Start with Zoho Invoice if you need a free invoicing subscription and can work within its current usage limit. Invoice Ninja is another starting point for up to five clients, while FreshBooks adds a broader service-business workflow at a paid rate. Translators should test per-word line items, agency purchase-order references and international payment terms before choosing. None of these tools is presented as a translation management system.
Eight general-purpose tools compared for per-word work, agency references and payment costs.

A translation project can be priced by source word, target word, hour or a fixed project fee. An agency may also require its purchase-order reference and a particular legal entity on every invoice. The challenge is to turn the agreed scope into a clear bill without exposing the client's documents or losing track of multiple currencies and due dates.
Toolradar data: our invoicing category tracks 243 tools across the broader category, not just products designed for translation work. The category statistics describe that wider catalog. For the wider freelancer decision, see invoicing software and time tracking software.
Methodology: we compared eight catalog products using vendor-published US plans and their documented invoicing or project features, checked October 28, 2026. These are general invoicing or accounting tools, not specialist computer-assisted translation or agency management systems. We did not conduct hands-on tests. Rates are subject to change, regional availability and processing terms; verify the invoice layout and the price for your country before buying.

What a translation invoice needs to explain
The invoice should let an agency match the document to the purchase order without asking for the original text. Include the agreed job reference, language pair if appropriate, service dates, quantity and rate, currency, due date and the payment instructions the parties agreed. For sensitive work, a neutral project identifier can identify the job without placing source material on the invoice.
Consider a fictional job of 2,000 source words at $0.12 per word. The line total is $240 before taxes or other agreed charges. A second proofreading task of two hours at $35 per hour adds $70, for $310 before taxes. These are illustrative amounts, not market rates or vendor fees. The buyer should try entering these lines and checking the PDF, including decimal precision, the purchase-order field and the total. A quantity field alone does not prove that a product counts words or applies a translator's CAT-tool match bands.
If the agreement pays based on a weighted word count or includes minimum charges, confirm how to record the approved calculation and whether a supporting breakdown is required. If the payment currency differs from your bank account currency, ask the processor about conversion, settlement currency and fees separately from the subscription.
Compare subscription and collection costs separately
Imagine a US-based solo translator with four agency clients and three projects each month. Three invoices of $240 each total $720 before any tax or fees. We use those figures only to demonstrate the arithmetic, not to estimate typical translation revenue. Each agency is counted as a client even when it orders multiple jobs. A fifth client would still fit Invoice Ninja's published free client limit; a sixth requires a different plan or product, and the vendor should confirm how its client limit works.
Invoice Ninja's free plan lists up to five clients and unlimited invoices. Its Pro plan is $14 per month when billed monthly, so twelve months at the unchanged monthly rate would be $168 before taxes or processing. FreshBooks Lite lists up to five billable clients at a regular $23 per month, or $276 over twelve months at that unchanged rate. Its promotional rates can change; we use the normal monthly figures for this comparison. These are not identical services and do not include payment fees.
Wave Starter is $0 for the subscription. For illustration only, if three separate $240 transactions all qualify for the listed US Starter card rate of 2.9% plus $0.60, each fee is $7.56 and the three total $22.68. Net before taxes, conversion and other costs is $697.32. The example is not a quote and excludes Amex, international or other additional charges, refunds and payment eligibility. An agency paying by bank transfer may incur a different fee. Ask the processor for your actual payment mix before comparing options.
Key Features to Look For
Quantity and rate (Essential)
Ask to enter a sample source-word quantity and decimal unit rate, then inspect the PDF and total. If the contract uses weighted counts, document the approved breakdown separately; do not assume a general invoicing tool reads your CAT-tool analysis.
Agency purchase orders (Essential)
Test where an agency reference, project identifier and payment terms appear. Check that the information survives a PDF export and can be found by the client’s accounts-payable team.
Currency and settlement (Essential)
Distinguish the currency printed on an invoice from the currency received in your bank. Confirm country support, conversion rates, payout currency and who bears bank or processor fees for each payment method.
Client and invoice limits (Essential)
Count active agency clients separately from projects and invoices. Check the plan definition of a billable client, its invoice cap and what happens when work is archived or a limit is reached.
Confidential project records (Important)
Avoid putting translated text or sensitive identifiers in the invoice unless needed. Ask the vendor about access, storage, exports and retention, and follow your contract’s confidentiality requirements.
Time alongside fixed-price work (Important)
If you bill editing by the hour as well as translation by the word, compare how the tool records hours and fixed line items. Ensure the approval and final invoice match the signed scope.
Make the decision around the way you bill
-
Separate agencies that need purchase-order references from direct clients who accept simpler invoices.
-
List how many active billable clients and invoices you expect, including one-off projects and repeat agency work.
-
Test a realistic word-based invoice and a revision or proofreading line before committing to a plan.
-
Ask a payment provider for a fee and settlement quote for your location, invoice currency and typical client payment method.
-
Check where project records and exports will live and whether they satisfy the confidentiality terms you accepted.
Evaluation Checklist
Create a draft with 2,000 words at $0.12 and two hours at $35; check the $310 pre-tax total.
Add the agency purchase order and a non-sensitive job reference, then inspect the resulting PDF.
Check whether the agreed unit, decimal rate, currency and due date are clear to the recipient.
Ask the payment provider to explain available methods, approval, conversion and fees for a foreign client.
Export a sample invoice and payment record and ask your accountant how it fits your books.
Confirm client limits, renewal terms, support and cancellation conditions in the plan actually offered in your country.

