaaS in 2026 when the customer asks from inside the product. Essential is $29 per seat per month on annual billing, and Fin is $0.99 per outcome. Choose Zendesk Suite Team at $55 per agent a month, billed yearly, when the phone has to live in the same system. Choose Freshdesk Growth at $19 per agent yearly when the help center has to be on the first paid seat. Choose Plain at $35 a month, billed yearly, when the work is Slack and Linear rather than a website widget.

28 Help Desk tools tracked

A SaaS help desk is the inbox that already knows which company is asking, which plan they pay for, and which screen they were on. Intercom is the default in 2026 because Messenger, in-app chat, and a public help center sit on the entry seat, and Fin bills only when a conversation counts as an outcome. It suits in-app questions and fails a shared mailbox.

An email desk can still be the right buy when the agent can answer without opening billing. It is the wrong buy when the only door is a widget inside the app, because the reply then depends on Stripe, the admin console, and the docs.

Toolradar data: of the 28 help desk tools we track, 1 are free and 4 are freemium (18% with a free or freemium plan), while 23 are paid only (82%). A forever-free inbox and a short trial are not the same offer when you have to staff the widget.

Methodology: these 10 were ranked for product-company fit against the 28 tools in the help desk category. Prices were verified on vendor pages in September 2026. No paid placement. The list that is not cut for SaaS is best helpdesk software.

SaaS teams whose customers ask for help inside the app.

+On annual billing, Essential includes Messenger, a shared inbox, ticketing, a public help center, and basic automation (minimum 1 full seat), so in-app support does not require a higher seat. Advanced costs $85 per seat and includes 20 free Lite seats. Expert is $132 and adds SSO, HIPAA, SLAs, a multibrand Messenger, and 50 Lite seats, the edition a security review or a contractual response time requires.
+Fin is on every plan at $0.99 per outcome, so the seat is not the whole invoice once the bot closes threads. An outcome is a confirmed resolution, a customer who does not ask for more help, or a completed Procedure, including a handoff, and you are charged once per conversation. A 14-day trial needs no card and includes Fin and the add-ons.
+Early Stage, for companies under $10 million raised and fewer than 15 employees, is the Advanced plan at $33 a month in year one, with 300 Fin outcomes a month, 2 full seats, and the Proactive Support Plus add-on. The Intercom profile is the catalog page beside the suites.
−Month-to-month Essential is $39 per seat, so skipping the annual term raises the seat before Fin runs. Copilot unlimited usage is a per-agent add-on, and the monthly rate sits above the annual one. Product tours are not in the seat: Proactive Support Plus is a separate $99 a month, and a team that demoed a tour and bought Essential did not buy the tour.
−SLAs, HIPAA, and multibrand start on Expert, so a contractual response time is not an Essential purchase. WhatsApp, SMS, phone, and bulk email are usage on top of the seat, so price a suite for a phone-heavy queue via Intercom alternatives.
Fair value

Intercom is the gold standard for AI-first customer support with its Fin AI agent resolving ~60% of conversations.

SaaS teams that outgrow a widget and need the phone.

+Support Team is $19 per agent per month on annual billing, and month to month costs more, but that seat is email and ticketing only. Suite Team adds messaging, live chat, and telephony, which is the plan once customers call. Suite Professional is $115 per agent yearly and $149 month to month. Suite Enterprise is $169 yearly and $219 month to month.
+Included automated resolutions are 5 per agent per month on Support Team and Suite Team, 10 on Professional, and 15 on Enterprise, with a hard cap of 10,000 allocated resolutions a year. Light agents sit outside that allowance, and a resolution is a verified close with no human on the thread, so a handoff stops counting as an included close.
+Email conversations are scored 72 hours after the last email, and messaging ends after 2 hours of silence by default, a window you can raise up to 72 hours. You can pause AI agents at the cap instead of taking overage, and the cheaper-desk matchup is Zendesk vs Freshdesk.
−The email-only seat will not run an in-app inbox, because chat and the phone are Suite. Buying Support Team to match Freshdesk's first paid seat leaves a product company with two tools.
−Committed resolutions are sold in packs of 100 or more and cost less per resolution than pay-as-you-go overage. Confirm the USD overage on the order form before you model a loud month.
Fair value

Zendesk publishes yearly agent prices on zendesk.com/pricing.

