Cold Email Software Pricing Compared in 2026: What 5 Mailboxes and 15,000 Emails a Month Cost

TL;DR

For 5 mailboxes sending 15,000 emails a month to 3,000 prospects, Lemlist's Email plan is the lowest price among the nine tools priced here: $55 a month on its yearly toggle, checked 20 Oct 2026. Woodpecker follows at $66 a month, then Reply.io, Snov.io, Saleshandy, Instantly and Smartlead, all at or under $78.30 on yearly billing. Entry plans miss this basket on a cap, and the order flips for a solo sender and for an agency.

Nine cold email tools priced on one basket of 5 mailboxes, 15,000 emails and 3,000 prospects a month, plus a solo and an agency check, with prices read on vendor pages on 20 Oct 2026.

152 Sales Engagement tools tracked

A cold email tool's headline price buys one unit, and the bill grows on another. Instantly's entry plan stops at 1,000 uploaded contacts, Saleshandy's at 2,000 active prospects, Snov.io's at three inboxes warming up at once and Mailshake's at one mailbox per seat, so a plan that suits a pilot rarely suits a working sender. This guide prices one basket on every tool, called S1: one user, 5 sending mailboxes on 2 domains, 3,000 new prospects contacted a month in a 5-step sequence (3,000 x 5 = 15,000 emails sent a month, our assumption) and inbox warmup on. Toolradar data: Toolradar tracks 152 sales engagement tools, and 35% of the sales engagement tools on Toolradar are free, freemium or open source, so the first price you read is rarely the unit you are billed on.

Methodology: we weighed 152 tools in the sales engagement category and priced nine cold email tools whose own pages print a dollar price for these units: Instantly, Smartlead, Lemlist, Saleshandy, Woodpecker, QuickMail, Snov.io, Mailshake and Reply.io. Every price was read on the vendor's own pages on 20 Oct 2026. Totals are our arithmetic on printed prices, taken on each vendor's yearly toggle unless a row says otherwise, and they leave out lead data, email verification, LinkedIn, calling and the mailboxes and domains themselves. Promotions seen that day, such as a promo-code banner on Reply.io, a trial banner on Lemlist and a 50% off first month banner on Smartlead, are in no total. Contact caps on Instantly and Smartlead are ceilings on uploaded or stored contacts: Instantly's own guide calls its cap a fixed ceiling, not a monthly reset, and Smartlead counts a lead as a prospect stored in the account. QuickMail also meters uploaded contacts, and its page does not say whether the cap resets. S1 therefore prices the first month for all three, and 3,000 new contacts a month with none removed reach the 25,000 cap of Instantly Hypergrowth in the ninth month and Smartlead Pro's 30,000 after 10 months.

The table is sorted by the S1 price on the yearly toggle, and each row names the plan whose own caps cover mailboxes, emails, active prospects and seats at once. QuickMail prints no yearly price, so it sits last at its monthly rate. Mailshake is ranked eighth on the favourable reading of its mailbox rule, one Sales Engagement seat for 5 mailboxes, which gives $1,020 a year; on the one-per-user reading in its pricing FAQ, S1 needs five seats, or $5,100 a year, and it would rank last. GMass is left out because it sells per Google account and its plan list shows no warmup row. Platforms that are not priced on this basket are covered in our sales engagement platforms guide, and the cold email software ranking compares these tools on features.

4.6 (2,554 reviews)

Best for: Senders with several mailboxes and a small team who want one price for the plan, not per-seat or per-mailbox fees.

  • Pro: Unlimited users and email senders on the Email plan, so five mailboxes and three users add nothing
  • Pro: lemwarm and deliverability protections are listed on all plans
  • Pro: A 60,000-email agency month fits the 100,000-email tier, still with unlimited users and senders
  • Con: The smallest Email tier is 50,000 emails a month, over three times what S1 needs, so a solo sender pays the same tier price
  • Con: Lead credits are an add-on: 2,000 are $16 a month on the yearly toggle or $20 monthly, while Saleshandy Pro and Snov.io Pro S bundle credits
Good value

Lemlist's pricing is on the higher side compared to some market alternatives, with the Email Pro tier starting at $69/user/month.

Watch out

Enterprise tier requires 5+ user minimum.

2
Woodpecker logo

Woodpecker

Prices by people contacted a month, not by emails or mailboxes, so 3,000 prospects land on the 4,000-prospect tier.

Starting price

No
Rating
4.0 (165 reviews)

Best for: Small senders with modest prospect volume who want unlimited mailboxes and team members without per-seat fees.

