Plans, hidden costs, and alternatives compared
Salesforce is the most powerful CRM on the market, but the sticker price is a fraction of what you will actually pay.
License fees start at $25/user/month, but most sales teams need Enterprise ($175/user/month) or Unlimited ($350/user/month). The real shock comes from storage overages, implementation consulting, AppExchange add-ons, admin hiring, and a Premier Support surcharge that adds 30% to your license cost.
For a 10-person team, expect to pay $50K-$80K in year one, not the $21K the pricing page suggests. Salesforce is worth it for complex enterprise sales orgs.
For everyone else, the TCO is brutal.

Data storage overages
$125/month per 500 MB ($250/GB/month). Salesforce includes just 10 GB for your entire org, plus 20 MB per user. Compare that to AWS S3 at under $0.03/GB.
Premier Support
30% surcharge on total license fees. Without it, you get no phone support and 2-day response SLAs. Most orgs need it.
Implementation consulting
$15K-$30K for small deployments, $75K-$150K for mid-market, $150K-$500K+ for enterprise. Many projects that started at $50K ended at $150K.
Salesforce admin salary
$85K-$130K/year. Once you exceed 10-15 users with any customization, you need a dedicated admin. This is not optional.
AppExchange add-ons
Average $5-$25/user/month per app. Most orgs install 5-10 apps. CPQ alone is $75/user/month. DocuSign, ZoomInfo, and other essentials add up fast.
Sandbox environments
Only partial sandbox included below Enterprise. Full sandbox costs extra. Dev/staging environments are not free.
API call limits
15,000 calls/org/day on Enterprise, overages at $0.10-$0.20 per call. Integration-heavy orgs routinely hit this.
File storage
$5/GB/month beyond the included allocation. Sounds cheap until you are storing contracts, proposals, and attachments for thousands of deals.
Training and adoption
Budget $500-$2,000 per user for initial training. Salesforce is complex and undertrained teams waste the investment.
Annual price increases
Salesforce raised prices 9% in Aug 2023 and 6% in Aug 2025. Enterprise went from $125 to $175 since 2016 — a 40% cumulative increase. Expect another 5-8% by late 2026 or 2027.
Enterprise sales organizations with 50+ reps
Companies with complex multi-stage sales processes
Organizations needing deep customization and integrations
Teams that can justify a dedicated Salesforce admin
smb
Zoho CRM Enterprise at $40/user/month gives you 80% of Salesforce functionality at 23% of the cost. If you must have Salesforce, negotiate hard on Pro Suite ($100/user/month) and skip Enterprise unless you need territory management.
startup
Do not start with Salesforce. Use HubSpot free CRM, Pipedrive, or Freshsales. You will waste $30K+ on setup and fight complexity you do not need yet. Migrate to Salesforce later if you outgrow simpler tools.
cost Saving
1) Negotiate aggressively — most orgs pay 20-40% below list price. 2) Audit AppExchange apps annually — most orgs overpay for unused add-ons. 3) Monitor storage proactively — data archival can save $10K+/year. 4) Consider Salesforce Platform licenses ($25/user/month) for users who only need basic access. 5) Skip Premier Support if you have an experienced admin.
enterprise
Salesforce Enterprise or Unlimited is the right choice if you have complex sales processes, 50+ reps, and budget for a dedicated admin. Negotiate multi-year deals for 20-30% off list price. Bundle products for leverage. Never pay list price.