Watch out

AI agents are included on Support and Suite, then priced on successful resolutions (official FAQ). That is a second meter next to the seat.

3
Freshdesk logo

Freshdesk

  • 4.4 on G2 (3,771 reviews)

SaaS teams that need a help center without a suite seat.

+Growth, the annual seat in the table, includes Freddy AI Agent with the first 500 sessions, ticketing, a shared inbox, a portal, a knowledge base, and basic reporting, so the help center exists before a suite. Annual billing is 20% off, the term in the table.
+Pro is $55 per agent per month billed annually and adds multiple SLA policies, intelligent routing, and custom dashboards, the edition when a contract names a response time. Enterprise is $89 and adds skill-based routing, a sandbox, and audit logs. Each plan still starts from the same 500 AI sessions, so the higher seat is not a larger AI pool.
+Extra AI Agent sessions are $49 per 100, so burning the included pool becomes a second line. Day passes are $2 on Growth and $12 on Enterprise, with Pro priced between them, so a launch week does not need a full-year seat. Freddy AI Copilot bills per agent on Pro and Enterprise, and Growth does not include it.
−Freshdesk publishes no forever-free plan, so the trial is the only way to test the inbox, and Copilot is not inside the first 500 sessions.
−Growth is a ticket desk with a help center, not an in-app messenger with product tours. If the customer never leaves the app, start from Intercom or Help Scout's Beacon, and use Freshdesk when the article base is the job.
Good value

Freshdesk offers the best free tier in customer support (2 agents, email ticketing) and competitive per-agent pricing for basic ticketing.

Watch out

Copilot translation limited to 40 translations per license per month

4
Help Scout logo

Help Scout

  • 4.4 on G2 (431 reviews)

Early SaaS teams that can start in email and a widget.

+The free plan is 5 users, 1 inbox, 1 Docs site, 100 contacts a month, and 1 Beacon, which covers an early product until a few hundred accounts write in. Standard, the annual seat in the table, adds live chat, SMS, WhatsApp, Instagram, Messenger, and one basic SLA.
+Plus is $45 per user per month on annual billing, and that is where conversations group by company, with unlimited AI Drafts, round robin, and Salesforce, Jira, and HubSpot. Pro is $75 and adds SSO, HIPAA, and up to 50 light users. Annual billing is 16% off, which is the table price.
+AI Answers is $0.75 per resolution, a meter on top of the seat once the intro offer ends. A new account gets 3 months of free unlimited resolutions. The Standard or Plus trial is 15 days with no card.
−A contact is someone who got a reply or an AI resolution, and the free plan stops at 100 a month. Five users do not save you once a few hundred accounts write in.
−Company grouping is Plus, not Standard, so Standard still cannot see the account. Extra inboxes are $10 a month on annual billing, and extra Docs sites are $20 a month on annual billing or $24 month to month, while the free plan includes only one of each.
Good value

It's best for small to medium-sized businesses prioritizing ease of use and essential customer support tools.

5
Plain logo

Plain

  • 4.5 on G2 (20 reviews)

B2B SaaS teams that support customers in Slack.

Plain screenshot
+Foundation is the yearly workspace rate for the first seat, and each extra seat is the same rate, so the second hire costs as much as the workspace. The plan caps at 5 seats, and the sixth person leaves this tier. It includes 2,000 credits a month, Slack on 25 channels, 2 email addresses, in-app forms, live chat, Linear, Jira, one help center, and the Ari agent.
+Horizon is $299 a month billed yearly, with 3 seats included and further seats at $99 up to 10 seats. It adds 15,000 credits, Microsoft Teams, SLAs, and customer cards that refresh in 15 seconds instead of a 12-hour cache, so live plan updates require this workspace.
+The trial is 7 days with no card, and a startup program takes 50% off, and viewer seats are unlimited, so viewers do not consume a seat. The Plain profile places it next to the suites.
−The sixth full seat leaves Foundation, and Horizon's included block is 3 seats, so a team of eight pays the higher workspace plus extra seats.
−Foundation customer cards are a 12-hour cache, so a change during the thread waits for the refresh. Live updates are a Horizon feature, and Frontier (SSO, SCIM, custom pricing) is still a sales conversation.
Good value

The per-seat pricing for additional users also escalates significantly.

