Best AI Invoice Processing Software in 2026

TL;DR

Short answer: Vic.ai is the AI invoice processing software to shortlist first when a mid-market AP team wants routine invoices coded, matched and posted without a keystroke, and it sells by quote only. BILL is the priced alternative: Team is $65 per user per month and is the first tier with its Invoice Coding Agent. Ramp Plus is $15 per user per month plus a platform fee. Stampli and Basware lead on matching and exceptions. Nanonets bills by usage, from $100 for 100 credits.

Buy the product that empties the exception queue, not the one with the cleanest extraction demo. Reading a PDF is a solved problem on nearly every plan in this guide, so the money sits in coding, matching, and the invoices that fail a tolerance check. Vic.ai is where a mid-market controller should start, because it sells posting without a person as the product and puts a no-touch rate on its homepage. Toolradar data: of the 218 invoicing tools we track, 142 (65%) are paid only and 33% have a free or freemium plan, but that category mixes tools that send invoices with tools that read them, so treat the free share as a ceiling for AP.

Six of the ten tools quote only. BILL and Ramp publish seat prices, Nanonets publishes usage prices, and Rossum publishes a floor of $18,000 a year. Almost every vendor also publishes a touchless-style rate, and no two define it the same way, which is why the table asks what each number counts.

Methodology: these 10 were ranked for a controller or AP manager at a mid-market company that posts PO and non-PO invoices into an ERP, against the 218 tools in the invoicing category. Capabilities and prices were read on vendor pages in October 2026. No paid placement.

Extraction-only products are covered in the OCR invoice software guide. Seat-level AP pricing is in the AI accounts payable tools guide, and the wider field sits in the AI invoice tools guide. This page is about posting invoices with fewer touches.

Vic.ai

Top Pick
  • 4.7 on G2 (26 reviews)

Controllers who want the model to post routine invoices without a person and will run a pilot to prove it.

+The homepage claims an 85% no-touch rate by month 6 and 5x faster invoice processing. Those are vendor claims, and they describe the product the company sells: autonomous invoice processing rather than a capture add-on.
+Matching compares invoices, purchase orders, receipts and contracts, and flags discrepancies and missing POs before they reach a workflow. Approvals route by AI-driven logic, and VicInbox captures and categorizes invoices from the AP inbox.
+Vic.ai says it connects to all major ERP and accounting systems, and it has added VicPay, a vendor portal and VicAgents. A team that wants capture, matching and payment from one vendor can stay on one contract. Reviews and alternatives are on the Vic.ai profile.
−There is no published price, so a budget needs a demo first. The 85% figure is reached by month 6, which means the first months run below it while the model learns your coding.
−Ask to see a failed match and the tolerance settings in a sandbox before you rely on the matching claim.

Watch out

Potential minimum contract values

2
Stampli logo

Stampli

  • 4.6 on G2 (2,013 reviews)
  • 4.8 on Capterra (463 reviews)

Controllers with several entities and an ERP that is not QuickBooks, who want exceptions resolved on the invoice.

Stampli screenshot
+Stampli says Billy performs on average 89% of the work across more than 2,700 ERP-aligned fields, based on how a company codes, routes, matches and approves. The count is fields, not invoices, so use it as a direction and not as a touchless rate.
+Semi-automated two-way and three-way matching is included in the standard package, with full automation by Billy available. The pricing page lists unlimited entities, locations and vendors, plus 12 pre-built reports and a vendor portal.
+The ERP list is wide: NetSuite, Sage Intacct, SAP ECC and S/4HANA, Oracle Fusion, Dynamics 365, Acumatica and QuickBooks, among others. Payments cover domestic check and ACH, global ACH and wire, and virtual cards. Reviews and alternatives are on the Stampli profile.
−Pricing is a quote, and the full automation tier is described as available rather than included. Put the automation level in the contract, or the semi-automated match is what you receive.
−Semi-automated matching still asks a person to confirm. A team buying for a touchless rate should test how many matches clear without a click.
Fair value

This model typically indicates enterprise-level solutions where pricing is customized based on usage, number of entities, and specific feature sets, suggesting it's likely on the higher end of the market.