Mistakes to Avoid
- ×
Assuming a software-generated invoice is the approved source of word counts without reconciling it to the agency purchase order.
- ×
Confusing a displayed foreign-currency price with the currency actually deposited in a bank account.
- ×
Treating a free subscription as proof that card processing or currency conversion is free.
- ×
Choosing a plan by number of invoices while overlooking the number of billable clients or project limit.
- ×
Uploading confidential source text to billing software when a neutral job reference would suffice.
Expert Tips
- →
Save a sanitized sample purchase order and reuse the same test across all vendors.
- →
Ask clients whether the invoice needs an agency-specific vendor number, cost center or language pair before sending it.
- →
Maintain the calculation that turns the agreed word analysis into the billable quantity, especially for match bands and minimum fees.
- →
Compare your current books with the options in accounting software and FreshBooks alternatives.
Red Flags to Watch For
-
A plan description that does not say how client limits are counted or reset.
-
A payment quote that omits currency conversion, intermediary-bank charges or payout timing.
-
An invoice template that hides the purchase order, decimal rate or currency from the recipient.
-
A migration plan without an export of past invoices and payment records.
The Bottom Line
Zoho Invoice is a sensible first comparison for an invoicing-focused solo translator, provided its annual usage limit and regional terms fit. Invoice Ninja’s free client cap makes it worth testing for a small agency roster; the $14 monthly Pro subscription is a clear comparison if more than five clients are needed. Harvest is more relevant when tracking editing hours is central, while Wave, FreshBooks, Xero and QuickBooks offer different balances of invoicing and accounting.
None of these examples proves an end-to-end translation workflow. Use the same sample word-based job, purchase-order reference and payment route with each finalist. Confirm the applicable pricing and data-handling terms in writing, and use the invoicing category or invoicing software guide for the wider market.
Frequently Asked Questions
Can invoicing software price translation by the word?
Many invoicing products accept item quantities and rates, but the exact precision and layout should be checked in a sample invoice. A quantity field is not evidence that the system extracts or verifies word counts from translation files.
Is a free invoicing subscription free to collect payments?
Not necessarily. Payment processors may charge transaction and conversion fees even when the invoicing subscription costs $0. Wave publishes distinct card rates by payment method and plan, and eligibility conditions apply.
How many clients fit on Invoice Ninja Free?
The published plan allows up to five clients and unlimited invoicing. Ask how client status is counted and what happens if a sixth client is added. Its Pro tier has a published monthly rate.
How do I bill an international agency?
Agree on currency, due date, payment method and any purchase-order details first. Then verify that the invoice format, payment provider and bank support the arrangement. Ask who pays conversion and transfer charges; availability differs by country.
Should I put the source text on an invoice?
Usually a neutral project or purchase-order reference is enough to identify the work, subject to the client’s requirements. Review your confidentiality agreement and avoid including text or personal information that is not needed for billing.
Does this software replace translation management?
The eight products are general invoicing, time or accounting tools. They are not presented here as replacements for a CAT tool or agency translation-management system. Check specialist integrations and export formats if your workflow needs them.