Watch out

Additional seats are $35/month on Foundation.

6
Featurebase logo

Featurebase

  • 4.7 on G2 (52 reviews)

Product teams that want tickets and feedback in one tool.

Featurebase screenshot
+Free is 1 seat with live chat, unlimited conversations, a unified inbox, and the feedback product, enough for the widget and the feedback board, though AI is not included, and a 10-day trial covers the paid features.
+Growth, the yearly seat in the table, adds email, the Fibi agent, an AI copilot, macros, and the API. Fibi is $0.49 per resolution, so every bot close is a line on top of the seat. Professional is $59 per seat per month billed yearly and adds Slack, workflows, round robin, SLAs, Salesforce and HubSpot, and 20 Lite seats.
+Enterprise is $99 per seat per month on the same yearly billing and the same resolution rate, so the higher seat buys controls, not a cheaper bot. Feedback is already included from the free seat.
−Free does not include email, and the support@ inbox is a Growth purchase, so the widget alone misses the mailbox customers already use.
−The free seat cannot run Fibi, so a bot on day one means a paid seat plus the resolution meter, and Slack support waits for Professional.
Good value

This pricing is best for startups and growing teams needing robust feedback tools without breaking the bank.

Watch out

Add-on integrations could incur costs

HubSpot Service Hub logo

HubSpot Service Hub

  • 1.8 on Trustpilot (613 reviews)
  • 4.1 on PeerSpot (39 reviews)

SaaS companies whose pipeline already lives in HubSpot.

HubSpot Service Hub screenshot
+Free tools cover up to 2 users with a shared inbox, live chat, ticketing, and the CRM record, plus HubSpot branding and no knowledge base. Starter, the annual rate in the table, removes the branding and adds routing, which is not a help center. Starter is $20 per seat month to month, above the annual rate in the table.
+Professional is $90 per seat per month billed annually and $100 month to month, with 3,000 HubSpot credits, the help desk workspace, a knowledge base, a customer portal, and surveys, the first edition that can deflect tickets. Enterprise is $150 per seat, with conditional SLAs, skill-based routing, and 5,000 credits.
+For new customers after March 5, 2024 there is no extra seat minimum, so three people do not buy unused seats. Professional calling caps at 3,000 minutes per account per month, and Sales Hub Professional does not double that cap.
−The knowledge base is Professional, and as of August 28, 2026 that edition requires a $1,500 onboarding fee, while Enterprise onboarding is $3,500, and the cheap seat will not publish the help center.
−Free stops at 2 users, so three people are already on a paid seat and still lack a help center, which makes it the wrong first desk outside HubSpot.
Fair value

HubSpot's pricing is the most complex in SaaS, 7 Hubs, 4 tiers each, per-seat AND per-contact charges, plus mandatory onboarding fees.

Watch out

Marketing contacts vs non-marketing contacts: HubSpot only charges for 'marketing contacts' (those you email, use in ads, or include in workflows). But the distinction is confusing, and accidentally including contacts in a marketing email converts them to paid marketing contacts with no undo

Front

  • 4.8 on Trustpilot (1,214 reviews)
  • 4.6 on Capterra (398 reviews)
  • 2.4 on SourceForge (74 reviews)

SaaS support teams that live in one email channel.