Watch out

Overage fees for high transaction volumes.

3
Basware logo

Basware

  • 4.1 on G2 (136 reviews)
  • 3.9 on Capterra (21 reviews)

Multi-ERP or multi-country finance teams that need matching across any mix of invoices, POs and receipts.

+Basware lists 89% touchless processing as what customers can achieve. Matching works across any combination of invoices, POs and goods receipts, and Basware says a match can succeed even when the PO came from another system or the figures do not line up perfectly.
+SmartCoding is a machine-learning model for invoices that are not linked to a PO or payment plan, which is the pile that matching cannot help. Remaining exceptions route automatically to the right approval workflow.
+Tax handling is built in for over 50 countries, and Basware says it integrates with any ERP, which fits a multi-ERP group. A customer quoted on its page reports 65% end-to-end touchless matching in North America and calls it early days.
−Pricing is a subscription that scales with functionality and volume commitment, and no figure is published. The more you commit, the lower the unit cost, so a small team pays a higher rate per invoice.
−The 89% headline is a vendor figure and the customer quote on the same page is 65%. Ask for the rate on invoices like yours, not the best case.
4
Medius logo

Medius

  • 4.3 on G2 (87 reviews)
  • 4.3 on Capterra (23 reviews)

Teams that want a package list to compare, with matching included from the first tier.

Medius screenshot
+AP Essentials includes multi-way matching, prepayments, recurring invoices, Medius Capture and analytics, with unlimited users and one entity. BILL and Ramp hold matching for a higher tier or an add-on.
+AP 360 adds Medius Copilot for approvers, Supplier Conversations, Fraud and Risk Detection and a Supplier Portal, across three entities. Medius also sells statement reconciliation, which matches supplier statements to invoices to spot missing or mismatched invoices and avoid duplicate payments.
+Medius claims a 97% auto-match rate on invoice lines and says Gartner named it a Leader in its 2026 Magic Quadrant for Accounts Payable Applications. Both are vendor-stated. Reviews and alternatives are on the Medius AP profile.
−Neither package shows a price, and Payments, Supplier Onboarding, Procurement and Expense are sold at additional cost. The invoice-to-pay total can be well above the package.
−Essentials covers one entity and no fraud module. A group with three subsidiaries needs AP 360, which moves the quote.
5
BILL logo

BILL

  • 4.4 on G2 (1,811 reviews)

Mid-market teams on QuickBooks or Xero that want a seat price and AI coding before a sales call.

+Essentials is $49, Team is $65 and Corporate is $89 per user per month. Automatic multi-line AI bill coding by the Invoice Coding Agent starts on Team, and the W-9 Agent is on every plan.
+Corporate adds custom approval policies and approver-only seats at a lower price, and includes two-way matching. Enterprise is custom, adds PO sync and two-way and three-way matching with NetSuite, Sage Intacct, Dynamics and other ERPs, and includes SSO, dual control and multi-entity support.
+Payment fees are published: ACH $0.59, check $1.99, virtual card free, and international FX wire free. International USD wire is $19.99. Reviews and alternatives are on the BILL profile.
−Essentials has no AI coding, and Essentials and Team reach matching only through a procurement add-on. A team that demos coding and matching should price Corporate, at $89 per seat.
−Every user on Essentials and Team is billed as a standard user, so a long approver list adds up. Team syncs with QuickBooks and Xero only, and the larger ERPs wait for Enterprise.
6
Ramp logo

Ramp

  • 4.8 on G2 (2,506 reviews)
  • 4.9 on Capterra (221 reviews)

Teams that want OCR and fraud checks at no seat cost, and will pay for coding and matching as volume grows.

