Short answer: for a service firm with 40 clients and 3 team members, SuiteDash Start is the cheapest of the nine plans priced here, at $180 a year billed yearly ($19 a month billed monthly), and its pricing page states unlimited clients and staff on every plan. Dubsado Starter follows at $335 a year, and HoneyBook Essentials, which adds up to 2 team members, costs $588. Assembly, which caps active contacts on its lower plans, would cost $1,188 a year at the same size. Prices checked 20 Oct 2026.
Nine client portals and client workspaces priced for 40 clients and 3 team members, each with its client limit quoted from its own pages, checked on 20 October 2026.
A client portal is cheap at 10 clients and expensive at 100 when the bill follows the one number that grows with your success. Some vendors cap active clients on each plan, some charge for team seats, and one prices by process volume. This guide keeps the portals whose own pages state that clients are unlimited or free, and prices them on one scenario. Toolradar data: Toolradar tracks 66 client portals, and 45% of the client portals on Toolradar are free, freemium or open source, but the category also holds practice-management tools built for one profession, so this guide prices portals and client workspaces that are not tied to one profession.
The scenario, called S1, is a service firm with 40 active clients and 3 team members that wants a client portal with its own branding, invoices, and forms or e-signature, billed yearly. Own domain is shown in the table's last column, and file sharing and messaging are noted in the picks where the vendors differ. Each tool is priced on the cheapest plan that covers S1's clients and seats, plus its branding, invoices and forms where the vendor lists them, and the arithmetic is shown once: ManyRequests Core is $39 a month billed yearly with 1 seat plus $15 for each extra seat, so 3 seats cost (39 + 2 x 15) x 12 = $828 a year. The table runs from lowest to highest cost at S1, and branding differs by row: ManyRequests Core keeps its Powered by label, and Pro, which removes it, would cost $1,548. Two ladders show where each bill moves: 15 clients with 1 user, and 150 clients with 8 users.
Methodology: the category holds 66 tools, and this guide prices nine that state on their own pages that clients are unlimited or free, or that users are unlimited with no per-user fee. Every price, limit and feature was read on the vendors' own pricing, help and product pages on 20 Oct 2026, billed yearly unless a row says otherwise, and every total is our arithmetic on printed prices. The guide compares vendor pages and does not test the products. Assembly is left out because it caps active contacts on its lower plans, Moxo because it prices by process volume (a Team plan at $5,000 per year with 100 flows, in its own article), and accounting tools such as Karbon because they serve one profession. What client portal software is, and what no per-client fee means
Client portal software gives each client a private, branded login to the firm's files, messages, invoices, forms and project status. A no-per-client-fee portal prints no cap on clients and no charge per client, so the bill follows your team or plan tier, not your client list.
The nine tools come in four shapes: all-in-one suites (SuiteDash, Dubsado, HoneyBook, Plutio, Bonsai), an agency request portal (ManyRequests), project tools with free client users (Teamwork, Basecamp) and a sales and onboarding workspace (Dock). Basecamp and Dock list no invoices or e-signature on their pricing pages.
Why the client cap is the first number to read
A cap turns growth into a price step. Assembly caps active contacts on its lower plans (5 on Free, 50 on Starter, 500 on Professional) and goes unlimited from Advanced, at $499 a month billed annually, while its FAQ says there are no per-client charges. Starter is $29 a month billed yearly for 1 internal user, so 15 clients cost $348 a year. At S1, with 3 internal users, Professional at $99 a month billed annually costs $1,188 a year, and the 51st active contact forces that move even for one user. That is more than the first six rows of the table, while SuiteDash does not move at any step of either ladder.
Caps also appear in other units: Plutio Core stops at 9 active clients, ClientJoy's Starter and Premium plans at 25 and 100 client accounts, and Softr's Basic, Pro and Business plans at 5, 50 and 100 client users.
Key Features to Look For
Who counts as a paid seat (Essential)
SuiteDash lists unlimited staff. Bonsai and Teamwork bill every user, ManyRequests and Dock charge for extra seats, and HoneyBook Essentials adds up to 2 team members.
Own domain for the portal (Important)
SuiteDash Start, ManyRequests Core and Teamwork Accelerate list a custom domain, and HoneyBook ticks Custom URLs on all three plans. Plutio sells white-label for $9 a month, and Dock lists a custom domain only on Enterprise.
Branding removal (Important)
The Powered-by label goes away on HoneyBook Essentials, ManyRequests Pro, Bonsai Premium, Dock Premium and Plutio's white-label add-on.
Invoices and e-signature (Important)
SuiteDash, Dubsado, HoneyBook, Plutio, ManyRequests and Bonsai list invoices, and Teamwork does from Accelerate. SuiteDash, Dubsado, HoneyBook and Plutio name e-signature.
Billing term gap (Important)
Paying monthly instead of yearly adds $48 a year on SuiteDash Start, $85 on Dubsado Starter, $98 on Plutio Pro, $120 on HoneyBook Essentials and $360 on Bonsai Premium at 3 users.
What to check before you pick
-
Copy the sentence that states the client limit and check which plan it sits on. Plutio's unlimited clients start on Pro, not Core.
-
Count seats for the team you will have in a year. Bonsai is billed per user, while SuiteDash does not move.

Read the users or seats row for the plan you would buy, including any minimum.
Check the own-domain and branding-removal rows, then switch the billing toggle and note both prices.