+Starter, the annual seat in the table, is 24% off that term and stops at 10 seats. It includes a shared inbox, ticketing, AI Topics, up to 10 automation rules, one workspace, and a basic public knowledge base, which holds until the team splits channels.
+Professional is $65 per seat, up to 50 seats, and that is where email, SMS, social, and WhatsApp sit together, with macros, up to 20 rules, and up to 5 workspaces. Enterprise is $105 and includes AI Copilot, QA, and CSAT, so QA is not on the cheap seat.
+Autopilot, the omnichannel agent, starts at $0.05 per conversation and is an add-on on every plan, including Enterprise, so the agent is never inside the seat. The trial is 14 days, and drafting tools on Starter and Professional are add-ons, so the cheap seat is the inbox.
−Starter is a single channel type, so email plus in-app chat is already Professional, and the Starter quote will not survive the first week.
−The 10-seat cap is a hard boundary, and past it you are on Professional even on one channel. Front is a weak fit when the thread starts inside the product.
Fair value

Front's pricing is on the expensive side compared to many shared inbox solutions, especially the Starter tier at $25/month per seat for basic features.

9
Salesforce Service Cloud logo

Salesforce Service Cloud

  • 4.4 on G2 (25,877 reviews)
  • 4.4 on Capterra (18,808 reviews)

SaaS companies that already run sales on Salesforce.

Salesforce Service Cloud screenshot
+Core is $195 per user per month billed annually and includes case management, a self-service help center, and Slack, the edition that does the support work. Advanced is $395 billed annually and adds Casey, the help agent, plus a full sandbox. Max is $550 per user, sensible only when the account already lives here.
+Pro Suite is $100 per user per month, billed annually, and requires a contract, adding real-time chat on top of Starter. Starter Suite is a sales, service, and marketing bundle with accounts, contacts, and Slack conversations, at the same published rate as a Front seat, so it is a CRM bundle, not a case desk.
+If the account, the opportunity, and the case have to be one record, this is the system that already holds the first two. Do not start here for a widget if you are not already on Salesforce, because the seat price is the CRM.
−Starter Suite does not include case management, which arrives on Core. Read-write knowledge, Einstein bots, and enhanced messaging are each an extra $75 per user per month on Core, so the listed help center is incomplete.
−Starter notes that transaction fees apply, and Pro Suite will not sell without a contract. A 10-person SaaS that wanted a messenger will overpay. Price Core, not Starter Suite, when the work is cases.
Fair value

Salesforce is the most powerful CRM on the market, but the sticker price is a fraction of what you will actually pay.

Watch out

Premier Support: 30% surcharge on total license fees. Without it, you get no phone support and 2-day response SLAs. Most orgs need it.

10
Zoho Desk logo

Zoho Desk

  • 4.4 on G2 (7,933 reviews)
  • 4.5 on Capterra (2,215 reviews)

B2B teams that need company records before a help center.

Zoho Desk screenshot
+Express is the annual per-user rate in the table and $9 billed monthly, capped at 5 users, with email, social, web forms, accounts, and up to 30 million AI tokens a month, so you get the company record before a help center. No card is required for the 15-day trial, after which the account drops to Free.
+Free is 3 users, while Standard is $14, Professional is $23, and Enterprise is $40 per user per month, billed annually. Standard adds the knowledge base, the in-app messaging widget, and the ASAP embed, and it also caps at 5 users, so both the widget and the sixth hire leave Express.
+Professional is where telephony, round robin, and multi-department start, and where the user cap lifts, the first edition with phone. Enterprise includes 50 light users, extra light agents are billed separately, and the ASAP bot plus multi-brand help centers show up there. Annual prices already include the yearly discount, up to 34%.
−The sixth agent cannot stay on Express or Standard, and that hire is Professional, which is also the first edition with phone. Buying Express to embed chat fails, because business messaging starts on Standard.
−Generative reply suggestions on Express are bring-your-own-key, so Express does not include a hosted assistant. The 30 million tokens are not a per-outcome fee, and extra light agents are separate from the 50 included on Enterprise.
Good value

The Free plan is generous for very small teams.

What a SaaS help desk is

A SaaS help desk keeps one thread for the message, the company, and the plan, usually opened from a widget in the app, so the agent sees who is paying before the customer repeats it.

A shared inbox stores email, and it fails when the agent opens Stripe, the admin console, and the docs to answer a billing question. Intercom, Plain, and Help Scout's Beacon start that lookup in the product, which is the right shape for an in-app queue. Freshdesk and Zoho Desk get there only on the plan that includes the help center and the account record.