+The free plan is $0 per user per month and includes invoice capture with AI-powered OCR, approval rules and automated fraud checks from AP agents. Ramp claims its OCR captures every line item with 99% accuracy, a vendor claim.
+Plus is $15 per user per month on a monthly bill, with 20% off annual billing. It adds line-item auto-coding from the AP agent, approval recommendations, line-item splits and three-way match with imported purchase orders and item receipts.
+Enterprise is custom and billed annually. Ramp says its AP product works standalone, without its corporate card. Reviews and alternatives are on the Ramp profile.
−Plus carries a platform fee based on team size that Ramp does not publish, so the $15 seat is not the invoice. Ask for the platform fee before you compare it with BILL Team.
−Coding and imported-PO matching sit on Plus, and Ramp's own purchase order management is a separate procurement add-on to Plus or Enterprise. The free plan reads and screens invoices, and a person still codes them.
Great value

Ramp's pricing is highly generous, especially with its robust Free tier that offers features often found in paid plans from competitors.

Watch out

No explicit mention of minimum user count for Plus

7
Coupa logo

Coupa

  • 4.5 on G2 (570 reviews)

Large or global finance teams that want invoice processing inside a wider procurement and spend suite.

+Coupa announced it acquired Rossum on May 12, 2026, and Coupa Invoicing is now powered by Rossum's AI. Coupa says it ingests any document format, from any source and in any language, with no templates to build.
+Automated two-way and three-way matching handles invoices that match a PO within tolerance, and Coupa says those validate, route for approval and schedule payment with no human step. A separate fraud detection module sits alongside.
+Compliance is handled for 50+ countries, including e-invoicing and tax mapping. Coupa says Gartner named it a Leader in the 2026 Magic Quadrant for Accounts Payable Suites. Reviews and alternatives are on the Coupa profile.
−Pricing varies by invoice volume, users and features, and no figure is published. Expect a procurement-grade sales cycle and implementation, not a self-serve start.
−Touchless processing is described for invoices that match a PO within tolerance. A team with mostly non-PO invoices should ask what the non-PO coding path looks like.
8
AvidXchange logo

AvidXchange

  • 4.4 on G2 (329 reviews)
  • 4.5 on Capterra (211 reviews)

Teams that want a human layer behind extraction and a payment network in the same contract.

+AvidXchange says its AI extracts data with 99%+ accuracy and that expert indexers add a layer of review when needed, including for handwritten invoices. It also shows whether each field was captured by AI or by an indexer.
+The vendor says one person can manage more than 10,000 monthly invoices, with 90% prepared and ready for approval without manual intervention. Exceptions needing judgment are often resolved in one minute. All three are vendor claims.
+AI PO matching applies two-way and three-way matching with tolerance policies set by supplier. Payments run through a supplier network of roughly 700,000 companies, and the site lists 200+ integrations. Reviews and alternatives are on the AvidXchange profile.
−No price is published, and the site has no pricing page. Expect the quote to tie to volume and the payment services you take.
−The 90% figure counts invoices prepared for approval, not posted and paid. Part of the accuracy comes from human indexers, which can mean a slower path on the hardest invoices.
9
Rossum logo

Rossum

  • 4.5 on G2 (127 reviews)
  • 4.3 on Capterra (13 reviews)

Teams whose ERP already owns approval and payment and need accurate capture feeding it.

+Starter starts at $18,000 a year with unlimited seats, ingestion by email, API or upload, a validation screen for exception handling, a 12-month archive and API access. The minimum contract is one year.
+Business adds master data matching, duplicate detection across channels, custom business logic and workflow reporting, and integrates with SAP, Coupa, Workday and Oracle. Enterprise adds SSO, a sandbox and document translation. Rossum's own case study for Morton Salt cites 71% straight-through processing.
+Rossum still sells its own plans after the Coupa deal. An AP apps add-on brings approval workflows, predictive GL coding and early payment discount detection, and e-invoicing is a separate add-on. Reviews and alternatives are on the Rossum profile.
−The core product is capture and validation. Approvals and predictive coding need the AP apps add-on, and payments live in your ERP or another product, so total cost includes that second system.
−Duplicate detection and master data matching sit on Business, which is quote-only. Starter at $18,000 reads the invoice and leaves the control checks to you.
Fair value

The Starter tier at $18,000 per year is quite expensive for businesses just beginning with AI document processing, especially considering it's a base offering.