  • Pro: Unlimited email accounts and team members at no extra cost on every tier
  • Pro: The 4,000-prospect tier includes 64,000 emails a month and 10 free warm-ups, above S1's 15,000 emails and 5 mailboxes
  • Pro: A prospect counts once per campaign per month however many steps follow, so a 5-step sequence does not multiply the count
  • Con: Cost follows people contacted: the agency basket's 12,000 prospects need the 15,000-prospect tier at $2,096 a year on the annual toggle
  • Con: Integrations, API, webhooks, MCP and CLI are a separate add-on at $20 a month
Fair value

It's best suited for businesses with established cold outreach needs and a clear ROI for their campaigns.

Reply.io logo

Rating
4.5 (1,621 reviews)

Best for: Solo senders with a small prospect list who want warmup included with every mailbox.

  • Pro: 3,000 active contacts is a listed slider step, so S1 fits exactly, with unlimited emails to those contacts
  • Pro: Email warmup is listed as included with every mailbox
  • Pro: From the 10,000 active contacts step the price covers unlimited users, so a 3-person agency pays the plan price once
  • Con: Seats are billed per user up to 5,000 active contacts, so a second sender at S1 doubles the price
  • Con: Unlimited mailboxes sit under a fair-usage policy that ties the count to active contacts and sending activity, and no number is printed
Good value

Reply.io's pricing is competitive, especially with its generous free tier offering 200 emails/month and AI writing.

Watch out

Overage fees for email limits on Starter tier

4
Snov.io logo

4.5 (2,198 reviews)

Best for: Senders who want prospecting credits, email verification and a CRM in the same plan as outreach.

  • Pro: 5,000 credits a month for email search and verification, a Sales CRM and unlimited team seats are inside the plan
  • Pro: Annual billing saves 25% on the S1 plan
  • Con: Starter lists 5,000 recipients but warms up only 3 mailboxes at once, so S1's 5 warmed mailboxes need Pro S
  • Con: The page opens on the monthly toggle, so the first Pro S price a visitor reads is the higher one

  • Pro: 4,000 Lead Finder credits a month come with Pro, and annual billing deposits the full year of credits upfront
  • Con: Starter caps at 2,000 active prospects and 6,000 emails a month, so the plan that fits S1 is the second tier
  • Con: Annual billing is charged upfront for the year, $912 for Pro, and rates exclude applicable taxes
Good value

The 'Outreach Pro' at $99/month provides excellent value for growing businesses needing integrations and higher volumes.

  • Pro: A 14-day trial needs no card
  • Con: Growth caps at 1,000 uploaded contacts and 5,000 emails a month, and its comparison table shows no team invites
  • Con: Hypergrowth's email cap reads 125,000 on the plan card and in its pricing file but 100,000 in the comparison table and guide
Good value

Instantly's pricing is quite competitive, especially at the lower tiers.

Watch out

Potential overage fees for exceeding email limits.

Smartlead logo

  • Pro: Unlimited email accounts on every plan, with sending rotated across connected mailboxes automatically
  • Pro: Pro adds CRM access, API and webhooks, and the option to add client workspaces
  • Con: Base stops at 2,000 contacts and 6,000 sends, so S1 needs the second tier
  • Con: Verified prospect emails are a $59 a month add-on on Base and Pro, and client workspaces cost $29 a month each
Good value

Smartlead's pricing is fair for its high-volume deliverability focus.

8

Starting price
$85/user/mo, yearly toggle

Rating
4.6 (1,117 reviews)

Best for: Senders who want a phone dialer and unlimited emails in the same per-user plan.

  • Pro: Email Outreach and Sales Engagement list unlimited email sends a month and unlimited email warmup
  • Pro: Sales Engagement adds a power dialer, 5 phone numbers and 2,500 data finder credits
  • Pro: Mailshake's help article gives up to five mail accounts per Sales Engagement user, enough for S1 on one seat
  • Con: Email Outreach connects 2 mailboxes and Starter 1, so only Sales Engagement covers 5
  • Con: The mailbox allowance is stated three ways: 10 per account on the plan list, up to five per user in the help article, one per user in the pricing FAQ, which would make S1 five seats and $5,100 a year
Good value

However, the jump to $99 for 'Sales Engagement' feels a bit steep for the added features, especially compared to some market alternatives.

Watch out

Potential overage fees for high volume.

  • Pro: QuickMail says it does not charge you when the 14-day trial ends
  • Con: One monthly price per plan and no yearly option, so it cannot be compared on the yearly toggle used above
  • Con: Starter caps at 1,000 uploaded contacts and 5,000 emails a month, so S1 needs the next plan up
Good value

The Growth Plan at $99/month provides excellent scalability with unlimited senders and users, making it a strong option for growing teams.