The meter is the other half of the definition. Intercom and Featurebase bill a seat plus an AI event, so a bot-heavy month is a different invoice. Zendesk and Freshdesk bill the agent and include a resolution or session pool. Plain bills a workspace and then a seat adder, so five people will not see the same invoice on those meters.

Why five agents is a different invoice on every desk

Five Intercom Essential seats are $145 a month before a single Fin outcome, because the annual card is a per-seat rate and the outcome meter sits on top.

Five Zendesk Suite Team agents are $275 a month on annual billing, and that seat includes messaging and telephony, with 5 automated resolutions per agent per month. The cheaper email seat leaves the phone in a second tool.

Five HubSpot Service Hub Professional seats are $450 a month on the annual rate, and the first invoice also carries a $1,500 onboarding fee. Starter will not publish the help center, so skip this path unless the pipeline already lives in HubSpot.

Read Intercom vs Zendesk before you treat a messenger and a suite as the same product. One sells outcomes on top of the seat. The suite includes a small pool of verified resolutions and a phone line.

Key Features to Look For

  • The widget inside the app (Essential)

Intercom Essential includes Messenger, in-app chats, banners, and tooltips, so the entry seat can answer from inside the product. Product tours, checklists, and surveys sit on Proactive Support Plus, a separate add-on capped at 500 messages, so a demoed tour is not part of Essential. Help Scout includes 1 Beacon on the free plan, so a small SaaS can embed a hub before it pays, while a support@ inbox alone is a second login.

  • Company and plan on the thread (Essential)

Zoho Desk Express already groups contacts into accounts, so a B2B team sees the company before it can publish articles. Help Scout waits until Plus to group conversations by company, so Standard is still a shared inbox without the account. Plain's Foundation customer cards refresh on a 12-hour cache, and Horizon refreshes in 15 seconds, so a billing change during a call needs the higher workspace.

  • Help center on the plan you will buy (Essential)

Freshdesk Growth already includes the customer portal and knowledge base, so self-serve starts immediately. Intercom's public help center is on Essential, and the private multilingual center starts on Advanced, which rules Essential out when articles cannot be public. Zoho Desk parks the knowledge base on Standard, not Express, and HubSpot's knowledge base starts on Professional. The knowledge base guide is the wider list if articles are the whole project.

  • What an AI close bills (Essential)

Intercom charges once per conversation when the customer confirms, does not ask for more help, or Fin completes a Procedure, including a handoff, so a transfer still bills. Featurebase bills $0.49 per Fibi resolution on paid seats, and the free seat has no AI, so the bot is a paid decision. Zendesk counts a verified resolution with no human on the thread, 5 per agent per month on Team plans, and the pool caps at 10,000 a year, so a seat-only quote misses a loud quarter.

  • Where Slack and the issue tracker sit (Important)

Plain Foundation includes Slack (25 channels), email (2 addresses), in-app forms, and Linear plus Jira, so start here before a website widget. Front Starter is one channel type and Slack is not it, so email plus Slack is already off Starter. Featurebase puts Slack support on Professional, not on the free seat or Growth.

  • The seat cap hiding under the cheap plan (Important)

Zoho Desk Express and Standard both stop at 5 users, so the sixth hire is a higher edition. Help Scout Free stops at 5 users and 100 contacts a month, and the contact cap often arrives first once accounts write in. Featurebase Free is 1 seat, HubSpot's free tools stop at 2 users, and Plain caps Foundation at 5 seats, so the next hire is often another product.

  • Contractual SLAs (Important)

Intercom SLAs start on Expert, so a response time in the contract is not an Essential purchase. Help Scout's first paid seat includes one basic SLA policy, and two advanced policies start on Plus. Featurebase SLAs start on Professional, and Salesforce case management starts on Core, not on Starter Suite.

What to weigh before you sign

  1. Price the widget the customer will open. In-app chat on Intercom Essential is a different product from Front Starter, which is one channel type.

  2. Name the AI event before you model the year: an Intercom outcome, a Featurebase resolution, or a Zendesk verified resolution. A handoff is not free on every one of them.

  3. If the customer record already lives in HubSpot or Salesforce, start there and price the edition that includes the help center, not the cheap CRM bundle that omits it.

