Short answer: a 10-person US nonprofit that must approve timesheets and export hours by grant should price ClickTime Team at $14 per user a month, or $140 a month for the team. Jibble lists approvals and projects free for unlimited users; Clockify Standard is a paid alternative at $5.49 per seat a month billed yearly, or $658.80 a year for ten people. TimeCamp prints a 30% nonprofit discount after 501(c)(3) paperwork, subject to confirmation. Track It Forward focuses on volunteer hours, which may need a separate reporting workflow.
Staff timesheets, grant exports, and volunteer hours, priced for ten people with vendor rates checked in October 2026.

A 10-person nonprofit that reports staff time to grants needs a timesheet someone can approve and an export that splits hours by program. ClickTime is the tool whose own nonprofit page is written for that job. Clockify has a lower listed approval-plan price than ClickTime. Jibble lists approvals at no charge. TimeCamp states a nonprofit discount in its FAQ.
Volunteer sign-in is a different product. Track It Forward logs volunteer hours. It does not replace a staff timesheet, and a volunteer database is a wider search, covered in volunteer management software. A solo grant writer billing their own hours is closer to time tracking for freelancers.
Methodology: we priced the plan that includes timesheet approval for ten staff, using each vendor's own pages in October 2026, then recorded a nonprofit offer only where the vendor prints the terms. The wider catalog is the time tracking category; see its category data. Toolradar data: the broader time tracking category contains 115 tools; it is not limited to products for nonprofits, so the ten-person totals below are a separate calculation.

Other Time Tracking tools worth considering
More published tools from our Time Tracking category, ordered by our category ranking. They are not part of the editorial picks above.
What nonprofit time tracking has to do
Nonprofit time tracking software records hours against programs, grants, or projects, then lets a manager approve the timesheet and export the totals. A funder wants to see which restricted grant the hours served. Payroll wants a closed period nobody can edit after approval.
That is not the same job as a volunteer log. Staff time is an attendance and cost record: who worked, on which grant, and whether a supervisor signed it. Volunteer time may be a participation record and, where permitted by the grant, evidence of an in-kind contribution. Jibble and QuickBooks Time are built for the first job. Track It Forward is built for the second. Keep the categories and reporting requirements distinct, especially when volunteer time is eligible as an in-kind contribution.
A project field can stand in for a grant code when the vendor does not print the word grant. Harvest, Toggl Track, and Clockify all let you tag time to projects and export a report. ClickTime's nonprofit page goes further and names programs, grants, and funding sources as the thing you track. Treat that as a product description, not as a certification that an auditor has blessed the file.
What ten people actually pay when approvals are required
The plan that matters is the one with approvals, not the cheapest timer on the page. ClickTime Team is $14 per user a month on the nonprofit price list, or $140 a month for ten people, and $1,680 if that monthly rate runs a full year. Ask ClickTime to confirm available annual billing terms and any savings before budgeting.
Among the paid staff-approval plans compared here, Clockify Standard has the lowest listed annual total. Jibble lists approvals for free, while Track It Forward is a separately priced volunteer product. TimeCamp Ultimate is $1,198.80 before any nonprofit percent. Hubstaff Team is $1,200. QuickBooks Time Premium is $1,320 when one admin is included in the base fee and nine other people are extra users. Harvest Enterprise is also $1,680, this time as an annual contract at $168 a seat. Toggl Premium is $1,920. Jibble's own site prices the product at free for unlimited users.
Those totals are regular list prices. TimeCamp prints a nonprofit discount in its FAQ; ClickTime publishes a nonprofit price list; ask about annual billing. For the lowest bill with no grant rule, the cheapest time tracking software page ranks a different set of plans. The books the hours eventually hit are a separate purchase, covered in accounting software for nonprofits.
Key Features to Look For
Approvals on the plan you price (Essential)
Clockify puts Approval on Standard, not Basic. TimeCamp puts timesheet approvals on Ultimate. Harvest puts them on Enterprise, not the Teams plan. Toggl puts them on Premium. Hubstaff puts them on Team, not Starter or Grow. Pricing the tier below that one understates the bill.
A code for the grant (Essential)
ClickTime's nonprofit page says you track time by program, grant, or funding source. The other staff tools use projects, clients, or tasks. If the export cannot group hours by that code, the finance lead rebuilds the grant report by hand.
An export a funder can read (Essential)
Clockify, Toggl, Jibble, and TimeCamp all describe report or spreadsheet export on the plans noted below. A locked PDF that nobody can drop into the grant workbook is a weaker close than a CSV or Excel file.