What cold email software is, and what it is priced on

Cold email software sends sequenced outreach from your own mailboxes to prospects who never opted in, warms those inboxes up, rotates senders and stops a sequence when someone replies.

Vendors price it on different units, which is why a one-line price comparison misleads. Instantly and QuickMail price by emails a month and uploaded contacts. Smartlead prices by stored contacts and email sends, Saleshandy by active prospects, emails and seats, Woodpecker by people contacted a month, Snov.io by recipients, Reply.io by active contacts per user and Mailshake by user, each seat carrying a set number of mailboxes. Lemlist prices its Email plan by monthly email volume, with unlimited users and senders, and its Multichannel plan per user. Warmup-only services are add-ons, not senders, so they are not priced here.

Where the lowest price changes with the sender

Flat tools and per-contact tools scale differently, so the lowest price depends on the size of the sender. Woodpecker prices per person contacted, so it is the lowest for a solo sender, and it climbs for an agency just as Reply.io and Mailshake do, per contact and per seat. Instantly, Smartlead, Saleshandy and Snov.io hold one price from S1 to the agency basket. Lemlist's Email plan starts at a 50,000-email tier, which makes it the lowest at S1 and for the agency basket and the most expensive yearly-toggle row for a solo sender. See Instantly vs Lemlist and Lemlist vs Smartlead for head-to-head detail.

The table gives each tool's price per month on its yearly toggle for two more baskets. Solo is 1 mailbox and 1,500 emails a month (300 prospects, 5 steps) with 1 user. Agency is 15 mailboxes and 60,000 emails a month (12,000 prospects, 5 steps) with 3 users, client workspaces not priced. QuickMail prints monthly prices only, so it sits outside these columns.

Table
Tool Solo Agency Plans used (solo, agency)
Lemlist Same as S1 $71 Email, 50,000 tier, then 100,000 tier
Woodpecker $23.33 $174.67 500 and 15,000 contacted prospects
Reply.io $49 $259 Email Volume, 1,000 and 25,000 active contacts
Snov.io $29.25 Same as S1 Starter, then Pro S
Saleshandy $34 Same as S1 Starter, then Pro
Instantly $37.60 Same as S1 Growth, then Hypergrowth
Smartlead $32.50 Same as S1 Base, then Pro
Mailshake $25 $255 Starter, then 3 seats of Sales Engagement

Where the order flips: Woodpecker stays under Lemlist's Email plan through its 2,000-prospect tier ($44.67 a month on the annual toggle) and costs more from the 4,000-prospect tier, as long as the sequence sends 50,000 emails a month or fewer, the top of Lemlist's smallest tier (4,000 prospects in 5 steps is 20,000 emails). Reply.io lists unlimited users from 10,000 active contacts, and Mailshake's agency figure is three seats because its help article gives up to five mailboxes per Sales Engagement user; on the one-per-user reading, 15 mailboxes would need 15 seats.

Key Features to Look For

  • Billing unit (Essential)

Convert your sequence into each vendor's unit before comparing: 3,000 prospects in 5 steps are 15,000 emails but only 3,000 people contacted, and the unit decides which of those numbers the vendor meters.

  • Caps under the headline price (Essential)

Entry plans stop below S1: Instantly Growth at 1,000 uploaded contacts and 5,000 emails, Smartlead Base at 2,000 contacts and 6,000 sends, Saleshandy Starter at 2,000 active prospects, QuickMail Starter at 1,000 contacts, Snov.io Starter at 3 simultaneous warm-ups and Mailshake Email Outreach at 2 mailboxes. The 2,000-prospect steps on Woodpecker and Reply.io fall short of 3,000.

  • Mailbox rules (Essential)

Instantly, Smartlead, Saleshandy, Woodpecker and QuickMail list unlimited email accounts or senders, as do Snov.io and Lemlist's Email plan. Reply.io says unlimited under a fair-usage policy tied to active contacts, Mailshake ties mailboxes to the seat, and Lemlist Multichannel includes 5 senders per user and sells extra senders at $9 an email a month.

  • Warmup (Important)

Warmup is listed on every S1 plan: unlimited on Instantly, Saleshandy, Mailshake and Snov.io Pro S, included with every mailbox on Reply.io, lemwarm on all Lemlist plans, a Growth-tier pool on Smartlead Pro and 10 free warm-ups on Woodpecker's 4,000-prospect tier. QuickMail lists a free AutoWarmer.

  • Billing toggle (Important)

Yearly billing lowers the S1 plan by 12.7% on Reply.io, 14.1% on Mailshake, 16.7% on Smartlead, 20% on Instantly, 20.3% on Lemlist, 23.2% on Saleshandy, 25% on Snov.io and 33.3% on Woodpecker, our arithmetic on printed prices. QuickMail prints no yearly price. Snov.io's page opens on its monthly toggle.