  4. Count seats against the cap, not against the logo. Express, Standard, Foundation, and Help Scout Free all run out at 5, and the sixth person is a different bill.

  5. A B2B team that answers in shared Slack channels should price Plain's published workspace before it prices a website widget.

Evaluation Checklist

  • Open the widget inside the real app, not a marketing site, and answer one billing question without a second login, and opening Stripe means it failed.

  • Confirm the help center, the company record, and the contractual SLA are on the edition in the table, not on the next one up.

  • Write down the AI event you will be billed for, then force a handoff and see whether that conversation still counts, because a billed transfer dominates the invoice.

  • Add a sixth user, and if the invoice jumps off Express, Foundation, or Help Scout Free, that jump is the price of the team you will have.

  • If you already pay HubSpot or Salesforce, price the edition that includes cases and the help center before you add a second inbox.

Pricing Overview

Free or trial

Help Scout is free for 5 users, Featurebase for 1 seat, HubSpot free tools for 2 users, and Zoho Desk Free for 3, so headcount decides which free inbox is real, and Intercom's trial is 14 days rather than a plan you can staff.

$0 to a short trial

Seat plus AI event

Intercom bills Fin per outcome on every plan, and Featurebase bills Fibi per resolution on Growth and above, so the seat is not the whole invoice.

Outcome or resolution

Agent seat

Freshdesk Growth, Zendesk Suite Team, Help Scout Standard, and Front Starter are per-person prices. Help Scout's annual term is 16% off, and Front's annual term is 24% off, and paying monthly gives that discount away.

Annual agent rates

Workspace

Plain's first seat is a monthly workspace rate billed yearly, then the same rate per extra seat, with a 5-seat cap on Foundation before Horizon, and the second hire costs the same.

Plain Foundation

CRM seat

HubSpot Professional adds the knowledge base and a required onboarding fee, so the cheap seat will not publish articles. Salesforce case management starts on Core, not on Starter Suite.

Mistakes to Avoid

  • ×

Buying Intercom Essential to ship product tours will fail, because banners and tooltips are included while tours, checklists, and surveys are the Proactive Support Plus add-on.

  • ×

Treating a Fin Procedure handoff as free undercounts the meter. Completing a Procedure, including the handoff, is an outcome, charged once for that conversation.

  • ×

Comparing Zendesk Support Team with Suite Team as if both included the widget. Only the suite seat has messaging and telephony, and the email seat leaves the phone elsewhere.

  • ×

Staying on Featurebase Free because chat is unlimited. Email and Fibi are not on that seat, and the seat count is 1, so both the mailbox and the bot are paid.

  • ×

Putting a six-person team on Zoho Desk Express or Plain Foundation. Both run out at 5 users, and the next edition is a different bill.

Expert Tips

  • →

Under $10 million raised and under 15 people, apply to Intercom Early Stage before you pay the public Essential seat. Year one is the Advanced plan at the startup rate, with 300 Fin outcomes a month, rather than the public Advanced invoice.

  • →

If you want Fin's agent but the queue already lives in another desk, Fin over that desk uses the same per-outcome rate with no seat fee. The worked example minimum is 50 outcomes a month, which is a floor even for a tiny queue.

  • →

For a team of five or fewer that answers email this week, Help Scout Free already includes a Beacon and one Docs site. Move to Plus when you need conversations grouped by company, rather than when you only want a paid logo.

  • →

Down to two suites, use Zendesk vs Freshdesk, then read the customer support guide if the job is broader than the in-app widget. The live chat guide is the closer list when you only need the widget.

Red Flags to Watch For

  • !

Intercom Essential omits SLAs and product tours. Tours are $99 a month on Proactive Support Plus, and SLAs start on Expert, so a contractual response time is a higher seat.

  • !

Zendesk Support Team leaves out chat and the phone, so the suite seat is the SaaS product if customers do not stay in email.

  • !

Help Scout Free is 100 contacts a month, not unlimited traffic for 5 users, and company grouping starts on Plus, so the free Beacon is not the account view.

  • !