Who counts as a paid seat (Essential)
Clockify charges every active or invited user on the Team page, including the owner, admins, and managers. Deactivated users do not take a seat. QuickBooks Time includes the first admin in the base fee and bills each additional user.
A nonprofit offer you can read (Important)
TimeCamp's pricing FAQ states an additional 30% for nonprofits that send 501(c)(3) paperwork. ClickTime publishes a separate nonprofit price list. The other pricing pages in this guide do not print a nonprofit percent.
Monitoring versus a timesheet (Important)
Hubstaff and Jibble describe screenshots, GPS, or face checks. Toggl's pricing page says it does not take screenshots or record keystrokes. A grant timesheet does not require a photo of the desk.
Volunteer caps versus staff seats (Important)
Track It Forward's free plan is for grassroots groups with fewer than 25 volunteers, and only active volunteers count on paid plans. That cap is not a staff headcount. A 10-person payroll still needs a staff tool.
Usage fees beside the seat (Nice to have)
Harvest says extra invoices, projects, clients, and tasks are billed as you use them, and it does not print those rates on the pricing page. A nonprofit with dozens of grants should ask for that schedule before signing the seat price.
What to settle before you subscribe
-
Write down the approval rule first. If a supervisor must lock the period, ignore any plan that stops at a personal timer.
-
Name the grant codes you will export this quarter. If the tool has projects but no funding-source field, decide whether a project per grant is enough.
-
Count invited users, not people who tracked time last week. Clockify bills invited admins. QuickBooks Time bills users beyond the included admin.
-
Separate volunteer hours from staff hours. A free volunteer plan under 25 people does not approve a payroll timesheet.
-
Read the nonprofit sentence on the vendor's own page. A percent that requires 501(c)(3) paperwork is not the price in the checkout button.
Evaluation Checklist
Approve one timesheet and export it grouped by the grant code you will send the funder.
Invite an admin who will not track time and see whether that person takes a paid seat.
Price the approvals plan for 10 people on yearly billing and on monthly billing, and write both annual totals.
Ask the vendor, in writing, whether a 501(c)(3) changes the checkout price, and keep the reply with the quote.
Log one volunteer shift and one staff day in the same tool. If the export mixes them, split the systems.

Prices checked in October 2026 on ClickTime nonprofit pricing, ClickTime pricing, Clockify pricing, TimeCamp pricing, Hubstaff pricing, QuickBooks Time pricing, QuickBooks Time, Harvest pricing, Toggl pricing, Jibble, and Track It Forward pricing. Ten-person totals use the approvals plan. QuickBooks Online is required and priced separately; Track It Forward is a volunteer product whose price depends on account count. TimeCamp's $839.16 is the illustrative annual total if its 30% offer applies to Ultimate for 10 users, if support confirms the discount applies after reviewing the paperwork.
Mistakes to Avoid
- ×
- ×
Treating Track It Forward's volunteer cap as a staff seat count. Fewer than 25 volunteers is not a 10-person payroll.
- ×
Budgeting QuickBooks Time as a single per-user rate. The base fee includes one admin, and every further user is extra, and QuickBooks Online is a separate subscription.
- ×
Assuming every time tracker has a nonprofit percent because one competitor's blog says so. On these vendors' own pages, TimeCamp prints 30%, while ClickTime publishes a nonprofit price list.
- ×
Combining volunteer and staff hours without identifying each category and checking the funder’s reporting requirements.
Expert Tips
- →
Create one project per restricted grant before anyone tracks a minute. Recoding a month of loose entries is how the first report slips.
- →
Ask Harvest for the usage schedule on extra projects before you sign. A nonprofit with many small grants can owe more than the seat rate, and that schedule is not on the pricing page.
- →
Send TimeCamp the 501(c)(3) letter before the yearly term starts. Ask support to confirm the discount and its terms before budgeting it.
- →
Keep volunteer recognition in Track It Forward and payroll hours in the staff tool. The best time tracking software guide is the general ranking, and free time tracking apps covers free tiers without the grant test.
Red Flags to Watch For
-
A free plan capped at 3 or 5 users when the payroll already has 10 people. The whole team moves to paid.
-
Approvals, exports, or billing rates listed on a higher tier than the price in the headline.
-
A nonprofit discount that is a sentence in a FAQ with no percent, no eligibility, and no way to apply it.
-
Screenshots or always-on location tracking turned on for program staff whose grant report only needs hours.