10
Nanonets logo

Nanonets

Teams with variable volume that can describe their tolerance and coding rules in a document.

+Starter is free with $50 in credits and no card, then $100 a month for 100 credits. A block run costs $0.02 for simple steps, $0.10 for standard AI and $0.30 for complex AI. Nanonets estimates under $2 per invoice end to end, at 4 to 6 blocks per document.
+The AP agents turn your supplier terms, tolerance tables, coding rules and approval matrix into a process. They run two-way and three-way matching, GL coding from your rules, duplicate detection and tolerance checks.
+Low-confidence matches and policy exceptions go to a person with the document, the failed rule and the PO attached. There are no platform fees or seat licenses, and credits do not expire. Reviews and alternatives are on the Nanonets profile.
−Usage pricing makes the monthly bill depend on volume and workflow design, which a budget owner cannot read off a card. Starter is capped at 3 users, and the up-to-40% volume discount sits on Growth, which is quote-only.
−ERP and database integrations start on Growth, and the agents are only as good as the rules you write down. A team without a documented tolerance policy has a setup project first.
Good value

The custom pricing for 'Credits Accelerate' and 'Enterprise' suggests a flexible, value-based approach for larger organizations.

What AI invoice processing software does

AI invoice processing software captures a supplier invoice, proposes the general ledger coding, matches the invoice to a purchase order and receipt when one exists, and sends only the failures to a person. Four jobs sit inside that sentence, and vendors are strong at different ones.

Capture turns a PDF, email or EDI file into fields. Rossum and Nanonets start here. Coding predicts the account, cost center and tax code from history, which is the work of Vic.ai's model, Basware SmartCoding on non-PO invoices, and the coding agents at BILL and Ramp. Matching compares the invoice to a PO (two-way) and a goods receipt (three-way) inside a tolerance. Exceptions are the invoices that fail one of those steps.

A touchless invoice passes all four without a person. Capture-first tools begin at the first job and add the others as modules or agents, or hand the invoice to your ERP. Suites such as Stampli, Medius and AvidXchange also own approval and payment. Coupa now owns both layers: it announced the Rossum acquisition on May 12, 2026.

Why every touchless number is a different number

Vendors publish five different rates, and none is a like-for-like comparison. Vic.ai's homepage claims an 85% no-touch rate by month 6. Basware lists 89% touchless processing as an achievable outcome. Stampli says its Billy assistant performs 89% of the work across more than 2,700 ERP-aligned fields, which counts fields, not invoices. AvidXchange says 90% of invoices are prepared and ready for approval without manual intervention, which stops before approval. Medius claims a 97% auto-match rate on invoice lines, a line-level rate that can sit above an invoice-level rate when one line of a long invoice fails.

Read each number for its denominator. A rate that counts fields, lines, or invoices prepared for approval will beat one that counts invoices posted and ready to pay. A customer quoted on Basware's own page reports 65% end-to-end touchless matching in North America and calls it early days, a lower figure than the headline.

The second reason is tier gating. BILL's coding agent starts on the $65 Team seat, and two-way matching comes with the $89 Corporate seat or a procurement add-on. Ramp's line-item coding and three-way match with imported purchase orders start on Plus. Rossum's duplicate detection and master data matching start above its $18,000 Starter plan. The product in the demo is often the second tier.

Key Features to Look For

  • Coding learned from your ledger (Essential)

The model should propose account, cost center and tax code from your own history, and improve when a clerk corrects it. Basware SmartCoding is machine learning for invoices with no PO. BILL's Invoice Coding Agent codes multi-line bills from the Team plan, and Ramp's agent learns from past invoices and codes line items on Plus. Ask whether a correction changes next week's prediction.