Salesforce Starter Suite is not case management, because cases start on Core, and HubSpot's knowledge base starts on Professional with onboarding beside it.

  • !

Zoho Express caps at 5 users and does not include the in-app widget, so the sixth agent and embedded chat are both a higher edition.

The Bottom Line

Pick Intercom when customers ask from inside the product and you can live with a seat plus an outcome fee. Pick Zendesk Suite Team when the phone has to be in the same system. Pick Freshdesk Growth when the help center has to exist on the first paid seat.

Help Scout is the free on-ramp with a Beacon. Plain is the Slack and Linear desk. Featurebase pairs tickets with feedback and bills the bot on top of the seat. HubSpot and Salesforce win only when the CRM is already chosen, because both hide the real service edition above the cheap suite. Zoho Desk wins when you need accounts on a small seat and can wait one edition for the widget.

Frequently Asked Questions

What is the best help desk for SaaS in 2026?

Intercom is the best default in 2026 for a product company, at $29 per seat per month on Essential with annual billing, plus Fin billed per outcome. Messenger and a public help center are on that seat. Choose Zendesk Suite Team, the annual suite seat in the table, if customers call, because the email seat will not take the phone. Choose Freshdesk Growth, the first paid seat in the table, if the help center comes first. Choose Plain at $35 a month, billed yearly, if support lives in Slack and Linear.

How much does a help desk for a SaaS company cost in 2026?

As of September 2026, five Intercom Essential seats are $145 a month before Fin outcomes, with every bot close on top. Five Zendesk Suite Team agents are $275 a month on annual billing, the seat that includes the phone. Five HubSpot Service Hub Professional seats are $450 a month on the annual rate, plus $1,500 onboarding, which is what buys the knowledge base. Salesforce case management starts at $195 per user per month on Core, billed annually. Plain Foundation is the workspace rate in the table, and Pylon does not publish a seat rate.

Is there a free help desk for a SaaS startup?

Help Scout Free covers 5 users, 1 inbox, 1 Docs site, 1 Beacon, and 100 contacts a month, until the contact cap fills. Featurebase Free is 1 seat with live chat and feedback, and AI is not included. HubSpot's free tools cover 2 users and omit the knowledge base, Zoho Desk Free covers 3 users, and Intercom, Zendesk, Freshdesk, Plain, and Front publish no forever-free staffed plan. More options are in the free customer support guide.

Intercom vs Zendesk for a SaaS product: which fits?

Intercom wins when the conversation starts in the app and you want Fin on every plan, billed per outcome, with SLAs only on Expert at $132 per seat yearly. Zendesk wins when phone, chat, and email must share a suite seat, with 5 automated resolutions per agent per month on Suite Team and a yearly cap of 10,000. The annual Support Team seat is email only, so it is not the in-app product, and the full matchup is Intercom vs Zendesk.

Does Intercom charge when Fin hands the conversation to a person?

Yes, if that handoff is a completed Procedure: Intercom counts an outcome, at $0.99, when the customer confirms the issue is resolved, when they do not ask for more help after Fin responds, or when Fin completes a workflow, including handoffs. You are charged once per conversation, so a transfer is not a free exit, and a 14-day trial includes Fin if you want to test the handoff.

Freshdesk vs Help Scout for a small SaaS team?

Help Scout Free costs nothing until you pass 5 users or 100 contacts a month, and Standard is $25 per user per month on annual billing. Company grouping starts on Plus at $45, so the account view waits for Plus. Freshdesk Growth, the annual seat in the table, includes the knowledge base and the customer portal, and it has no free plan. Pick Help Scout to embed a Beacon this week, and Freshdesk when the article base has to be on the first paid seat. The wider cheap-seat list is the cheapest help desk guide.

What should a SaaS team test before buying a help desk?

Answer one billing question from the in-app widget, confirm the help center and the company record are on the edition you will pay for, and force an AI handoff to see if it bills. Add a sixth user and see whether Express, Foundation, or Help Scout Free jumps to another product, because that jump is the real team price. If the CRM is already HubSpot or Salesforce, price that vendor's service edition first. Context for the whole category is the help desk category.