-
DCAA or similar compliance sold as an add-on, described on the page as if the base plan already satisfied an auditor.
The Bottom Line
For a 10-person nonprofit that must approve staff time and show it by grant, ClickTime Team is the plan written for that report, at the monthly rate on the nonprofit list. Clockify Standard costs less than ClickTime when a project per grant is enough; Jibble lists a free approval option. TimeCamp Ultimate is the list price that comes with a printed 30% offer for 501(c)(3) groups. Harvest Enterprise matches ClickTime's twelve-month total and adds invoicing, with usage fees that are not on the price card. Hubstaff Team and Toggl Premium both approve timesheets; Toggl says it does not take screenshots. QuickBooks Time Premium fits a team already paying for QuickBooks. Jibble is the free staff clock. Track It Forward is the volunteer log.
We compared the approvals plan for ten staff, checked vendor pages in October 2026, and did not treat a missing nonprofit sentence as a discount. If Clockify is the close call on price, the Clockify alternatives page sets it against other trackers. Cite this: Toolradar, "Best time tracking software for nonprofits in 2026", October 2026.
Frequently Asked Questions
What is the best time tracking software for nonprofits in 2026?
ClickTime Team is the best fit when the nonprofit must approve staff timesheets and export hours by grant. The nonprofit price list is $14 per user a month, or $140 a month for 10 people. Jibble lists approvals free for unlimited users; Clockify Standard is a paid alternative at $658.80 a year for the same team. Track It Forward is the pick only when the hours belong to volunteers.
How much does time tracking cost for a 10-person nonprofit?
On regular prices for a plan that includes approvals, Clockify Standard is $658.80 a year billed yearly. TimeCamp Ultimate is $1,198.80 a year before the nonprofit percent. Hubstaff Team is $1,200 a year. QuickBooks Time Premium is $110 a month when one admin is included and nine users are extra. ClickTime Team and Harvest Enterprise are each $1,680 across a year, on different billing terms. Toggl Premium is $1,920 a year. Jibble is free. Prices were read on vendor pages in October 2026.
Is there a free time tracker a nonprofit can use for 10 people?
Jibble's site says the product is free forever for unlimited users, and the feature list includes approvals and project export. TimeCamp's free plan also has unlimited users, but timesheet approvals are on Ultimate. Clockify's free plan stops at 5 users, and Toggl's free plan stops at 3, so neither free plan covers a team of 10. Track It Forward is free for basic volunteer tracking under 25 volunteers, which is not a staff payroll.
Which time trackers publish a nonprofit discount?
TimeCamp's pricing FAQ offers an additional 30% for nonprofits that email 501(c)(3) paperwork. Applied to Ultimate's annual list for 10 users, that is $839.16 a year, if support confirms the discount applies after reviewing the paperwork. ClickTime publishes a nonprofit price list; check the annual option and eligibility directly. Clockify, Harvest, Hubstaff, Toggl, Jibble, and QuickBooks Time do not print a nonprofit percent on the pages checked in October 2026. QuickBooks Time's phone discount starts above 50 employees.
Can one tool track volunteer hours and staff time to grants?
The fit depends on the tool and the funder’s rules. Track It Forward focuses on volunteer hour logs, while the other products here focus on staff time. Some federal awards may recognize volunteer services as cost sharing under 2 CFR 200.306, subject to the award and applicable conditions. Confirm how to categorize and report hours before choosing a workflow.
Does ClickTime's nonprofit price include grant compliance?
The nonprofit page describes grant-ready labor data and tracking by program, grant, or funding source, and Team includes approval workflows. DCAA compliance is listed as an add-on, not as part of the seat. Expense tracking is a further $4 per person a month. The page does not certify a specific funder's audit.
Is Toggl Track cheaper than Clockify for a nonprofit that needs approvals?
No. Approvals are on Toggl Premium at $16 per user a month billed yearly, which is $1,920 a year for 10 people. Clockify Standard includes approvals at $5.49 per seat a month billed yearly, which is $658.80 a year for the same team. Neither pricing page prints a nonprofit percent. Toggl's free plan stops at 3 users, and Clockify's stops at 5.
Do I still need QuickBooks if I use QuickBooks Time?
The QuickBooks Time pricing page says a QuickBooks Online account is required. The product page says the sync also works with QuickBooks Online Payroll and QuickBooks Desktop, and that time tracking is included with some Payroll and Workforce plans. The Time Premium math on this page, $110 a month for one included admin and nine additional users, does not include that other subscription.