  • Two-way and three-way matching with tolerances (Essential)

Matching is where PO-heavy teams save the most time and where plans split the most. AvidXchange sets tolerance policies by supplier, Medius includes multi-way matching on both packages, and Stampli includes semi-automated two-way and three-way matching with full automation available. BILL and Ramp gate matching by tier, so check which seat includes it.

  • Exception routing with context (Essential)

An exception is only cheap when the approver sees the document, the PO, the receipt and the rule that failed. Nanonets hands low-confidence matches and policy exceptions to a named person with that context. Stampli keeps the question on the invoice itself, and Rossum's validation screen is built for human review of low-confidence fields.

  • ERP posting depth (Essential)

The ERP stays the system of record, so posting quality decides whether the clerk redoes the work. Stampli lists NetSuite, Sage Intacct, SAP S/4HANA, Oracle Fusion and Dynamics among its ERPs. BILL's NetSuite, Sage Intacct and Dynamics sync is an Enterprise feature, and Team syncs with QuickBooks and Xero. Rossum integrates with SAP, Coupa, Workday and Oracle.

  • Duplicate and fraud checks before posting (Important)

A duplicate caught at capture costs nothing, and one caught after payment costs a recovery project. Ramp runs automated fraud checks from its AP agents on every plan, including free. Rossum adds duplicate detection on Business, not Starter. Medius keeps Fraud and Risk Detection in AP 360, and Nanonets lists duplicate detection and fraud checks in its AP agents.

  • Capture beyond clean PDFs (Important)

Handwritten notes, scans, EDI and foreign-language invoices decide your real touchless rate. AvidXchange pairs AI with expert indexers who review fields when needed, including handwritten invoices. Coupa says its Rossum-powered ingestion needs no templates and handles any language. Vic.ai says it ingests email, portal, EDI and scans.

  • A price meter you can forecast (Important)

Per-seat, per-credit and per-quote pricing behave differently when volume doubles. BILL and Ramp charge per user, Nanonets charges per block run, Rossum charges an annual floor, and the quote-only suites price on volume, entities and modules. Ask for the invoice count the quote assumes.

  • E-invoicing and tax compliance (Nice to have)

Teams with suppliers in several countries need e-invoice formats and tax mapping handled for them. Basware cites tax compliance in over 50 countries, and Coupa cites 50+ countries through its compliance service. Rossum sells e-invoicing as an add-on. A single-country US team can skip this.

What to settle before the demo

  1. Split last quarter's invoices into PO and non-PO first, because coding strength helps the non-PO pile and matching strength helps the PO pile.

  2. Ask each vendor to define its touchless rate in one sentence: fields, lines, invoices prepared, or invoices posted.

  3. Get the matching tier in writing, since BILL, Ramp, Rossum and Medius each place matching or duplicate checks on a specific plan.

  4. Count entities and ERPs, because Medius AP Essentials covers one entity and AP 360 covers three.

  5. Decide whether a person approves before the ERP write, and confirm the tool supports that control.

Evaluation Checklist

  • Send 200 of your own invoices, including scans and multi-line bills, and ask for the touchless rate with its definition.

  • Include 20 invoices with a partial receipt, and write down which plan the match needs.

  • Correct a GL code on a sample and check next week whether the model used it.

  • Resend a paid invoice with a changed number, and confirm the duplicate check fires.

  • Open an exception and note what the approver sees: document, PO, receipt and failed rule.

  • Get entity count, ERP list and invoice volume caps in the quote, in writing.

  • Confirm a person approves before the ERP write if your control requires it.

Mistakes to Avoid

  • ×

Buying BILL Essentials at $49 for AI coding, when the Invoice Coding Agent starts on Team at $65.

  • ×

Comparing Ramp Plus at $15 a seat with BILL Team without asking for Ramp's platform fee.

  • ×

Treating Stampli's 89% of the work as an 89% touchless rate, when it counts fields.

  • ×

Choosing Medius AP Essentials for three subsidiaries when it covers one entity and AP 360 covers three.

  • ×

Paying for Rossum Starter at $18,000 and assuming duplicate detection comes with it, when it starts on Business.