Prices and limits checked on 20 October 2026 on SuiteDash pricing and its Start plan help article, Dubsado pricing and its URL customization article, Plutio pricing with its plans overview and client portal page, ManyRequests pricing, Bonsai pricing, HoneyBook pricing with its team member article, Teamwork pricing with its license types article, Basecamp pricing with its clients article, Dock pricing, Assembly pricing, ClientJoy pricing, Softr pricing, Zoho Invoice pricing and Moxo's white-label portal pricing article. Totals are our arithmetic: the printed yearly price, or the monthly price billed yearly times 12, plus extra seats where charged. Basecamp's Studio and Pro, Dock Standard and Dubsado's user tier print monthly prices, multiplied by 12. HoneyBook and Plutio carry discount banners and codes, and this table prices the plan cards. Basecamp's FAQ rounds the Unlimited price to $300 a month.
Mistakes to Avoid
- ×
Reading unlimited as true on every plan. Plutio Core stops at 9 active clients, and Pro costs $300 more a year ($490 against $190).
- ×
Ignoring a seat minimum. Teamwork Accelerate lists 5 users, so 3 team members cost $599.76 a year more than 3 seats would suggest.
- ×
Comparing monthly with yearly prices. HoneyBook Essentials costs $120 more a year billed monthly than billed yearly.
- ×
- ×
Pricing a per-user tool by the client list. Bonsai Premium rises from $1,044 to $2,784 a year between 3 and 8 users with no new clients.
Expert Tips
- →
Run your own ladder. Price each plan at today's client count and at three times that number. SuiteDash does not move, while Assembly jumps at the 51st contact.
- →
Match the plan to the row you need. Branding removal, custom domain and team size sit on different plans at HoneyBook, ManyRequests and Teamwork.
- →
- →
Take yearly billing after the trial. At S1 it saves $85 on Dubsado, $120 on HoneyBook and $360 on Bonsai.
- →
Save the sentence that states the client limit, with the date, because plans change.
Red Flags to Watch For
-
A pricing page that says there are no per-client charges and still caps active contacts on its lower plans, as Assembly's does.
-
A plan card, table or FAQ that disagree on seats or storage, as ManyRequests' pricing page does.
-
A feature ticked in a plan table but marked as expected in 2026, as Bonsai's custom domain is.
-
A minimum number of paid users above your team size, such as the 5 on Teamwork Accelerate.
The Bottom Line
SuiteDash Start is the cheapest of these nine plans at S1 and lists a custom URL. Take Dubsado Starter for a forms-and-contracts workflow, HoneyBook Essentials for the owner plus 2 team members with the label removed, or ManyRequests Core for request-based agencies. Choose Basecamp or Dock only when invoices live elsewhere. Avoid plans that tie price to active contacts, because Assembly's bill jumps at the 51st active contact. Prices checked 20 Oct 2026.

Frequently Asked Questions
Which client portal software has no per-client fees?
Among the nine tools priced here, SuiteDash, Dubsado, HoneyBook, ManyRequests and Bonsai state unlimited clients on their pricing pages, Plutio does from Pro, and Teamwork, Basecamp and Dock say client users are free or unlimited. At 40 clients and 3 team members the cheapest is SuiteDash Start, followed by Dubsado Starter, checked 20 Oct 2026.
How much does client portal software cost for 40 clients and 3 team members?
Among the nine plans priced here the yearly bill runs from SuiteDash Start to $4,200 for Dock Standard ($350 per month). HoneyBook Essentials is $588, Plutio Pro with white-label $598 (the add-on prints no billing term), ManyRequests Core $828, Bonsai Premium $1,044 and Teamwork Accelerate $1,499.40, billed yearly. Basecamp Unlimited is $3,588 because one project per client needs 40 active projects. Totals are our arithmetic, checked 20 Oct 2026.
Is there a free client portal with unlimited clients?
Not among the nine. Basecamp's Free plan allows 1 project and 5 users, Teamwork's Free plan 5 users and no client users, Dock's Free plan 10 workspaces, and the rest offer trials from 7 days (Plutio, Bonsai) to 30 days (HoneyBook). Zoho Invoice is free with a self-service customer portal, but limited to 2 users, 3 projects and 500 invoices a year, with Powered by Zoho Invoice branding.
What is the catch with client portals that cap clients?
The bill steps up when the client count passes a plan's cap. Assembly allows 50 active contacts on Starter and 500 on Professional, so a one-user firm goes from $348 to $1,188 a year at the 51st contact. Plutio Core stops at 9 active clients, ClientJoy at 25 or 100 client accounts, and Softr at 5, 50 or 100 client users by plan.
Do clients count as paid seats?
Not at the tools that say so. Teamwork's license article says client users cost nothing and only standard users are paid seats, ManyRequests says invited clients do not count as a seat, and Dock says external collaborators have free access.
Can a client portal run on my own domain, and what does it cost?
SuiteDash Start and ManyRequests Core list a custom domain on their entry plans, HoneyBook ticks Custom URLs on all three plans, and Teamwork lists one from Accelerate. Plutio charges $9 a month for white-label, and Dock lists a custom domain and emails only on Enterprise. Bonsai marks its custom domain expected in 2026, and Dubsado's help article names no plan.
Dubsado or HoneyBook: which costs less at 3 team members?
At S1 HoneyBook Essentials costs $253 a year more than Dubsado Starter. HoneyBook's help center says Essentials adds up to 2 team members, while Dubsado includes 3 additional users free. Essentials includes the scheduler and automations that Dubsado holds for Premier. See Dubsado vs HoneyBook.