  • Lead data and mailboxes (Nice to have)

Lead data is priced apart on Instantly (Growth Credits at $47 a month on the monthly toggle, $37.60 yearly), Smartlead (verified prospect emails at $59 a month on Pro) and Lemlist (2,000 credits at $20 a month on the monthly toggle), while Saleshandy Pro and Snov.io Pro S bundle 4,000 and 5,000 credits. Buying S1's five Google mailboxes and two domains adds $296 a year through Smartlead's SmartSenders or $330 through Instantly's done-for-you accounts.

What to settle before you compare cold email prices

  1. Your tightest cap. S1 breaks Instantly Growth on contacts, Snov.io Starter on warm-ups and Mailshake Email Outreach on mailboxes, so the lowest sticker price is rarely the plan you buy.

  2. Your billing term. The same S1 plan is 12.7% to 33.3% cheaper on a yearly toggle, and QuickMail has no yearly price to compare.

  3. Your team. A second sender doubles Reply.io's price until 5,000 active contacts and Mailshake's at any size, but adds nothing on Lemlist's Email plan.

  4. Your add-ons. Lead data, API access, verification and client workspaces (Smartlead's $29 a month each) sit outside the plan price.

Evaluation Checklist

  • Write your sequence as prospects, steps, emails and mailboxes, then map each one to the vendor's billing unit.

  • Find the lowest plan whose caps cover contacts, emails, mailboxes, warm-ups and seats together, not the lowest sticker price.

  • Read the monthly and yearly toggles on the vendor's own page and note which one the page opens on.

  • Add the extras you will use: lead credits, API access, client workspaces, mailboxes and domains.

  • Re-read caps and prices every quarter, because tiers and promotions change.

Lead data, verification, LinkedIn, calling and mailboxes are excluded for every tool.

Mistakes to Avoid

  • ×

Comparing entry plans instead of the plan that covers the basket. Instantly Growth, Smartlead Base, Saleshandy Starter and QuickMail Starter all stop below S1's 3,000 prospects or 15,000 emails.

  • ×

Mixing billing toggles. Yearly toggles span $30 a month on S1, and monthly billing gives the same gap with five tools tied at the top, so compare every tool on the same toggle.

  • ×

Reading unlimited mailboxes as unlimited sending. Reply.io ties its mailboxes to active contacts, and Instantly and Smartlead still cap emails a month.

  • ×

Treating a per-user price as flat. Mailshake's per-seat price triples to $255 a month on three seats, and Reply.io doubles for a second sender below 5,000 active contacts.

    Forgetting add-ons: Woodpecker's API add-on is $20 a month, Smartlead's verified prospect emails $59 and Instantly's Growth Credits ($47 a month on the monthly toggle, $37.60 yearly).

Expert Tips

  • →

Convert your sequence into each vendor's unit first: prospects times steps gives emails, but prospects are the unit on Woodpecker, Reply.io and Snov.io.

  • →

Pick the tier by your tightest cap, which differs by tool: contacts on Instantly, warm-ups on Snov.io Starter, mailboxes per seat on Mailshake.

  • →

Read both toggles and the annual total: Smartlead's pricing file gives $939.60 a year for Pro where the page rounds to $78 a month.

  • →

If you plan to add senders, favour plans with no per-mailbox fee, and price mailboxes bought through the vendor separately.

  • →

Budget lead data separately: Saleshandy Pro and Snov.io Pro S bundle it, while Instantly, Smartlead and Lemlist sell it apart.

Red Flags to Watch For

  • A price with no unit beside it, so you cannot tell whether it covers emails, contacts, seats or mailboxes.

  • Unlimited with a fair-usage link and no number, as with Reply.io's mailboxes.

  • Vendor pages that disagree: Instantly shows 125,000 and 100,000 emails for Hypergrowth, and Mailshake states its mailbox allowance three ways.

  • A promo or trial banner that rewrites the headline offer, such as those seen on Reply.io and Lemlist on 20 Oct 2026; price promotions in a labelled row, never in a ranked total.

  • No yearly price at all when most peers print yearly savings of 12.7% to 33.3%, as with QuickMail.

The Bottom Line

On the S1 basket, Lemlist's Email plan is the lowest price among the nine tools priced here, with Woodpecker and Reply.io next on yearly billing. Choose Woodpecker if you send little and want to pay per prospect, Instantly, Smartlead or Saleshandy if you expect to add mailboxes and volume, and check Mailshake's mailbox rule before you buy. Re-read the caps each quarter, because tiers and promotions move. See also the Instantly alternatives.