  • ×

Expecting Vic.ai's month-6 no-touch rate in month one, when the model is still learning your coding.

Expert Tips

  • →

Pilot on last quarter's invoices, not the vendor's samples, and measure touchless as invoices posted without a click.

  • →

Split the pilot into PO and non-PO invoices, because Basware's SmartCoding and Ramp's matching help different piles.

  • →

If your ERP already has approval workflows, price a capture layer such as Rossum or Nanonets before a full suite.

  • →

Ask AvidXchange and Medius for the share of fields a human reviewed in the pilot, not only the accuracy figure.

  • →

For usage pricing, multiply your busiest month by the per-invoice estimate and budget from that peak, not the average.

  • →

Write the exception SLA into the contract, because a fast model with a slow exception queue still misses the close.

Red Flags to Watch For

  • !

A touchless rate quoted without a denominator, since fields, lines and invoices give three different numbers.

  • !

A demo that codes multi-line invoices on a plan whose price page puts the coding agent on a higher seat.

  • !

A quote that omits invoice volume, entities or ERP, so the second year doubles.

  • !

A capture-only product sold as an AP suite, with approvals and payment left to a second vendor.

  • !

A reference customer at 90% touchless who will not share the invoice mix behind it.

The Bottom Line

Start with Vic.ai when the goal is posting routine invoices without a person, and run a pilot on your own invoices before you sign. Choose Stampli or Basware when matching and exceptions across several entities or ERPs matter more than a touchless headline. Choose BILL Team at $65 per user per month when you want a published price with coding included. Use Rossum or Nanonets when your ERP already owns approval and payment and capture is the gap. Buy on a rate measured on your invoices.

Frequently Asked Questions

What is the best AI invoice processing software in 2026?

Vic.ai is the first tool to shortlist for a mid-market AP team that wants routine invoices coded, matched and posted without a person, though it prices by quote. BILL Team at $65 per user per month is the best published-price option with AI coding. Stampli and Basware are the stronger picks when matching and exceptions across several entities matter most.

How much does AI invoice processing software cost?

Prices read in October 2026 run from BILL at $49, $65 and $89 per user per month and Ramp at $0 or $15 per user per month plus a platform fee, to Nanonets at $100 a month for 100 credits and Rossum from $18,000 a year. Vic.ai, Stampli, Basware, Medius, Coupa and AvidXchange publish no price and quote by volume and modules.

What is a good touchless invoice processing rate?

Vendors claim 85% (Vic.ai by month 6), 89% (Basware) and 90% prepared for approval (AvidXchange). A customer on Basware's page reports 65%, and Rossum's Morton Salt case study cites 71% straight-through processing. Treat any rate as a pilot target, and measure it on your own invoices as invoices posted without a click.

What is the difference between two-way and three-way matching?

Two-way matching compares the invoice with the purchase order. Three-way matching adds the goods receipt, so a short delivery fails the match. Plans gate this differently: BILL includes two-way on Corporate, Ramp includes three-way with imported POs on Plus, and Medius includes multi-way matching on both packages.

Do I need OCR software if I buy an AP suite?

No. Suites such as Stampli, Medius, AvidXchange and BILL include capture. A capture layer such as Rossum or Nanonets fits when your ERP already owns approvals and payment and you only need accurate fields feeding it. Buying both is paying twice for the first step.

Which tool fits NetSuite, Sage Intacct or SAP?

Stampli lists NetSuite, Sage Intacct, SAP ECC and S/4HANA, Oracle Fusion and Dynamics. Basware says it integrates with any ERP, and Rossum integrates with SAP, Coupa, Workday and Oracle. BILL syncs NetSuite, Sage Intacct and Dynamics only on Enterprise, while Team syncs with QuickBooks and Xero.

Is there free AI invoice processing software?

Ramp's free plan includes invoice capture with AI-powered OCR and automated fraud checks, but line-item coding and three-way match start on Plus. Nanonets gives $50 in free credits. BILL has no free AP plan: its $0 plan is Spend and Expense.
